How to write a notes section if you are a beginner

We wrote a similar article on this aspect of Notary advertising a few years ago. I think it was very helpful. But, let me structure this article as a quick tips article with itemized things to add to your notes section. The basic idea is that if you have no experience, you cannot talk about what you’ve already done. So, talk about what you are willing to do, where you go, or what training you have had.

Don’t write three paragraphs telling us how many years of experience your mentor has otherwise we’ll stop looking at your profile and start looking at your mentor’s profile. Remember, you are selling yourself, not your mentor.

Don’t write six paragraphs telling us about your Real Estate career as nobody is hiring you as a Realtor on 123notary.com. That is something to write a single line about LOWER in your notes.

Don’t waste space telling us how you respect the integrity of the transaction and how confidentiality of the transaction is of utmost importance. That tells us nothing except that you are claiming not to be a conman.

Don’t tell us how important it is to hire a Notary who is experienced and knowledgable. You think the browsers don’t already know this? They have hired tens of thousands of Notaries and are hiring Notaries daily. They know what is important, the question is, are you the kind of Notary they want?

Don’t write two paragraphs about how you are a new mom. People will assume that when they call you they’ll hear screaming in the background. Focus on Notary work.

Don’t use adjectives. people who claim to be reliable, responsible, experienced, professional, accurate, etc., are people who have nothing good to say about themselves who compensate by using a bunch of unverifiable claims about themselves which are usually not true. Experts who hire Notaries see through the nonsense faster than you can say, “skip my listing.” So, don’t use adjectives unless you can back them up with real information. So, what should you write about?

BASICS

Basic information should go at the top of your notes section. If you bury the most critical information where nobody can find it, they won’t hire you. Pertinent knowledge, radius, and special services are what people need to know about first. Don’t bury this in a long paragraph about how wonderful you are!

Last Minute Signings — It is sometimes hard to find someone who accepts signings at the last minute. If you do, that really helps.

Hours — Letting the world know how early you start and how late you finish can really help.

Languages — Fluent in Thai? Let them know. There is more demand for Spanish and Vietnamese though based on word on the street. Also let us know if you are fluent, or only conversational. If you cannot get through a signing with your language, save us the trouble and don’t mention it.

Hospitals & Jails — Most Notaries aren’t experienced with these types of signings which are more demanding. Let people know if you do.

100 mile Radius — Most Notaries are wishy-washy about how far they go. They have three paragraphs of information about exceptions to the rule like if their coffee wasn’t good that morning, they won’t go too far into Morgan County, but if you pay extra they might consider Strantom County. Just list your radius and your counties without all of the hype please. Nobody has time for this.

Counties Covered — List as many counties as you can if you want to get lots of jobs. If you cover counties that nobody else does, even if it is a long drive, you might get a lot of new clients as a result.

Loans & Documents — List all types of documents or loans you know how to sign including types of loans. Most Notaries say they are familiar with most legal documents. This is vague. It is better to list the top several legal documents you see a lot of.

Catchy Phrase — Sometimes a catchy phrase about yourself, your business or service can win the game. Often it is a one-liner that is artfully phrased and catches people’s attention. Don’t bore them with fluff, dazzle them with class!

About You — What is unique about your service or about you that the reader might want to hear?

EXPERIENCE

All of us have some type of experience. Mortgage and Escrow are the most valuable. Real Estate experience doesn’t translate into being a better Notary, and doesn’t make you that familiar with the documents despite what you may think or claim. However, you can mention it in a one liner. Mention other experience, but don’t write paragraphs on it. Keep it short. Military and Police experience are actually very helpful if you are a signer. That way you can keep the peace and use real bullet points in your notes sections!

Mortgage Experience — List any pertinent past experience, particularly if it is in Mortgage, Escrow, or Legal. Don’t be vague about the experience either. If you say you have experience in the legal industry we’ll assume you were a janitor or secretary. If you were a legal assistant, then say so.

Unrelated Experience — You can mention what you used to do for a living. It might be impressive if you were a bank president or dictator of a small country.

Military — If you were in the military, say so. That might prove that you are careful or on time.

Police — If you were in the police, that proves you know how to deal with difficult situations and crazy people. Mention it.

