Don’t hate the portal — hate the game

A notary on our blog posted a comment calling SnapDocs, “SnapCrap” because the job offers were not worth taking. But, SnapDocs is not responsible for the bad offers, they just provide a super-efficient portal. Don’t hate the portal — hate the game. If the staff at SnapDocs could talk to that Notary, they would call her a “Portal-hater.” And just because you got played, doesn’t make the portal bad.

There are other Notaries on SnapDocs that always get their desired fee. I’m not sure how that is humanly, logistically, or mathematically possible, but I have heard this before. Maybe they live in an area where the buyers are hard up. So, the bottom line is, just because one medium of advertising doesn’t work for you, doesn’t make it inherently bad.

123notary is the sole most popular source of title company jobs in the industry. People get more high paying jobs here than from any other site simply because we systematically scrutinize our site to provide the highest quality possible.

Top Place Listings
It is common knowledge that those who do the best on 123notary have a high placement (generally in the top three spots) and have a well filled out profile. Top spots are not always available. However, if you get the highest spot that is available, and get certified by us and get reviews, if something does become available, you are likely to be promoted to that spot. 123notary promotes the best to the top of the list as much as we can. So, don’t worry about how fast it takes to get to the top, worry about being the best and proving it.

Certification
123notary certification has been around since around 2004. We have made it a lot harder and those who have this certification get an average of 25% more clicks to those in similar positions who don’t have the certification. However, newer Notaries get more than double the clicks by having our certification as it represents credibility for a Notary who does not yet have a name in the industry. You need to prove yourself and bragging doesn’t cut it. Having 123notary claim how good you are means a lot more as we are a highly experienced and impartial judge of quality. Your title companies reviews also speak louder than words (well, at least louder than your words.) Third party credibility is the way to move forward, so put your efforts into getting it through prudent means.

Listing Costs
We price listings based on a complicated formula. You will need to ask for a quote for particular spots. Let us know what city and county you are in as prices depend on your particular location.

What Can You Expect?
Most people who fill their listing out thoroughly on 123notary claim that their listing pays for itself quickly. Shark Tank — Notarizing in the shower for executives

ANNOUNCER: Next in the tank is an invention that can help busy time-strapped and soon to be clean executives get notarized in the shower so that they can save time.

FRANK: Greetings, contestants. I am Frank and I’m asking for $500,000 for 10% of my company called Shower Power Notarizations. How many times have you taken a shower and thought, man, I wish I could be multi-tasking while I were here. I wish I could get my such and such notarized. Well now you can, with my brand new Notary in a Tub business model, Shower Power Notarizations — “All the more shower to you.”

At Shower Power Notarizations, we are a service, with specialized dispatching of Notaries, and special patented waterproof Notary seals, documents, pens, and clothing, so that we can shower the executives of the nation with outstanding services while they are in the shower. We cater to the highest ethical standards. But, we do recommend to our clients who engage in fraud to start practicing now — the art of not dropping the soap. We also do jail notarizations, because we want a 10 years to life relationship with our clients, even if they are not the most ethical.

Mr. WONDERFUL: You’re telling me that I have to pay you half a million dollars for the insane hope that someday I make my money back on an invention that allows perverts who watch me take a shower and ask me to sign something afterwards?

FRANK: Well the perverts don’t watch you take a shower, they watch the executives take a shower, and normally the signing happens behind a curtain so that the Notary doesn’t see the signers’ other pen (if you know what I mean). And if it makes you feel any better, we throw in a free rubber ducky with every signing.

ROBERT: So, can I try your invention?

FRANK: Sure, just get into these swimming trunks and hop in. Here’s your notarized document.

ROBERT: I don’t wear trunks when I shower.

MARK CUBAN: Quick, activate the pixelation.

FRANK: Okay, I’m handing you the waterproof Notary journal. Sign here. In our state, they require wet signatures anyway.

ROBERT: Okay, I’m signing the journal and I already signed the document. That’s okay right? By the way, am I signing my life away with that document?

FRANK: No, it’s an affidavit saying that you like Donald Duck.

ROBERT: Well, just as long as it’s not Donald Trump.

FRANK: Okay, I’m stamping the document… Done!!! One minute and forty-three seconds. How is that for saving time in your executive life? Here is your complimentary rubber ducky with our company branding on it.

ROBERT: I’ll let you clean my body, but you’re not going to clean out my bank account. I’m out.

Mr. WONDERFUL: Deactivate the pixelation!

MARK CUBAN: If we buy 10%, could you throw in a few rubber duckies to sweeten the deal? Strike that. Your invention is all wet, in more ways than one. I’m out.

