Lady Notaries need to show caution

I just talked to one female Notary. Several signers have asked her to go to the bedroom with them. She doesn’t understand this because she is in her fifties. She always sits in a 45 degree angle when presenting the paperwork. You can see who’s coming and who is not that way. You can’t predict what’s in someone’s head. You can also present your paperwork in order that way. This lady carries a gun wherever she goes.

I walked in. We sat there at the table, saw his ID, and proceeded. The documents were about fifty sheets. We finished the signing. He was acting a little strange. The guy wanted me to look at his pictures on the wall. It took 20 minutes just to get to the signing. He showed a picture of a pretty Indian girl. Then he wanted to show me a bigger picture in his bedroom. We talked into the hallway, and he was a big man.

Experienced signers are being weeded out of the industry

In the old days, Notaries would make so much money. People could make $150 per signing if they had experience. $125 was a standard fee for Title companies. Unfortunately, even Title companies have lowered their fees to poverty level and hire beginners who fax back tons of pages so the Title company can quality check them. This is a sad state of affairs. But, honestly there is a shortage of qualified Notaries who can be trusted without all of the fax backs.

The problem is that for the few Notaries that are worth paying extra for, there is not enough business. You also cannot make your business model on hiring top notch Notaries since there are so few of them. A top notch Notary on 123notary merits about $110 to $125 per signing and are getting that in real life. There are about 2000 Notaries who are 123notary certified which demonstrates basic knowledge. There are about 250 who are Elite Certified which proves superior Notary skills and understanding. The elite certified Notaries are making the money, but the volume isn’t there. And as a result, many Notaries have dropped out of the profession. It is sad that some of the best Notaries dropped out and even sadder that they dropped out due to price competition.

So, inexperienced Notaries who work for $40 are being phased in while experts are leaving the field. I hope one day that this will change. Let’s pray!

On the other hand, Notaries with experience are weeding themselves off of the SnapDocs database. More and more Notaries are sick of the low-balling and cattle calls that go on over there. They are relying more on their long-term contacts, and other directories as a source of work.

With interest rates on the rise, business is likely to be slow in 2017. Goldman Sachs predicts a slow and steady rise in interest rates over the next year with a tenth of a percent average rise per quarter. This will be very bad for the Notary industry and I pray that we don’t lose our best members.

The “Met My Fee” list of signing companies

We have never published a list of companies like this before! These signing companies were reported to have met Notary’s fees. I cannot say if they offer big bucks, but at least they are not low-balling (for now.) Notaries keep saying, “They met my fee!” However, read the reviews, because some of these companies have mixed reviews!

Changed! Form 4506 Request for Copy of Tax Return

Changed! Form 4506 Request for Copy of Tax Return
Also changed is the similar Form 4506-T. Both forms being reviewed are September 2015 (look in upper left hand corner). The big change is the addition of a Mandatory check box next to the signature area. The signer must check box to attest to having authority to sign either form. “The form will not be processed and returned to you if the box is unchecked”. So, heads up about this – make sure they check the box when they sign. As we are there to make sure forms are completed correctly – take a few minutes and read the instruction page.

Most of the time the package will include Form 4506, but, perhaps not. The 4506 now has a fifty dollar fee per year requested, in addition to the above mentioned check box. There is another new option for the 4506. It’s a check box (at the extreme right) “If the copies must be certified for court or administrative proceedings”. That is probably necessary if the document is to receive an Apostille, but not sure. Either spouse may sign the form, or both may sign – I usually try for both.

Form 4506-T is quite different, rather than requesting a “copy” of the actual return; it requests a “Transcript” of the entries made on the return. This one is processed free. Oddly the contents of the 4506-T are specified on the 4506. At the top of the 4506 it states “The transcript provides most of the line entries from the original tax return and usually contains the information that a third party (such as a mortgage company) requires”.

Form 4506-T contains several options (again with check boxes on the right hand edge). Line 5 (where to send it) probably should be completed with the address of title or similar; otherwise the info is sent to the taxpayer. Prior to the check boxes the choice of which form must be entered – most would probably enter 1040. Then it’s on to selecting what type of transcript is required. It’s all on the form, so I’m not covering options 6-a to 6-c. Line 7 is interesting – here you request from the IRS proof that you did NOT file a return for tax year(s). Line 9 is where the tax years requested are specified.

