Snap Docs, who and what is it?

Frequently, I get questions about Snap Doc’s. Many ask, who are they? What do they do? How much do they pay? How do I sign up? How did I get into their data base, I never signed up? and so on.

For the most part quite a few notaries think they are a signing service and that they hire notaries. This is not the case. SnapDocs is a platform. It is a website designed for ‘signing services’ to use to streamline the notary hiring process. Snap Docs relies on signing services to signup and pay to use their database of notaries. Word is that fees for the signing companies range between 8 and 15 dollars. If you are a notary you can signup for free and upload your credentials which are verified by Snap Docs for authenticity. Once this process is complete your profile is viewable by hiring parties when they have a signing in your area. Sounds good, but in my opinion, there is several problems with this platform. Many of the signing services that use the site have some of the worst reputations in the industry regarding fees being offered for signings and receipt of payment takes a very long time (if they even pay you and Snap Doc’s will not help you collect if they don’t). It also seems the signing services are passing the cost off to the notaries because the fees offered are at an all time low. There is another concern. When a job is offered, it is offered to several folks via text usually all at one time and the text has very little detail regarding the signing. So you may not know what you are getting yourself into. Also, most notaries don’t like job request via text because if they are driving it is inconvenient and dangerous. I personally consider these ‘cattle calls’. Most of these companies are looking for the cheapest notaries and because they text many notaries at one time, whomever accepts the low fee first gets the job. It may be convenient for them but it is really inconvenient for us notaries in so many ways. Gone are the days when folks want experience. Its about how low can you go.

Another concern voiced by many notaries is that they never signed up but don’t know how they got on the sites database. Some have suggested that Snap Doc’s has gone onto sites like 123notary.com, notary rotary, and others and added notaries without their knowledge or permission. Another complaint (and a serious one in my opinion) is that they have a secret review system for the signing companies to be able to rate notaries without the notaries ability to view the comments or rating about them. In other words it is ‘for signing services eyes only’. I’ve been told that its uses a ‘thumbs up or thumbs down’ rating system for notaries that translates into a percentage. The worst part is, you don’t have any way to defend yourself from any negative feedback; truthful or not. I guess we weren’t even supposed to know that the review system even existed. I guess they didn’t realize that the signing services, many being notaries themselves would let the ‘cat out of the bag’ and let us know that the services had this ability to rate us. Many notaries have expressed anger and disbelief that this was not disclosed. And several have been asked to be removed. I personally think that this may be illegal. Some of you that are attorneys or have legal aid might want to weigh in on this.

I had personally signed myself up awhile back to see if it generated any decent work but the annoying texts with the low ball fees drove me crazy. For example; 60.00 for edocs docs and faxbacks, seemed to be the norm. These fees are insulting to say the least. So I asked Sap Doc’s to delete my account immediately and they did. I made the decision to stop working with anybody that doesn’t value my level of experience. I primarily only accept jobs from reputable companies, especially title and escrow. And just so you know, they STILL do call and use notary signing agents. I am living proof!

Are those other things you’re doing worth $1000 per hour?

Passing the 123notary certification test can reasonably make you an additional $30,000 over the next 10 years. You might need a few hours to study and some wait time if you need to email me for a password to take the test when I’m busy. But, your total hours invested might be 30 hours maximum if you were the most thorough Notary in the history of Notary-Kind. So, you invest 30 hours and get $30,000 in delayed gratification. That is $1000 per hour.

$30,000 extra in a decade — it’s like winning the lottery!
If you get half a job extra per week because of that certification that is $50 extra per week, and $2500 extra per year which is $25,000 in ten years which is close to my figure. So, let’s assume that you get (.6) more jobs per week to round the number up to $30,000. I’m being reasonable, right?