LAURI: I’m sorry to say this, but this is a rare incident where I would have to say — The Notary is a Quack. I call them when they’re zeros, and I call them when they’re heroes. And this one is a hero!

BARBARA: Are you nuts?

LAURI: I could sell this on QVC. We can demonstrate it with you in the shower. But, I’m going to need a lot more equity. 10% doesn’t get me excited.

Mr. WONDERFUL: What about watching Frank naked in a tub? Would that get you more excited?

LAURI: More excited than looking at your naked head.

ROBERT: How are your sales?

FRANK: Year to date, we have been flooded with orders and none of our overhead went down the drain. We grossed four million our first year. You cannot underestimate the severe time depravity and time poverty of executives. Saving them even one minute will make their day. These people all have assistants that make more than $100,000 per year by their side who will vouch for that fact. We sell to people who have more money than time with a very specialized service with a very high profit margin and strong popularity. Don’t throw cold water on us just yet.

LAURI: I’m going to make you an offer, Frank. But, I want a lot more equity. I’ll give you the $500,000, but I want 50% of your business.

ROBERT: Shazam!!! She’s really throwing out the baby with the bathwater, Frank.

Mr. WONDERFUL: This is the biggest nothing burger I ever saw. You should take it back behind the barn and shoot it.

FRANK: You don’t have to get all in a lather about it.

Mr. WONDERFUL: I’m out.

FRANK: Okay, 50% is a little steep.

LAURI: Do you have a counter?

FRANK: I stick to bathrooms not kitchens, so I don’t have much of a counter. But, how about 25%.

LAURI: No, I have to stay at 50, it’s going to be a lot of work getting this out there.

FRANK: I don’t like your conditioner… I mean conditions. I’m out.

LAURI: You can’t be out, only we can say I’m out.

FRANK: This whole experience has left me feeling dirty. I’m going home to take a shower.

Shark Tank: A signing company wants to sell shares on Shark Tank

CONTESTANT: Hello Sharks, my name is Dave and I want to sell 50% of my company on Shark Tank. We are a signing company that caters to nationwide title companies. We get Notaries around the country to do signings for us, and then keep them waiting forever to get paid to improve upon our cash flow. There is nothing new or innovative about our business practices. It is similar to most other signing companies.

Mr. WONDERFUL: I have a great idea. Since you take forever to pay people who have done work for you, I’ll buy 50% of your business and then take forever to pay you for it.

CONTESTANT: Oh, well, I’m not sure I like that idea.

LORI: If you don’t like being treated that way, don’t treat others that way. What comes around goes around.

CONTESTANT: Well, that’s just the way our industry works. I don’t always get paid on time by title either.

LORI: As I was saying, refer to my last statement.

Mr. WONDERFUL: It seems like you are participating more in the bad karma business than the signing business. Maybe you should change your business model.

MARK: Yeah, perhaps you should pay people a day before they do the work and then they can keep you waiting indefinitely to actually do the work. That is how it is hiring programmers.

CONTESTANT: Please don’t bring up the “p” word.

LORI: The “p” word? Programmers? Why? Did you pay them and then they didn’t do their work? That is a business model for most programming companies in the industry who cater to small clients. That’s why I get an air-tight contract before I hire a programmer to even write a single line of code.

BARBARA: Sounds like you need a better business model. I’m out by the way. But, if you consider paying people upon proof of having finished service by having them fax you a few pages of the work, that might be a reasonable system for having work done and paid for quickly.

CONTESTANT: Yeah. The problem is that if I pay the Notary before I get paid by Title, I might just be out the money.

LORI: That’s a cost of doing business. Pay the Notary whatever you can afford after you calculate the percentage chance that you won’t get paid. At least you will still have good Notaries working for you in this case.

CONTESTANT: Okay. I’m out.

Mr. WONDERFUL: You can’t be out. You’re the contestant. By the way I’m out.

CONTESTANT: Well, it sounds like I’m not going to get paid on time which is why I’m out.

LORI: We could paypal you the funds right away.

CONTESTANT: But, funds can be reversed and the policies are wishy-washy for non-tangibles.

LORI: But, I don’t want anything to do with your type of business model paying people late and not being innovative. Why not a more cutting edge business model where Title is forced to pay within 72 hours of you paying the notary or you either cut them as a client or raise their rates accordingly. You could have the whole pay structure as part of an automated system.

CONTESTANT: Snapdocs is the only intelligent business model these days. The rest of us use technology from the 90’s.