The attestations of authority checkbox and signature areas are basically the same on both forms.
So, with the 50$ fee for the complete copy; many are likely to move to the 4506-T, processed at no charge. Thus, it would be wise to print them both each has only one page of instructions. Read the instructions carefully and understand the difference between the two. It’s unlikely that the borrower will know what options are required on the 4506-T. It’s best when you see it to review your instructions for what options are wanted. If no information is given, call for details. It appears that 6-c and option 8 provides the most complete information.

Fortunately, neither form requires notarization, yet? What sets us apart from the “bank notary” is our dedication to keeping up with changing requirements and understanding the need to have forms completed properly. Make sure that line 5 (shipping address) is not overlooked. And, if you have a 4506-T to work with, know what entries are required – don’t guess. And don’t rely on “them” to pre-enter the necessary information. Get it right the first time and be the one they call regularly.

ACTIVE MARKETING
Please consider that you need ACTIVE marketing as well as PASSIVE marketing. Active marketing involves contacting signing and title companies one by one in addition to Attorneys, hospitals, and anyone else you wish to work for. Active marketing will be more labor intensive in the beginning of your career as you do not start out by being on any organization’s list. However, once you are on the lists of at least 200 companies, then you will most likely be spending more of your time working and less of your time looking for work.

Dormant Contacts
Even after you are on the list of a company, you still need to contact them from time to time to just let them know you exist and want to work. We suggest that when Notary business is slow in the beginning of the month you schedule time to call your contacts who are dormant in hopes that they might actually use you one day.

Requirements for work
* Certain big title companies like Chicago Title require 500,000 E&O Insurance
* Other title companies want 100,000 E&O
* Some Notaries show off by having a million in E&O which is expensive and makes you a target for lawsuits.
* Others want a current background check from a reputable vendor such as the NNA or Sterling, but not necessarily from the other vendors.
* Some want vast experience as a Notary while others prefer beginners who will work for cheap. If you work for companies that hire beginners they will micromanage you. If you are tired of being micromanaged, try to work directly for companies that hire experienced and reliable Notaries.

Certifications
Many companies like it when Notaries are certified. But, there are many vendors offering certification and which one is the best? NNA certification is the most widespread and widely recognized in the industry. But, on 123notary, people looking to hire Notaries pick 123notary certified members more then twice as often as they pick Notaries who aren’t. My suggestion is to be certified by three or more agencies — that way you’ve covered all of the bases and will make quite an impression.

Printers
As a Notary, you should have a fast and reliable printer and perhaps a backup printer. Dual tray laser printers are the standard tool of seasoned Notaries. Single tray printers might be okay if you have software to figure out what size paper is for which document. Some Notaries print everything on legal although some Lenders might not appreciate that.

Professional Dress
Business casual is the official dress code for Notaries. No shorts, flip flops, tank tops, jeans or torn clothing please.

Low-Ball Offers
As a Notary, you will receive a lot of low-ball offers. Notaries complain endlessly about this. If you are not an experienced Notary, low-ball offers might be your ticket to getting experience. Personally, I feel that new Notaries do not merit high paying Notary jobs and should work for low fees. However, once you have educated yourself in the “art of the signing” and have paid your dues by accumulating an experience of more than 2000 loans, you should get paid at least an average of $110 per signing otherwise something is very wrong. The economy does change over time and wages change too, so be flexible and work for whatever people will pay you.

Setting Prices
Notaries need to be flexible and realistic about what they charge. Some Notaries are too snobby to take low paying jobs and end up starving. Other Notaries take too many low paying jobs and miss out on the good jobs because they are too busy working for peanuts and then spending their profits on gas, toner, paper, and other expenses. You need a sophisticated model for pricing that incorporates the time of the month (month-end is busier and should be more expensive) distance, timing, traffic, and how many pages the job will be.