But, I’m so busy?
I get this all the time. I can’t find time to do the certification test because I’m so busy. The problem is not that you are busy, but that you failed at mastering the art of organizing your time. If you have thirty tasks to do, but only have time for ten, you assign a priority to each task from one to thirty, and do the most time sensitive or critical task first, and then do the other critical tasks after, and neglect the tasks that are less critical.

Are those other tasks worth $1000 per hour?
Is doing your laundry worth $1000 per hour like studying for our certification test? Probably not. Is taking that Notary job for $75 with faxbacks going to get you ahead in the long run? That’s three hours out of your day right there. Is going to Kim’s birthday party all that? That all depends on what Kim is wearing! Is cleaning your house a priority? Be a slob until you pass that test. Your test should come first and everything else should come after. If it takes you a month to pass that test, put it on the front burner and make everything and everyone else wait until you pass that test.

Let the laundry stack up
My laundry stacks up when I’m working on a project. I do my laundry in a bucket to save myself the time of going downstairs to the public laundry machines which need to be watched. I focus on the priority at hand when I want to get something done. I find more efficient ways of doing all of the tasks that I do. You need to schedule some time and make sure that you get that certification test done. The minute you don’t make it a priority, you’ll forget about it until I call you months after the fact and you’ll say — oh yeah.

Get it done!
The fact is that many people get many extra jobs per week or per day as a result of passing that test, and many people pass the test with only three or four hours of study. The rewards might be up to $200,000 for a busy Notary in increased jobs over the next ten years. Many of you will be Notaries for twenty years. So, neglecting to pass my test is not only stupid, it’s insane. Buckle down and get it done!

Who and what is Snapdocs?

It is not a day that goes by the I don’t get a call into 123notary.com about SnapDocs. Who are they? How do I sign up with them? How much do they pay? And, more often than not, ‘They have destroyed my notary signing agent business’.

So let me start off for folks that don’t know – they are not a signing service. This is just a platform set up where notaries can register and create an account for free, upload their credentials. ex: commission, bond, E & O, background check, certifications etc. Once your credentials have been verified by the staff at SnapDocs

(I assume this means that they are making sure your documents are current) and you have completed your profile you are all set to receive notary assignments. You set your profile to receive jobs via email and/or text. Hiring companies that have also signed up can now choose a notary from the site. It costs the signing company that utilizes this service 8.00 per assignment so I have been told. Ouch! The signing services can also rate your work and/or performance. You however, cannot rate the signing service. Personally, I don’t think this is fair. There are just to many of them that don’t pay and really take advantage of us.

Several of the signing service companies that use it have stated that they love the interface and the user experience is good – for them. However, on the other hand many notaries have expressed concern that companies that use to pay regular and a fair fee have now begun to also offer lowball offers. I assume that is because of the 8.00 fee to use the platform. The notaries also resent that there companies no longer contact them direct via telephone. The problem with this is their is not enough information that is given in the text or email. It tells you the date and time and whether it requires faxbacks but usually nothing else. IMO, this is not enough information given to make a decision whether to take a assignment or not.

Personally, I deactivated my profile. I got annoyed with all the low ball offers. It was a waste of my time. So there you have it. I would love to know how the rest of you feel.

2016 Companies That Will Hire New Signing Agents

Here are some companies that typically hire new notaries. We published a similar list a few years ago and removed companies that have slowed down and added SnapDocs as they are a source of revenue to newer Notaries. As a new notary, your primary responsibility to yourself is to get some experience under your belt. Don’t be too picky about how much you pay or how pleasant it is to work for some of these companies. The outfits that typically will hire newbies low-ball, require fax-backs, and micromanage you to the point of exasperation. But, tolerate this, because that is how you pay your dues and get your experience. Once you have 1000 signings under your belt, the higher paying Title companies will start to take you more seriously.

Please consider that you need ACTIVE marketing as well as PASSIVE marketing. Active marketing involves contacting signing and title companies one by one in addition to Attorneys, hospitals, and anyone else you wish to work for. Active marketing will be more labor intensive in the beginning of your career as you do not start out by being on any organization’s list. However, once you are on the lists of at least 200 companies, then you will most likely be spending more of your time working and less of your time looking for work.