ADDITIONAL INFORMATION

The bottom of your notes section should list all of your “other” information in an easy to read format. Some people use bullet points, and others just list it clearly so it is easy to read. Do NOT put this information in a long jumbled paragraph please.

Certifications — Are you NNA certified, Notary2Pro Certified? Say so

Memberships — Are you an NNA or AAN member? What about PAN or NotaryCafe? List all memberships.

E&O Insurance — Tell us how much you have. Some people only have $15,000 while some have a million.

Equipment— Is your printer a specific brand? Is it dual or triple tray? Does it print 200 pages per minute? Say so.

Closing Phrase — Thanks for visiting my profile on 123notary. I hope to hear from you soon. But, put it in your own words so it sounds a little more unique.

Uniqueness — Uniquess really counts. People who hire Notaries have read through thousands of profiles. If yours is unique and factual, you will stand out in a very positive way as most other people’s notes are jumbled, disorganized, and have no interesting information. Additionally, many of the others ramble on and on about how they value integrity which is a useless and unverifiable claim that is a waste of the readers time. If you waste the readers time, they are statistically less likely to use you. Give them unique and factual information and win the game. Many beginners do quite well on 123notary, especially those who express themselves well.

Here is an easy way to make $4000 more per year

Most notaries are complaining that there is not enough work to go around. They are right — there isn’t. However, there are certain people who get most of the work when there is work. The trick is to become one of those people. The listings that get the most work have a few reviews from satisfied clients, a great notes section, a company name, high placement, and last but not least — 123notary certification.

But, I don’t “Need” your certification. I’m already “certified!”
Unfortunately for you, the people who use our site do not reward notaries for being NNA certified. This is not my decision, it is theirs. NNA certified notaries on 123notary get no more or no less business than any of our other notaries. However, those certified by 123notary get 78% more clicks and more than double (2.5x) the new jobs (generated from our site) than those who aren’t. More than double sounds good to me.

From 3 jobs per week to 3 jobs per day
A few years ago when the economy was better, one notary raved to us that the minute he passed our certification test, he went from getting three jobs per week to three jobs per day. That is phenomenal, and a true story. His luck was considerably better than most other notaries, but statistically, the other notaries did quite well too.

15-100 jobs a year is average
Although the industry is slow, notaries with a p#10 preferential spot on 123notary get around 15-100 jobs per year based on people who we talk to in those positions. Those who get less than that either have already dropped out or will soon drop out. Consider that you are on the low end of the totempole getting 15 jobs a year and our certification helps you get 36 jobs per year. You would be making an additional $2000 per year as a result of your two hours of effort studying and taking our test. That is $1000 per hour assuming you drop out after a single year.

How would the average notary benefit from 123notary certification?
Let’s assume that the average notary stays on 123notary for three years which is somewhat true. The actual number of years for paying listings is around that level although free listings sometimes get removed prematurely if they have bad stats. Let’s say that our average uncertified notary gets 30 jobs per year from our site. Getting certified would raise that total statistically to 75 jobs which is 45 additional jobs which would account for around $4000 extra income in a year. So, multiply three years by $4000 and you get $12000.

Your time is worth $6000 per hour studying for our cert test.
Over the life of your career, the average notary would get $12,000 more income as a result of passing our test which takes about two hours in study time, plus a 6.5 minute online test. Two hours of your time will net you $12,000 in the next several years. It is like a goose that lays golden eggs.

But, you are busy.
What else are you doing that is more important? Many notaries are too busy to do something worth $6000 per hour and get offended when I mention that what they are doing “might” be slightly less important or valuable than studying for our test. What are you doing and what is the value of that work?

Studying for our test: $6000 per hour in long term financial benefit (before expenses)
Doing a notary job: $15-40 per hour (after expenses)
Daydreaming: Zero
Going to a birthday party: Zero
Cleaning house: Zero
Browsing Facebook: Zero
Getting a neck tattoo: Varies

The bottom line is that you clutter your life with tasks which are not optimally valuable, so when an important task needs to be done, you simply don’t have time. My suggestion is that you schedule your other work around your important tasks, rather than putting off the important tasks, otherwise you’ll never get ahead. Schedule your study time in your calendar, make sure your passwords work, and just do it. It might be safer to schedule three non-consecutive days just in case you need more time or have technical difficulties.