* Base your prices on how long you estimate a job to take including traffic.
* Lower your prices at the beginning of the month when business is slow
* Expect to be paid poorly until you have at least 1000 loans signed
* To get paid well, you need a constant supply of regular clients who pay well which you accumulate over time
* You need to advertise heavily to get a constant supply of new clients in hopes that some will become regulars.
* You need to be on time, be nice, not make mistakes and get docs back on time to get rehired.
* Base job time on the name lf the Lender as packages from particular banks are normally a particular (+/-) number of pages and then factor in traffic on the route you’ll take at that particular time of the day, night or weekend.

PASSIVE MARKETING
Passive marketing involves advertising on directories. Once your ad is out there, companies can find you. However, not all advertisements attract the same amount of business, and not all Notary directories are equal. Online yellow pages are yet another way to advertise as well as Google local, however we do not know much about the results of such advertising. Passive marketing is very powerful as you get motivated buyers calling you when they really need something done. However, most Notaries are neglectful in the creation and maintenance of their advertisements and do not get the full potential of their investment. A good Notary profile has reviews from satisfied clients, certifications, and a powerful and well organized notes section. You need to do everything right to maximize your results.

Where to advertise
123notary, Notary Rotary, Notary Cafe, and Signingagent.com are the four most powerful players in the Notary advertising business — in that order. You should advertise on all four with a paid listing. 123notary offers high placed listings. We suggest that you pass our certification before investing in a high placed listing. How to create an amazing notes section
We have written many articles on this overlooked topic which you should read and study. If you want to get ahead, become an expert at the art of the notes section. Companies read what you have to say about yourself, and if you have very little to say, or just a bunch of fluff, you are not likely to get hired. Notaries who do well have thorough and factual information about themselves that is neatly organized into paragraphs. They cover their areas of expertise, certifications, professional memberships, equipment, notes about what is unique about how they handle business, segments on their professional history before they were a Notary particularly if it has some sort of business or Mortgage related relevance, and more.

Being 24 hours helps a lot
If you want to get more business, offer service to more counties, and during more hours. It is just common sense — do the math. Some Notaries only want to service their home county during their “flexible” hours of 9-5 while others are 24 hours and cover eighteen counties. If you need to sleep, then limit your hours from 6am to midnight, but the more flexible you are, the more business you can accumulate.

Reviews are essential
We have written many blog entries on reviews and are publishing a comprehensive guide to reviews as well around the same time I publish this article. The important concepts to remember are:

* Six reviews will double your new business from our site
* After you have six reviews you will get a small marginal benefit from each additional review
* Well written reviews count more
* Don’t get multiple reviews the same day or it looks like you wrote them yourself
* Reviews that are three or more years old do not benefit you much, so always get new reviews.
* You might need to ask ten people to get a single review, but it’s worth it.
* Signing & Title companies are horrible about writing reviews since everybody bugs them to do it
* Individuals are easier to get reviews from, so do some jobs for individuals
* Ask for a review when someone compliments you on your work otherwise don’t ask.
* Email requests for reviews in addition to asking in person. Email them a LINK to your review page. That will take the work out of trying to find the page which I assure you people don’t have the time or patience to do.

Company Names
It will help you to have a company name in the long run. But, think long and hard about what you name your Notary business. Names with geographical significance are recommended. Names with notorial or Mortgage significance might be good. General business names that are not relevant to this industry might not be ideal.

Many notaries who previously wouldn’t leave the house for <$125 are working for peanuts.

Even some of our most seasoned notaries have gotten so desperate that they are forced to work for less than they feel they deserve in terms of Notary wages or fees. We’ve had notaries who had strict policies of working for no less than $125 or $100 forced to do Notary jobs for $60. Some take this emotionally, while others realize that we all have to eat, and that a notary’s gotta do what a notary’s gotta do. On a brighter note, the price of gas went down by more than a dollar, so your expenses are a lot less now!

Notaries make the mistake of trying to figure out what they “should” get paid or what is “fair.” In the world of business there is no should and there is no fair. In foreign countries people doing the exact same job you are doing might only make $5 or $10 per day, so is that fair? As people living in America, you have it better than any other country, even Canada. Of course a well off person in a foreign country is likely to be better off than you, but someone doing the same Notary job you are is probably a lot worse off. The point I am trying to make is that fairness can only be viewed in perspective. But, even if you can figure out a very equilateral viewpoint of fairness, it won’t do you any good. The universe gives you what it gives you. It decides how much it is going to give you and you just have to work with what is given to you. Forget about fair, and just do the best you can.