Getting on board with Title & Signing Companies

Dormant Contacts
Even after you are on the list of a company, you still need to contact them from time to time to just let them know you exist and want to work. We suggest that when Notary business is slow in the beginning of the month you schedule time to call your contacts who are dormant in hopes that they might actually use you one day.

Requirements for work
* Certain big title companies like Chicago Title require 500,000 E&O Insurance
* Other title companies want 100,000 E&O
* Some Notaries show off by having a million in E&O which is expensive and makes you a target for lawsuits.
* Others want a current background check from a reputable vendor such as the NNA or Sterling, but not necessarily from the other vendors.
* Some want vast experience as a Notary while others prefer beginners who will work for cheap. If you work for companies that hire beginners they will micromanage you. If you are tired of being micromanaged, try to work directly for companies that hire experienced and reliable Notaries.

Certifications
Many companies like it when Notaries are certified. But, there are many vendors offering certification and which one is the best? NNA certification is the most widespread and widely recognized in the industry. But, on 123notary, people looking to hire Notaries pick 123notary certified members more then twice as often as they pick Notaries who aren’t. My suggestion is to be certified by three or more agencies — that way you’ve covered all of the bases and will make quite an impression.

Printers
As a Notary, you should have a fast and reliable printer and perhaps a backup printer. Dual tray laser printers are the standard tool of seasoned Notaries. Single tray printers might be okay if you have software to figure out what size paper is for which document. Some Notaries print everything on legal although some Lenders might not appreciate that.

Professional Dress
Business casual is the official dress code for Notaries. No shorts, flip flops, tank tops, jeans or torn clothing please.

Low-Ball Offers
As a Notary, you will receive a lot of low-ball offers. Notaries complain endlessly about this. If you are not an experienced Notary, low-ball offers might be your ticket to getting experience. Personally, I feel that new Notaries do not merit high paying Notary jobs and should work for low fees. However, once you have educated yourself in the “art of the signing” and have paid your dues by accumulating an experience of more than 2000 loans, you should get paid at least an average of $110 per signing otherwise something is very wrong. The economy does change over time and wages change too, so be flexible and work for whatever people will pay you.

Setting Prices
Notaries need to be flexible and realistic about what they charge. Some Notaries are too snobby to take low paying jobs and end up starving. Other Notaries take too many low paying jobs and miss out on the good jobs because they are too busy working for peanuts and then spending their profits on gas, toner, paper, and other expenses. You need a sophisticated model for pricing that incorporates the time of the month (month-end is busier and should be more expensive) distance, timing, traffic, and how many pages the job will be.

* Base your prices on how long you estimate a job to take including traffic.
* Lower your prices at the beginning of the month when business is slow
* Expect to be paid poorly until you have at least 1000 loans signed
* To get paid well, you need a constant supply of regular clients who pay well which you accumulate over time
* You need to advertise heavily to get a constant supply of new clients in hopes that some will become regulars.
* You need to be on time, be nice, not make mistakes and get docs back on time to get rehired.
* Base job time on the name lf the Lender as packages from particular banks are normally a particular (+/-) number of pages and then factor in traffic on the route you’ll take at that particular time of the day, night or weekend.

PASSIVE MARKETING
Passive marketing involves advertising on directories. Once your ad is out there, companies can find you. However, not all advertisements attract the same amount of business, and not all Notary directories are equal. Online yellow pages are yet another way to advertise as well as Google local, however we do not know much about the results of such advertising. Passive marketing is very powerful as you get motivated buyers calling you when they really need something done. However, most Notaries are neglectful in the creation and maintenance of their advertisements and do not get the full potential of their investment. A good Notary profile has reviews from satisfied clients, certifications, and a powerful and well organized notes section. You need to do everything right to maximize your results.