Does Real Estate experience help as a notary?

We asked on Facebook which type of professional background helps if you are a signing agent.

Mortgage & Title Experience
Mortgage and Title experience helps to a point, but not that much. I keep telling people, it is a lot different when you are on the “other” side of the table with a notary stamp in your hand. The type of knowledge you need and the type of experience is very different.

Our Quiz
I give a little quiz to people where I ask them a few questions over the phone. People who claim to be experienced and know it all typically complain that I catch them off guard. I tell them that they should know loan signing terminology so well that they should be able to talk about it if they are drunk, stoned, or in a deep sleep. So, I ask people what the technical term for the date of the signing is — and even a loan processor with 30 years of experience couldn’t tell me. Mortgage brokers are notorious for failing our certification test. Additionally, NNA certified signing agents who think they know it all score an average of 30% on our phone test.

Notary2Pro
In defense of notary2pro’s course, the notary2pro graduates get more like 65% on our over the phone quiz which is excellent and comparable to those who pass the 123notary certification test.

Realtors
But, the worst luck I have had is with people who tell me all about their Real Estate experience. They tell me for 10 minutes how they know all about loan documents because they were a Real Estate Agent. Then I ask them what the APR is, and they say, “Huh?”. The APR, don’t you know the APR? How would you define the APR? Then if they are somewhat with it, they define the APR as being the Annual Percentage Rate which is not a definition, but another spelled out name for the APR.

Negative Advertising or Neutral Advertising?
In any case, from talking to enough Real Estate Brokers, being in that profession is nothing to brag about when trying to advertise yourself as a notary. In fact, I think it is neutral advertising. It is sort of like saying that you know nothing about being a notary, so instead — you will try to pass yourself off as someone who knows the documents — when in fact you don’t know the first thing about being a loan signer and don’t even know what the APR is in most cases. Additionally, many Real Estate Brokers will write three paragraphs in their notary notes about their Real Estate achievements when the reader wants to know about what types of documents and financial packages they have signed and more about their notary credentials.

OMG. Are all Realtors this bad?

The bottom line is that if you want to be a signing agent, study to be a signing agent. Study from 123notary if you want our certification icon on your listing. Otherwise, study from notary2pro for some good one on one mentoring from their staff. Being a Real Estate agent and mentioning that in your notary notes will not help you or harm you. Just quickly mention it, and then go on to describe the intricacies of your notary knowledge, memberships, equipment, credentials, coverage areas, and more…

10 quick changes to your notes that double your calls!

I have been poking around and seeing how the newer listings are performing. Basically, it is bizarre. Some are getting clicks up the yazoo, while others get one click per week. So, I decided to take a closer look and see what is going on.

Obviously, notaries with reviews get tons more work simply because they have credibility from 3rd parties. But, brand new listings don’t have any reviews, so the only thing that makes them different is their NOTES section. So, what did I notice? Many notaries refuse to write a notes section, so I have to make something up for them. I write stuff like: I am reliable, motivated, and personable. These wishy-washy adjectives mean nothing to me, but I wonder what they mean to the browsers on our site. The answer is that they mean something alright! Worse! The ones with nonsense claims using a string of adjectives and commas are getting next to no clicks! So, what works and what doesn’t. The good, the bad and the ugly.

(1) Adjectives: BAD
Example: Reliable, personable, friendly, accurate, detail oriented

Result: Will get you far below average clicks just because you are saying nothing about yourself that sounds REAL to the reader.

(2) Years of experience: So-So
The number doesn’t reflect what you have actually done. Having many years of experience doesn’t count against you, but it also doesn’t count for you.

(3) NNA certification: So-So
Result: Generally, those who claim to be NNA certified do no better than the average notary. If you average it out, those who claim to be NNA certified do oh so slightly better than the average notes section of other newbies. BTW, 90% of notaries on 123notary are NNA certified, so by claiming it on your profile you might as well say, “I am no different than 90% of the other notaries on this site”

(4) Real Estate Agent: So-So
To me this is a waste of space. Those with Real Estate backgrounds fail to realize that despite their self-promoting claims, they really don’t understand the loan documents at all unless they have really studied for at least five hours from a loan signing course. It is not a selling feature because people want to hire you as a notary, and not to sell their house!