Do you see people working at gas stations shaking their head saying, “It just doesn’t seem fair that we have to sell gas at $2.40 per gallon now. We’re doing the same work we were doing when it was $4.00 but getting paid close to half for the same work.” No, they just go about their business and do the best they can which is what you should be doing. Try and do as well as you can as a notary regardless of what the external conditions are. If things get too slow, you can try to supplement your income with other tasks or jobs. In the worst case scenario, if it is really slow, it might be time to get a full time job and moonlight at night doing notary work.

In my opinion, the market for notaries and Notary jobs will bounce back eventually. I’m not sure when. It really depends on a variety of standards. If it has been many years since people could refinance, they will get more and more anxious to do so, even if the percentage of equity they can borrow upon is low. If housing values go up, or interest rates go up, and then down, there could be more refinances. Or, if banks simply lower their standards for who can borrow money, we might see more loans going through. We live in a changing world, and markets go up and down.

Look on the bright side, maybe North Korea will get rich and start buying up property in your area. That will drive the price up, and then there will be more refinances. On the other hand you might have more competition from “Un Notary service” if Kim John Un becomes a notary! Picture him being your neighbor!

A Notary enters the Shark Tank

A NOTARY ENTERS THE SHARK TANK

ENTREPRENEUR: Hi, Sharks. My company is called Good Sign, and I’m seeking an investment of 2 million dollars for 15% of my company.

The sharks laugh derisively at the inflated value he’s assigning to his company.

ENTREPRENEUR: Good Sign will revolutionize the entire signing industry. We will hire notaries around the country and have their sign loans. There are many other companies out there doing exactly this. However, the quality of the work performed by these companies is either sloppy, or they micromanage their notaries to ensure proper work. Micromanaging, fax backs, and other annoying tactics are commonplace.

Our strategy is to keep a database of the track record of the notaries we hire. If they get through a certain amount of loans with no errors, we will eliminate the requirement of fax backs so they will be more willing to work for us in the future. Additionally, we could attract notaries who are favorable by paying them up front via paypal.com

ROBERT: This is an interesting business model. But, how do you intend to get contracts?

ENTREPRENEUR: In this business, we solicit Title companies. They always need hundreds of loans signed per month. We can offer them an affordable rate, and an even better rate if they give us volume.

BARBARA: What if the Title companies don’t pay you on time and the notaries who aren’t “favorable” as you put it want to get paid? Surely you won’t pay everybody up front.

ENTREPRENEUR: This is true. The really good notaries like Ken will be paid up front because he’s so knowledgeable. But, the other notaries will have to wait to get paid. But, worry not. Notaries are used to not getting paid on time. Some wait months. Some check the forums to see who pays on time while others don’t. There is an endless supply of new notaries who are too unseasoned to read the boards, and the minute they wise up, there will be another batch of suckers.

MARK CUBAN: I’m gonna clear the field here. That isn’t particularly ethical, but from what I hear of the other signing companies, they aren’t exactly a dream come true either. And for that reason… I’m out.

MR. WONDERFUL: Let’s get to your ridiculous valuation. You’re asking for 2 million dollars. You’re not a business yet. This is pie in the sky notion. And do you know what pies in the sky do? They fall down and land – splat – on your face. Only clowns are interested in pies in their faces… I’m out.

ENTREPRENEUR: This is a dog eat dog business, and we intend on being the biggest dog, dawg. All we need is $2,000,000 so we have salaries for our schedulers, marketing department and rent in a swanky part of town.

DAYMOND: I have a connection with Jeremy at123notary.com. And he tells me the signing companies who didn’t pay their notaries are mostly out of business by now. And the survivers who didn’t pay up are getting a lot of heat, and barely making it. It’s a dumb idea… I’m out.

ENTREPRENEUR: Well, our dumb idea is the same dumb idea that the other signing companies have.

BARBARA: Yes, exactly, and 80% of the ones that were in business in 2007 are out of business now! I’d be too scared to put my money into this, I’d never see it come back. You’re too early. But I will give you a little advice. Consider starting a signing company on a micro scale in your local area so you learn the ropes. Then, if your business model is superior to the others, come back and talk. But for now… I’m out.