Mr. WONDERFUL: It’s time to get with the times. I’m out. Ooops. I said that already. Oh, running out of time speaking of time. It’s time for our next contestant.

The state of Notary advertising is always changing. Sites go up and down in popularity, and change their policies and business models. 2018 is no exception to this rule. The most popular several sites have changed a little bit in the last few years. Here is my current analysis of the various popular sites.

How much should a Notary spend on advertising?

123notary.com – for the best quality notaries!
123notary leads the pack in terms of attracting the highest quantity of work from higher paying Title & Escrow companies. The reason for this is that 123notary has higher quality standards than any other site. 123notary offers many sophisticated and practical search filters as well. Search by city, county, zip or state and filter for hospital jobs, languages, certified notaries, and more options as well.

Self-praising Notaries who think they know everything are rudely awakened by Jeremy’s quizzes to the fact that their knowledge doesn’t cut it in the industry and that they need to study more. Quality control involves making people regularly log in to their listing, keep their notes updated, study and prove their knowledge. The result of this constant attention to quality is a far higher quality and consistency of search results on 123notary. Notaries who like the idea of constantly improving their knowledge will most likely love 123notary. Those who are anti-knowledge and anti-responsibility might not.

123notary requires all Notaries to log in to their listing every 120 days and also to maintain a good notes section and get a 70% on a Notary Quiz administered by phone or a higher grade if administered by email. 123notary realizes that nobody is perfect and we have to be flexible with our requirements, but we want to deliver the best possible search to the users, and this is why we stress quality control.

Snapdocs.com — an upcoming star
Snapdocs attracts the greatest volume of signings of any directory, but the pay is normally very very low. They have great technology and great search algorithms. The downside is that their Notaries are mostly of a very poor quality. Notaries on Snapdocs normally get paid lower than any other site. However, there are a few who are able to negotiate good fees. I know some of those Notaries personally, and they merit better fees. If you want to get paid well, please consider adapting your knowledge and professionalism to merit good fees. Please also consider that certain directories attract a higher volume of jobs with high fees.

NotaryRotary.com — a good directory that is slowly losing steam
I would estimate that Notary Rotary is getting roughly 10% of the market share of signings and signings from that site are in all price ranges based on what I have heard. Notary Rotary used to be a big contender in the Notary industry. More recently, according to what I have heard, people are getting less and less work from them in 2018. Notary Rotary has a higher quality of Notaries than most sites and caters to finding Notaries in order of proximity which is helpful. Their fees for sign up are reasonable and they have great Notary supplies, insurance and a popular forum.

NotaryCafe.com
Notary Cafe has been around for decades and has always attracted some business. The format of their site has changed over the years. I would estimate they get about 5% of the market share for signings. Notary Cafe has a search algorithm which seems to integrate proximity, and how recently you logged into your listing. It is well organized. However, the quality of the Notaries is not as good as 123notary or Notary Rotary.

SigningAgent.com
The NNA runs SigningAgent.com and this site has the highest quantity of Notaries of any other directory. However, the overall quality of the Notaries on their site is inconsistent. This site is maintained well and has great search features, filters for edocuments, certification, and a flexible radius. Many Notaries like to advertise on this site, but the volume of business it attracts is limited.

Google Local
In addition to marketing on purely Notary sites, many notaries do well advertising on Google Local. Google Local will get you nearby customers for all types of Notary work.

Other Online Advertising
Yelp, and online Yellow Pages. If you want to do paid listings on online yellow pages, start with a small investment and see what rate of return you get before investing a lot; otherwise you might not get any return on a larger investment. I am unaware of how successful Yelp is, but some Notaries do get work from them, and the reviews really attract business to your listing.

Manual Promotion
It is wise to call Title companies and give them your information. You can also contact hospitals, convalescent homes, Real Estate offices, law offices, jails, people who visit jails, and anyone else who might need a Notary. Handing out cards to strangers, customers, and office-mates of customers is a very effective marketing technique. Some Notaries have price sheets which is fine, but the most important is a business card.

Summary
So, whom should you advertise with? Start with 123notary and Snapdocs. But, maintaining your listings is as important as who you advertise with. So, read the other sections of this course to learn how to optimize your listings and say the right things to attract the best clients.

As a Notary, knowing what you are doing, having a good advertising presence, and being reliable all matter. But, if you don’t know how to negotiate fees, you will crumble in this low-ball world. Here are some of the best negotiating tips in the industry from our top players.

1. Let them name their price first
When bargaining, it is much better to let the other person bid first. You can always raise your ask price if they don’t offer enough. But, if they offer far too much, you would never get it if you asked first and asked too low.