(5) Languages: Good
I encourage people to list their language first, before stating anything else. Fluent Spanish; Conversational Cambodian; Some Portuguese. In your notes section you can say how well you speak the language, but NOT in the language field which only accepts the name of the language. Those who put their language skills up front got more clicks, but nothing earthshaking.

(6) Radiuses: Very good
Example: 100 mile radius; or; Travel above 20 miles is charged an extra fee.
The notaries who listed how far they went in a clear and non-verbose way did better on clicks. EVEN if you have restrictions about how far you will go for a charge, the fact that you will go far away means a lot to the readers.

(7) Terms and Conditions: Good
Even if you have extra fees, or large charges, people like getting the facts. They are reading your profile for facts, not fluff.

(8) # of loans: Good
The number of years you have been in business says very little. But, the number of loans says a lot more. If you have done 1000 loans, you might still be ignorant of a lot of what you need to know, but at least you can measure your experience.

(9) Last minute signings: Good
Notaries who do last minute signings got more clicks. Nothing amazing, but they got a lot more jobs as well. Clicks and jobs are not proportional. When it comes down to getting a job assigned, you need someone who will jump when you say jump.

(10) Minimums: Good
Minimums are constrictive, but show that you are professional and mean serious business. We found only three examples of people with minimums. One did a lot better than average while the other two did average. It doesn’t seem to hurt to have a minimum.

A resurgence in interest in 123notary certification

More and more Notaries are becoming a lot more serious and interested in 123notary.com certification. In the old days people said, “I am already NNA certified so why do I need yours?” The answer was always — how much work do you get from signing agent.com. The answer was generally, “not much.” Our site is based on quality and our certification gets people more work.

The amount of interest is like drops in a bucket. Every week a few people express interest and some of them will study enough. But, this can add up over time. Carmen and I like teaching people and we have given a lot of free time to those who expressed an interest in Notary knowledge.

I hope that in the future people start taking notary education more seriously. Although the general climate in the notary industry is low-balling and not quality, quality notaries do get more business and do make more money. So, there is a huge benefit in being at the top of the food chain even in today’s market.

People love our Notary Public 101 course on the blog. We have had more than 10,000 people visit the home page of that course. Most people read it for pleasure and not for mastery, but that is better than nothing. I hope that more Notaries express an interest in learning regardless of who they learn from. 123notary is not just a job, it is my craft and I seek to be the best craftsman I can be by having the best directory. Having the best directory means having the best and most desirable Notaries and that means that you guys need to study and be your best.

Many of you have the intellect to be masters of this trade. However few of you start out with the knowledge. Knowledge is there for the taking. It is just a matter of approaching the information with the intention of mastery. This takes time, patience and perseverance, and perhaps a little tutoring from the people here at 123notary.

Phone interaction tutorial

Some notaries wonder why they are not getting any good Title companies to work with them. When we call some of these notaries up, we see within seconds why they are not popular. First, the way some people answer the phone is horrendous.

Bad phone answering skills

“Hullo?”.

Do we have to guess who we are talking to? Or should we introduce your next assignment to your son because you forgot to announce yourself over the phone and we can’t tell you apart from your son?

Do your children answer your phone? Big no-no. How about your spouse? If you are a husband and wife team, that is understandable, but you still need separate cell numbers and you still need to let us know who you are when we call you. Otherwise we have to ask.

Title: Hi this is Marg from XYZ Title, may I speak to Susan please
Susan: (abruptly) WHO is this?
Title: I think I introduced myself very clearly — this is Marj from XYZ Title, may I speak to Susan please
Susan: Okay
Title: Okay, are you Susan?
Susan: Yes it is

Title: You made me work very hard just to try to decipher who you were. Are you going to be this difficult working with? I had to repeat who I was twice while you evaded announcing who you were. I am not the only person who needs to give information around here, especially if I am paying. I will call someone else. Thanks.