ENTREPRENEUR: I accept your lack of an offer. However, I have one small request for you.

ROBERT: We’re listening

ENTREPRENEUR: Your statement of declining our offer, well, can you fax that back to me? I’ll need this 50 page form filled out and faxed to me. Think of it like a giant fax back request — like what we put the notaries through!

MR. WONDERFUL: You’re dead to me!

$10,000 per month on a bad month

I just got off the phone with a notary who is doing really well who advertises on our site. Business has been better for most notaries recently, but not as good as for this husband and wife team. I will not mention their names or locations to protect their identity.

I talked to them about their renewal. Since our prices can go up or down for a particular position at any point in time, some notaries complain about their new price. If the price goes up, they argue and try to reason with me about how it was less last year. If the price goes down, then they think I was cheating them last year. Either way they get upset and criticize me.

This husband and wife team had a different approach. He said something to the tune of — You doubled my rate, but that is okay! Your site is amazing. We get almost all of our business from your site. I don’t know how you do it. We are making more than $10,000 a month in our notary business.

I was flabbergasted. I had heard the story of the new notary company making $35,000 per month which was an amazing story. But, now another notary making six digits. Unbelievable! So, my faith is renewed in a mobile notary public’s ability to make the type of living that makes other people drool.

Please take this blog entry as an opportunity to take a leap in faith that YOU can make six digits in your notary business. Yes, you have to do everything right, but you can do a bang up job, right?

Companies that will hire NEW signers!

Here are some companies that typically hire new notaries. As a new notary, your primary responsibility to yourself is to get some experience under your belt. Don’t be too picky about how much you pay or how pleasant it is to work for some of these companies. The outfits that typically will hire newbies low-ball, require fax-backs, and micromanage you to the point of exasperation. But, tolerate this, because that is how you pay your dues and get your experience. Once you have 1000 signings under your belt, the higher paying Title companies will start to take you more seriously.

Pricing formulas for mobile notary work

This is an area that all traveling notaries need to be an expert on. When a hotel in Vegas rents rooms during the slow times, they charge around $80. But, when things speed up, the same room could be $300, right? Notaries need to think like this. If someone wants you to travel 20 miles in rush hour, charge one fee. If someone wants you to travel 20 miles to do a slow signing at the end of the month when time is in short supply, charge a higher fee. If the job is on a slow day when there is no traffic, you can charge less if they don’t like your regular price for traveling notary work.

What you charge is up to you, but here are the components you should use in a pricing formula for traveling notary work.

(1) Time spent
(2) How valuable the time is when the job is assigned, i.e. end of the month, time is more valuable as there are more jobs.
(3) e-docs, extra fee
(4) Unknown company? Charge a bit more to compensate you for your risk.
(5) Miles – charge based on how far the job is and how long it will take. Windy mountain roads take longer than open freeways, and Los Angeles traffic takes longer than Oklahoma traffic.
(6) Pickup and delivery of documents. Charge for your time.
(7) Does the company cancel a lot? Charge extra.
(8) Are you desperate for work? Charge less.
(9) Three or more signers on loan? Charge more.
(10) Eight or more notarized signatures or a really long loan package? Charge more.
(11) Company owes you more than a few hundred dollars? Turn the job down until you get paid.
(12) Company has a bad reputation for not paying notaries? Decline the job.

Your exact fee for each act is up to you, but the forementioned twelve points are what you need to think about. Here is what I recommend.

Basic signing: $75-$125. Adjust based on how busy you are.
E-documents: $25-50 per double set. Adjust based on how busy you are.
Pickups: $40 extra. Could include some waiting time.
Dropoffs: $30 extra. There is less waiting dropping off.
Reverse mortgages: $125-$175. These are time consuming and long.
Piggy backs: $100-$150. These are long, but not always time consuming for traveling notaries.
Travel fee for mobile notary work: $35-$75 depending on what time it is, how far you are going, etc. Jail, hospital, and late night jobs should be billed on the higher end of the scale, while close daytime jobs should be billed on the lower end.