2. Start with a high ask price
If you ask for $125 or $150, you can always go down on your price, especially if the job is close or fast. You can ask how many pages, fax backs, and notarizations are in the package. If the job is quick, then give them a quick price.

3. Never whine
If you whine about the condition of the industry or how low the fee was, people will think you are a low life. Professionals don’t whine. Professionals operate! So, if you are offered $60, ask for $85 and see what happens.

4. Decline the low-ball offers
If you spend all day working for peanuts, then when the good jobs come, you won’t have time. Decline bad offers so you are free for good offers.

5. Answer your phone
If you only offer when you are not in a signing and not driving or cooking or thinking, you will miss 80% of your calls. How can you negotiate a good fee if you don’t take the call in the first place?

6. Act professional
Try to impress them without trying to impress them. Most Notaries try to do a snow job and brag about how great they are. Seasoned operators don’t do this. Smart professionals will engage you in an intelligent conversation about the job, the industry and the state of the union. Ask them questions about the job, where it is, who it is for, what type of loan it is, and about their career and industry working in title or escrow. But, whatever you do, don’t talk about your zero percent error rate and how reliable and experienced you are — nobody can verify your claims and nobody wants to hear it.

7. Announce your name when you answer the phone.
Answer the stating your company name and personal name and never say, “Hullo?”. It sounds professional to announce yourself properly. If you have screaming kids in the background that sounds horribly unprofessional. Have a quiet place to answer the phone and if you are in a noisy place, try to go to a quieter place and apologize about the noise. Just because you don’t mind noise doesn’t mean the title company enjoys barking dog and screaming three year old.

8. Talk about real life
Sometimes I talk to Notaries who tell the Title company that you can call me to clean up the mess after you hire one of those $50 signers. Over half my work is clean up work. That sounds real to title companies unlike all the nonsense about how experienced and knowledgeable you are which just sounds like fluff. Tell real stories about how you handled complicated situations that others might have goofed. Mention that split signing where you did some complicated manouver on the Acknowledgment certificate and how you went out to sign the wife at 3am because she could only see you at that time due to her busy schedule as a nurse. This is impressive and much better than fluff.

9. Negotiate timing
You can offer a better rate if they get you late after rush hour. They might prefer to just offer you more and get the job booked.

10. Double book and get a bad review
You’ll get many bad reviews from this, but double booking makes sense. People cancel jobs all the time when they hire you, so why can’t you cancel a few jobs. If you book jobs tightly, generally at least one of the clients will cancel 20% of the time — at least. So, if you book a job for $60 and someone else offers you $150, you can ditch the first job and take the other. You will probably get a bad review that will last for three years, but you will have $90 extra in your pocket. It’s a dirty technique. Not recommended, but food for thought and great blog material.

11. Negotiating on SnapDocs
You need to know how to negotiate if you use SnapDocs. The majority of Notary work (not the majority of the high paying work though) comes from SnapDocs these days. Their technology wins the game although their fees for using their system are a little exorbitant. When given an offer on Snapdocs by text, you need to turn the situation around.

Let’s say you are offered $60 for a job. Text them back saying I have signed “x” amount of loans in my career and “x” amount being the Purchase that you are assigning. I will accept the job and get it signed within three hours, but my fee is $85. Do you want a seasoned pro or a screw up? References available upon request.

There are Notaries who prosper on SnapDocs. Just not that many. And the ones who do well merit doing well with their superior notary and business skills. Negotiating fees will not get you far if you are an unskilled Notary or beginner. You are competing against 12,000 other Notaries (estimate) on SnapDocs who also don’t know anything. So negotiate only when you have a bargaining position.

12. Stress Availability
As a Notary, there are a lot of others competing with you. If you are fast returning texts, answer your phone promptly and are available, you can get a lot more work. The other notaries are not so responsive. Let people know that you are available and can get the job done. That is a huge bargaining chip. And do so without sounding desperate.

13. Be Willing to Talk
Many Notaries are unwilling to talk to others while in a signing. If someone calls about business, give them 90 seconds before cutting them off. You don’t know if what they are calling about could help you or hurt you. Not giving them a chance to speak their mind will be very frustrating. Many Notaries answer their phone only to tell me that they cannot talk. This is like opening your door only to slam it in someone’s face. It is better to answer and talk or don’t answer. Set a limit ahead of time. By being responsive and friendly, you will attract more business. If you think the job you are at is the only job, you are sacrificing your next job which might become a repeat client.

How to negotiate signing fees like a pro!