Where to advertise
123notary, Notary Rotary, Notary Cafe, and Signingagent.com are the four most powerful players in the Notary advertising business — in that order. You should advertise on all four with a paid listing. 123notary offers high placed listings. We suggest that you pass our certification before investing in a high placed listing. High placed listings get you more business as well as better quality (and better paying) Title company jobs — and it means that you will be seen first before people start scrolling deep and shopping around.

How to create an amazing notes section
We have written many articles on this overlooked topic which you should read and study. If you want to get ahead, become an expert at the art of the notes section. Companies read what you have to say about yourself, and if you have very little to say, or just a bunch of fluff, you are not likely to get hired. Notaries who do well have thorough and factual information about themselves that is neatly organized into paragraphs. They cover their areas of expertise, certifications, professional memberships, equipment, notes about what is unique about how they handle business, segments on their professional history before they were a Notary particularly if it has some sort of business or Mortgage related relevance, and more.

Being 24 hours helps a lot
If you want to get more business, offer service to more counties, and during more hours. It is just common sense — do the math. Some Notaries only want to service their home county during their “flexible” hours of 9-5 while others are 24 hours and cover eighteen counties. If you need to sleep, then limit your hours from 6am to midnight, but the more flexible you are, the more business you can accumulate.

Reviews are essential
We have written many blog entries on reviews and are publishing a comprehensive guide to reviews as well around the same time I publish this article. The important concepts to remember are:

* Six reviews will double your new business from our site
* After you have six reviews you will get a small marginal benefit from each additional review
* Well written reviews count more
* Don’t get multiple reviews the same day or it looks like you wrote them yourself
* Reviews that are three or more years old do not benefit you much, so always get new reviews.
* You might need to ask ten people to get a single review, but it’s worth it.
* Signing & Title companies are horrible about writing reviews since everybody bugs them to do it
* Individuals are easier to get reviews from, so do some jobs for individuals
* Ask for a review when someone compliments you on your work otherwise don’t ask.
* Email requests for reviews in addition to asking in person. Email them a LINK to your review page. That will take the work out of trying to find the page which I assure you people don’t have the time or patience to do.

Company Names
It will help you to have a company name in the long run. But, think long and hard about what you name your Notary business. Names with geographical significance are recommended. Names with notorial or Mortgage significance might be good. General business names that are not relevant to this industry might not be ideal.

Keep your information up to date
Many Notaries create a listing and forget about it. Your listing is like a plant — it needs to be watered and trimmed from time to time otherwise it will wither. State of the Notary Industry Union Address

My fellow American Notaries,
We are living through an extraordinary moment in Notarial history. Technological and social change is reshaping the way we notarize, advertise, drive, and our place in the NotaryVerse. But, as Americans, we’ve been through big changes before in generations past.

Notary jobs no longer pay what they used to pay. American Notaries used to make an easy $125 per signing if they had experience. Now, Notaries are being offered less and less. Instead of weeding out the less qualified Notaries, this price gauging has weeded out the most qualified and desirable service providers in the industry. Despite the problems in the Notary industry, American Notaries are paid considerably more than their equivalents in China, France, India, and other countries where mobile Notaries (and rickshaws) are used. In fact, Notary wages in China are so low, that many Notaries there have to sell fake ID’s just to make ends meet.

The advent of Snapdocs, the Uber of the Notary industry has also contributed to the downward trend in Notary fees, but an upward trend in technology that facilitates the act of hiring and scheduling a Notary. Now with the click of a few buttons, a signing or title company can broadcast a message (commonly referred to as a cattle call) to dozens of Notaries and find one who will take the job.

I would like to take things a step forward and cut taxes for Notaries and their families. I believe that Notaries are working too hard already, and should be rewarded by paying a fair tax.