It is very rude to make someone repeat who they are before you reveal your secret information about who YOU are. If you are rude to Title companies, they have plenty of other inexperienced and unprofessional notaries to choose from.

Background noise

Is there background noise when you answer the phone? Are there screaming children or other noise. You should apologize about the noise as soon as you can and move out of the noisy area. Otherwise, nobody will have patience for you.

Someone else answering the phone?

If you are in business for yourself, it is extremely unprofessional to have someone else answering the phone for you. However, if they introduce themselves professionally and can carry on a professional sounding conversation, it might be tolerated. The worst thing you can do is to have a busy-body answer your phone for you who pushes their unwanted helpfulness on a caller.

Title: Hi, this is Marg from XYZ Title, may I speak to Susan please
Fred: Susan is not here, but I can help you.
Title: Thanks for your offer Fred, but I would like to Speak to Susan please, and I clearly requested that I wanted to speak to Susan
Fred: Can I help you with something? I can do everything that Susan can do
Title: You are being a bit pushy Fred. I am calling for Susan. I do NOT wish to conduct my business with someone other than Susan.

Please notice how Fred is offering unwanted help and trying to push it down Susan’s unwilling throat. This happens a lot when I call people. They don’t take no for an answer and get in trouble with me as a result for rudeness.Notice how Fred didn’t once offer to take a message for Susan. He was pushy and very unhelpful in the ways that Marg might have wanted to be helped. What a headache.

Asking people to repeat

Do you have other people keep repeating everything they said. Are you paying attention? Or can you just not think clearly, so to avoid having to respond to something you don’t know how to respond to, you ask people to repeat. If you are in a noisy place, or have a glitch in your cell coverage, you might apologize for the sudden static in your cell phone. Tell them that you heard the “I need you there at…. blank o’clock” part. That way they know you are listening and heard everything but the one critical word. That is acceptable. But, if you loudly say, “WHAT?” after everything the other person says, they are not going to hire you. Roughly 15% of our notaries are people who ask us to repeat ourselves multiple times during a conversation. It is very unpleasant and nobody is going to want to pay money to someone who is such a poor communicator.

Unprofessional remarks and behavior

(1) Oh yeah, you’re calling about that notary thing. (are we in Junior High still?)

(2) I just got my notary. (you mean your notary commission?)

(3) I just got off the phone with the customer, (you mean the borrower)

(4) Annoying or harsh music on your answering machine is considered unprofessional too

(5) Not having your name stated on your answering machine is unprofessional as well.

(6) Not knowing your basic loan signing terms and procedures is unprofessional and dangerous

(7) Answering the phone only to tell someone that you are in a signing. If you are in a signing and can’t talk, then why are you answering the phone?

(8) Answering the phone to tell someone that now is not a good time to talk. Why not let them leave a message if now is such a bad time.

(9) Answering the phone and telling them that you already sent the documents back when you don’t even know who is calling. Do you ASSUME that you are talking to the signing company from that job that you are at right now when it is someone completely different? Dumb!

(10) I’m certified. (you failed to mention which entity certified you)

Notes section

Most notaries do not include any unique information in their notes section. Instead they start off by talking about the least consequential information you can think of such as E&O insurance, background screening, and the fact that they are certified. Everyone on 123notary is certified by someone. It won’t get you ahead unless you have the 123notary certification icon. Indicating that you are NNA certified on our site will win you 0% more clicks since 90% of everyone else on 123notary is also NNA certified. You might as well say, “Hire me because I have two arms and two legs.”

Write about what makes you unique. Talk about your experience. Number of loans signed. Number of years as a Mortgage Broker. Specific types of loans signed. Do you offer last minute service? How many miles is your radius? Information that is unique to you.

The other notaries all claim to be dependable, reliable and professional, yet only 10% of them actually meet our standards for these adjectives so they sound phony. Do you sound phony? Talk about something that sounds REAL and UNIQUE. If you were a school teacher for 25 years, then you can claim to be good at nitpicking other people’s work and noticing all of their mistakes and everyone reading your notes will believe you.

Tone

Some people just start out sounding unpleasant. Their words might be good ones, but their tone just doesn’t sound appealing at all. Talk to me on a bad day and I have tone too. But, some people always have tone. Try to sound pleasant when talking to clients or prospective clients.