There are several ground rules when it comes to negotiations.

1. The first offer rule
The person who makes the first offer will never get an optimal price. If you start the bidding first with a high price, you might just get declined without being given a chance. If you ask too little, you will miss out on more pay. If you let the other person make the offer, you will end up with more on average.

2. Whining ruins your image
Notaries are notorious for whining. “You only pay $70….. OHHHHHHH, why can’t you pay more?” Who needs this behavior? If you are such a great notary, you would have plenty of people offering you $125 to $150, and you would just hang up on these low-balling fools. But, if you whine like a baby, nobody will want to work with you even if you accept their pathetic offer. Most notaries are so bad, they are probably not even worth what the low-ballers offer them. Most notaries refuse to study to become fastidious professionals.

3. Take it or leave it
Sure, nobody likes fax backs, but don’t complain. You either accept the job or you don’t. If the signing has 300 pages per set of documents, don’t complain. You either say yes or no. When I do my billing, people always ask me, “What did I pay last year?”. My comment is that it doesn’t matter because last year is over, and that doesn’t effect what this year’s price will be. They want to waste my time looking something up for their emotional gratification which affects nothing. What a time waster. Don’t behave like this. If someone makes you an offer, you take it, leave it, or negotiate. If someone wants to politely negotiate with me instead of whining, they will get a lot farther. First of all I will value them more as a long term client. Second, I will know that they will behave professionally with the people who use my site — and I value that much more than how they treat me. Third, it is not a headache to deal with them. If I ask for $200, and you want to offer a polite counter offer, then go ahead. $100 would be rude because it is out of the ballpark. But, what about $150? Try it. I will probably say no, since my prices were computer generated using six inter-connected formulas. But, it doesn’t hurt to ask.

4. Getting companies to up their fee by $35 is possible
But, I know some very fancy notaries who are at the top of their game who get $50 companies to pay $85. These smooth operators get close-by jobs for $85 that are only a few minutes away. They have fast printers that print 45 pages per minute, so the double set of documents takes less than 10 minutes. They buy their toner or ink wholesale. They don’t whine — they PLAN, and they negotiate! So, in a little more than one hour, these seasoned Ninja Notaries get the call, print the documents, go to the job, get it signed, and get back home, and send the invoice. After expenses they probably made almost $70 per hour. Not bad! So, how do they do it?

5. How to impress the client
A seasoned notary will explain calmly how they are famous for doing clean-up jobs after notaries who didn’t know what they were doing ruined a loan. Why not start with a pro and get it done right the first time? How much did you say you offered again? $60? I understand that you are on a tight budget, but my minimum is $100. I can help you out for $85 today though, since I have a little more extra time than I normally do. Wouldn’t it be worth it to you to hire someone who has signed 4000 loans, and who is meticulous? I have state of the art machinery such as an HP 250,000 printer with quadruple trays, and I can explain all of the documents. Would you like to drill me and ask me a sampling of your hardest loan signing questions to see if I am up to your highest standards?

6. Ask them to ask you their toughest question
Most signing companies don’t ask notaries questions. They should. If you ask notaries questions, 90% fall on their face because they don’t have a clue what they are doing. So, if you do know what you are doing, tell the signing company to shop around, but to ask each of the notaries they talk to how they would explain the APR to a non-borrowing spouse. If you don’t get a good answer after 45 minutes, then call me back! No notary with fewer than 5000 signings can do a graceful job of answering this question even though it is ridiculously simple. It requires study, and most notaries are opposed to that idea!

7. Don’t say anything that sounds phony
Please notice that all of the points I made sound real. None of this, “I’m professional and accurate and do error-free signings.” That sounds phony. Make real selling points because you are selling yourself to people who have been in this business for years and have dealt with thousands of notaries — most of them bad ones at that. Figure out what to say that proves that you are the logical choice to hire, even at an inflated rate. After all, the extra pay translates into less aggravation after the fact. How much aggravation and potential re-drawing fees is the $20 savings worth to you anyway, you tell me?

8. Having a pricing formula sounds impressive
If you don’t like to negotiate, but like to use pricing formulas, that will make you look good. People who understand distances, time involved and other expenses are true professionals who know their business inside out. You might not always get the highest possible fee with formulas, but you will get respect and repeat business.

9. Negotiation points summarized:
I do clean-ups for other notaries who make mistakes; 5000 loans signed; ask me your hardest loan signing question and then ask the other notaries who you are calling; I have an HP (name) printer that prints 45 pages per minute. I have a mobile office — beat that. I’m ready now — let’s do this! All work guaranteed or your money back!