Additionally, I’ve called on congress to raise the minimum wage for newer Notaries to $63 per signing, plus 11.3 cents per page for eDocuments as well as a 75 cent per nautical mile minimum travel fee, plus a nationwide ban on fax-backs. If you look at what the average service provider in this industry makes — call him “Joe, the Notary,” it is well below what Notaries of your parents’ generation used to make and it just isn’t fair. Notaries work hard, and deserve a fair wage and deserve to not be micromanaged — unless they are brand new in the field or make mistakes.

I want to make admission to Notary college more affordable. Spotting fake ID’s from China 101 is a course every American Notary should take. If Notaries had this knowledge it would make America a better place and the world a better place (unless you work in a fake ID producing sweatshop in Shanghai.)

Unfortunately, as far as the quantity of jobs being offered in the 1st quarter of 2016, it is the worst I’ve seen. However, 123notary is getting roughly the same traffic it did at this time in 2015. The important thing here is for American Notaries to keep the faith and understand that every cycle has ups and downs. What is critical is to keep developing your skill sets, to keep developing your client base, and to buy a higher spot on 123notary!

For all challenges we face, the truth is that no country on Earth is better equipped to handle the future of Notary work than the United States. If we can deal with this temporary and acute shortage of Notary signings, there is nothing that American Notaries can’t do!

What’s the difference between a listing getting 16 clicks/month & 100+

Most notaries just think that a listing is a listing. They think that if they are listed on 123notary, that something wonderful will happen, but if it doesn’t, that’s our fault. Nothing is further from the truth. Some listings get a monopoly on clicks even if they are far down the list simply because they stand out and have quality information. Let’s get more specific.

Go and get some Reviews
We’ve been telling notaries for years now that they need to get reviews. If you were searching for a notary, a restaurant, or a bus tour of San Francisco, wouldn’t you read the reviews? If you were smart you sure would, otherwise you would waste your time and money on a service that was far from being the best. Put yourself in the position of the customer looking for a notary. You know you are good, and therefore you don’t think you need reviews, right? Or perhaps you are too shy to ask for fear of offending your clients who might think it is inappropriate. If you are appropriate, you will be sitting home all alone every Saturday night without a date so to speak, because you didn’t ask anyone out of fear of rejection or being inappropriate. You will lose at least half your potential calls if you don’t have reviews, so go and ask for some. Email them a link to your review page after you call them and ask too, so they will be able to find the review page.

Notes – be unique
Most notaries write very boring notes sections. If you have read 30,000 notes sections like I have, they all begin to look like they were written by the same person. They all mention E&O insurance, how responsible and error-free your work is, and how people-oriented you are. People are tired of hearing this. Yes, it is pertinent information, but start your notes out with something specific and unique. Read what the top notaries are writing in the various metros across our great nation to get ideas. We have written, and will continue to write articles on how to write a great notes section, so please read those, and think about what specific types of skills you have that are worth mentioning, and what is different about how you do your work.

Certification – stop complaining and just do it!
But, I don’t NEED another certification. I’m already “certified,” she said. I’ve heard this thousands of times. It is true that NNA’s new certification is somewhat necessary for inexperienced notaries to get work these days. However, those on 123notary who don’t have our certification icon next to their name lose more than half of the jobs they would have gotten if they had our certification. If you are so smart that you don’t need to take our test, then the test should be a breeze, so why complain about taking a wimpy test? Just do it! Pass it and get it over with. We only require notaries to pass our test once in their career.

Company names make you look professional
Having a company name won’t revolutionize your business, but it will make you look more professional and does attract about 17% more calls. Do it legally please and register with your county clerk.

Being higher on the list at a price you can afford
123notary makes its money by selling high placements. Being high on the list really does help get not only more work, but the cream of the crop of the jobs. The high paying companies start at the top and assume that those higher on 123notary are higher class notaries who know their stuff which is generally true (but, not always.) The companies that go down the list as a matter of habit are generally low-ballers. Sure, they might hire you, but do you really want $75 to print out two sets of documents at 150 pages per set, do fax-backs, and then find out that your job got cancelled after you printed everything out? We understand that not everyone can afford to be #1 on the list. But, upgrading to a preferential or a p#13 can make a big difference in the performance of your listing, and you can email us for a quote. P#10’s and p#13’s will not break your bank, but are a great intermediary step in moving up our list!