Arguing

Do you argue with clients? They want it their way. Don’t say, “Well I usually xyz”. Nobody wants to hear this. You should be asking them how they want it done? Would you like tomatoes on that? Now you are talking! Don’t accuse your clients of being overly demanding. Do they pay you? Then work for them and do what they want for the right price.

Vagueness & Rambling

Do you answer questions with vague answers?

Q. How far do you go?

A. Well, I usually cover Carbon county, but I might go to Hutchinson county if it is not too far in because my niece lives there and ….

Q. Lady, can you just tell me your radius in miles please without your life story?

A. Oh, well, it depends.

Q. Thanks for the help, I’ll call someone else

People in the signing industry are tired of this type of run around. Just answer the question the way it was phrased.

Q. Can you get the documents sent back to me tonight?

Boy, what a hassle. This is not brain surgery here. Just say, “Yes, I’ll get it in the drop box tonight — guaranteed!”. And then do it.

Basically, we put up with a lot of unprofessional behavior. The smart notaries tend to be argumentative while the newer notaries often can’t function at all. Communicating is very hard for many, as they can not make a simple request without telling you their life story. Nobody has patience for this. People at signing companies deal with 100 notaries per day, and need their questions answered fast, and there is no time for nonsense. If you can’t communicate and do your job correctly, you will be sitting on the bench your entire career. It is not that difficult to be a notary. Just know your terminology and procedures, and learn to communicate effectively.

Notaries will be Notaries

Jeff came over to Brian’s house. But, Brian wanted to see some ID. Jeff said, but we’re friends!!! Brian says, sorry, it is a force of habit. You know how we Notaries are.

Then Sarah came over and said, “Don’t I owe you money?” Brian said, “Could we put it in writing?” Sarah said she already did. But, Brian wanted her to sign it again. He wanted a “wet” signature.

Later on Jen went shopping with Brian. Brian said, “Check out this steak.” Jen asked, “Is it certified?” Brian said it was. Then Jen asked, “By which agency is it certified? I’m NNA, Fidelity, Old Republic, Notary2Notary, and Blueprint certified.”

Once again — “Notaries will be Notaries.”

Signing Agent questions answered

Here are some basic questions that people have with quick answers.

1. Should I start a notary website?
Quick Answer: No!
Commentary: It’s very expensive and time consuming. Probably not unless you’re really serious.

2. Should I sign up on Notary directories?
Quick Answer: Yes!
123notary, NotaryRotary, Snapdocs, and NotaryCafe are the best, but they are all different and attract very different clientele and varying amounts of business. 123notary gets more title work, while Snapdocs gets a high quantity of low ballers.

3. Do I need to understand the documents I notarize
Quick Answer: No!
Commentary: Your job is to fill out forms correctly and identify people correctly. The document doesn’t need to even be in English in most states. But, the signer should understand it.

4. Does 123notary have quizzes with yes/no answers
Quick Answer: No!
Commentary: We prefer multiple choice or open ended questions

5. Should I get certified?
Quick Answer: Yes!
Commentary: Notary2Pro has the best teaching. 123notary’s has the highest testing standards. LSS is the most up to date as to the current market conditions. NNA is the most widespread but their graduates do the worst on my test. We like the NNA in most ways, but not in terms of their testing standards.

6. Should I backdate?
Quick Answer: No!

7. Should I read Notary Blogs?
Quick Answer: Yes!
Commentary: Read your state notary manual and take some courses as well.

8. Should I put care into maintaining my notary profile?
Quick Answer: Yes!

9. Should I sell my van and buy an expensive high spot on 123notary?
Quick Answer: Yes!
Commentary: We prefer to wait until you have signed at least 500 loans, have a good notes section and a few reviews or 123notary certification before you invest big bucks in a high placed listing. That way you will be likely to get a good ROI and be happy with our service.

10. Can I notarize a photograph?
Quick Answer: No
Commentary: Notaries notarize signatures on documents. Even if a photo had a signature, there is no document making any type of statement.

A final note — you also cannot notarize your cat unless it is an oral statement of meao!