Answer your phone
Last, but not least — answer your phone. Many notaries have a policy of not answering their phones during a signing. If we call you to remind you about your renewal, or to offer you the #1 spot, and you don’t answer your phone, guess what happens? We don’t call a second time! You snooze you lose. Signing companies have a list of twenty notaries to call for each job opening. If you don’t answer your phone out of consideration for those who hired you, you will lose out on your next job of the day, or tomorrow’s job. Each phone call you don’t answer could cost you $20 as one in five is likely to be a serious offer. Do the math, think about it, but if the phone rings while you’re thinking about it — then answer your phone.

New Notary Apps that you really need!

The entire world has gone app crazy in the last few years. Personally, I use GPS, and my alarm clock. That’s about it for me in terms of apps. But, what types of apps might notaries need to stay ahead?

(1) Look up signing company reviews.
123notary already has this for i-phones. It is a page, not an app, but what is the difference right?

(2) Find a cheap gas station
Google already does this. Just visit www.google.com and look up “cheap gas” or “gas prices” and then add your zip code. Or enter your city name and gas prices for a better selection if you live in a big city.
You can also use gasbuddy.com

(3) Billing applications?
Very few notaries use sophisticated technology to know who owes them what and for how long. But, there are companies out there who have billing applications that you can see at a glance who owes you what and who to invoice. Is it worth it? You tell us!

(4) Road condition apps.
There are GPS systems that tell you which route to your destination is faster under current situations. Such technology has cleaned up traffic congestion in many cities around the world. If you have technology that tells you how to avoid traffic, you could save an hour per day every day! That would be worth paying a bundle.

(5) Translation apps (risky)
The notary is supposed to be skilled in whatever language they use at a signing. If you look up words in an application, you might screw up and the signer might understand you incorrectly or not at all. Words sometimes have multiple translations. “Do you swear to tell the truth” could translate into “Will you marry me” if you miss a subtle nuance in certain languages. But, for those who are app crazy, you are apt to get one anyway. So, go for it! SayHi Translate can do this by the way!

(6) Mileage log apps for the IRS
The IRS may request to see your trip logs. If it is digital, that might be good, unless it is hard to download, print, or gets accidentally compromised. But, paper records can get lost too, so which way is safer? You can keep track of your miles using your i-phone if you have an app for that. I don’t know of any app like that, but they probably exist as probably 50 million Americans deduct mileage for one reason or another.

(7) eJournal applications?
These exist. You need to be an eNotary to use one. Out of 7000 notaries on our site, I’m sure there are a good three or four of you who are commissioned eNotaries.

(8) iSchedule
You guessed it. This app will manage your busy schedule. You can input all your appointments with this app and all is well until you go into a dead zone or run out of battery.

(9) TurboScan
Quickly scan multipage documents into high-quality PDF’s. Wow! Sounds like a winner for companies who want fax-backs.

(10) Documents Free (Mobile Office Suite)
Not sure what this does, but you can read up on it.

(11) Contacts <-> Excel
I think we all know what this is for.

(12) UPS Mobile
Ship your packages using your i-phone, and hopefully a UPS box. You might need a printer too.

And last but not least… (and appropriately numbered)

(13) Ghost Hunters Haunted House Finder
Find a haunted house near you. Or use it to look up your signings. If one of your signings is in an officially haunted house, suggest that you all meet at Starbucks. Use your Starbucks finder app to get there!

(14) Page Separator Pro
Split those legal and letter sized pieces of paper. Even some dual tray printers don’t have the ability to figure out which tray prints what, and why…
