Expressing yourself as a Notary for marketing purposes

Business is booming for us after seven slow years. What a relief. We are getting a lot of new blood finally and it feels good. The newbies seem to have the same problem describing themselves as the people who preceded them.

Many Notaries want to tell the world things that count against them. Here are some:

1. I shadowed with such and such a Notary.
If the only experience you have is shadowing Penelope, then perhaps the person looking at your profile should hire Penelope, and not you. Shadowing is best left unsaid unless that is in addition to certifications from known agencies.

2. I became a Notary two months ago.
This makes you look like a real novice, wastes space, and counts against you. If someone asks, you can tell. But, you need to give people why they should use you vs. reasons why they should avoid you.

3. I am working on the Notary2Pro course
Notary2Pro is an excellent certification course. We recommend them highly as they do well when I quizzed them several years ago. Carol gets back to people fast with answers to their questions. But, let the world know once you have finished it. Nobody likes a half done job. We sell ten certification courses for every person who attempts the test, let alone who passes it. Buying a course doesn’t make you valuable, passing the test does.

4. I have 25K E&O but will soon be upgrading to 100K.
Don’t tell us what you will be doing, tell us what you have now, and then edit your listing once you have the higher Errors and Omissions policy.

5. I am background screened
By whom? Some companies like NNA and Sterling have a good reputation for background screening, others are relatively unknown and the procedures vary from company to company.

6. I am a Certified Notary Public from the State of Maine and I service Waldo County and do Refinances.
Once again, being “certified” means nothing unless we know who certified you. The testing standards and courses vary. 123notary has the hardest certification test. Pass ours and we will really respect you and you will get more clicks. The next problem is that you are mixing information about certification, your state of commission which is not necessary to put, as we assume you are commissioned in your state otherwise you can’t work. You next list your coverage areas in the same long drawn out sentence. I prefer to put certification(s) in one section with background screening and E&O. Then, in another section I put counties.

7. Hi, my name is Mary Smith
We already know your name is Mary Smith, it says that on the top of your listing. Why tell us twice? That takes up space when you could be telling us something else. The top of your notes section shows up in the search results. Tell us something that makes you stand out.

8. I travel
Everyone on our site travels, well almost. Maybe not the UPS stores and we have a few of them. But, the other 99% of Notaries do travel. People will assume you do.

9. I am reliable, responsible and punctual
Save it. Coming from you, that translates to — I am a novice, I have nothing to say about myself, so I will make unsubstantiated claims about how great I am with the hopes that the reader will believe me even though I have not demonstrated one ounce of credibility to anyone in this industry. Stick to the facts and let your clients put how great THEY think you are in your reviews, or pass my test.

10. I do all types of loans
Most people on my site claim that they know how to sign every type of loan. When I go through my list of 30 common types of signings most of which are Mortgages of one type or another, they typically do anywhere from 20-80%. I have yet to meet a 100%. So, basically, you are being vague, and deceiving the reader into thinking you really are experienced with every type of loan. List them one by one.

WHAT YOU SHOULD WRITE

Cold hard facts
Warm fuzzy “about you” descriptions

When you write about your skills, don’t omit the types of loans you know how to sign. It doesn’t hurt to mention you do refinances, Helocs, purchases, etc., But, 99% of Notaries out there can do those. Do mention it, but focus more on what you do that makes you special. If you are familiar (define familiar) with REO, USDA, Annuities, Applications, Reverse, and Debt Consolidations, that makes you more unusual. Most Notaries have either never done a Reverse Mortgage, or a Debt Consolidations, and the ones who have, typically don’t like doing them and half of the ones who have done them say they don’t want to do any more of them.

We think you should write briefly about your certifications (mention by whom you are certified), memberships, background screening, E&O insurance, and professional background. Don’t write a novel on your award winning Real Estate career. If it is so great, why are you a Notary in the first place? Wouldn’t you be busy selling houses unless you got tired of it? Mention that you do Real Estate, but not more than a sentence or two maximum for best results.

Warm and fuzzy descriptions are hard to teach. But, anything unique that has a nice feel to it about you will look really good. The readers are tired of cliche sounding notes sections. Seen one seen them all. If you have a classy line or joke, that sometimes can do well — it depends, but is worth trying.

Everything you need to know about writing a great notes section

Most Notaries underestimate how critical it is to have an amazing notes section on your listing on 123notary.com. They just write how they are background screened and have E&O insurance. They stop there. Yes, this is important information and it can be a deal breaker if you don’t have the right background screening from the right agency, etc. However, the Notaries who get lots of work from 123notary tend to have 123notary certifications, reviews from satisfied clients and a very thorough notes section. So, what is the secret? The secret is to be specific, unique and well organized in what you write about yourself.

(1) Selling Features
The top of your notes section should stress selling features. What can you say about yourself that others might not be able to say that would make someone want to hire you. “I’m reliable.” Everyone claims to be reliable, and then they show up late making a mockery out of their claim. Try something that you can put your finger on. But, I really am reliable? Yes, but your notes section can’t prove it — so skip it. Instead, let’s think about what types of loans you know how to sign. Don’t just say, “all types.” List them one by one. Do you have some unusual qualifications? Were you Notary of the year? Do you do jail or hospital signings? Are you fluent in Uzbekistani hill dialects? These are things that help you stand out. Were you a CEO of a Mortgage company? That helps too. If you have Escrow, Title, Underwriting, Processing, Settlement, or general Mortgage experience, that is a huge plus on your notes section. Make sure to indicate that high in your notes. Remember — the first 200 characters of your notes show up on the search results for your area, so digress to impress! (actually don’t digress, but use that space to squeeze in as many selling features as possible)

(2) Specialties
One of the most valuable pieces of information you can include in your notes are your specialties. Instead of bragging about how you are error-free or dependable (which nobody wants to read,) instead list the types of loans you know how to sign, types of major documents or procedures you are familiar with. Do you go to airports, offices, or jails? Do you do Weddings or Apostilles? People are very impressed when you have highly specialized skills, so mention them.

(3) # of loans signed
Most Notaries up date the # of loans signed once in four years. When I mention that their profile says they signed 200 loans, they say, “Oh, that was five years ago. I must have forgotten to login — I’ll go in there.” You need to “go in there” and update your info every few months or you will have information that is collecting cyber-dust.

(4) What is hot and what is not?
Radiuses are hot. If you have a wide radius, tell the world. 100 mile radius shows you are serious (or crazy.) Last minute signings are a good thing to mention. Do you accept faxes or are willing to do fax backs? That narrows it down. Are you background screened? Is it by NNA or Sterling or someone else — if you’re screened by the wrong agency, you don’t get the job! Do you know how to do eSignings? That will make you stand out!

(5) Professional memberships and certifications
Are you NNA Certified, Notary2Pro certified, 123notary certified, or trained by some other agency. It is impressive especially if you have four or five certifications. Mention these as well as your memberships. But, please don’t say you are an NNA member in good standing. The only way to be in bad standing with any agency is by not paying your bills or perhaps being convicted of a felony.

(6) What is unique about your service?
Is there something unique about the way you do your work? Or do you have a catchy unique phrase about yourself? It is very hard for most people to think of anything unique about themselves. But, if you really put some thought into it over an extended period of time you might come up with something good. We have two blog articles below with some of the best unique information we’ve ever seen.

(7) Avoid vagueness
Did you work for 10 years in the legal industry? What does this mean? Were you the company president or did you mop the floor for an Attorney. State your job title or what you did very clearly. If you were a legal secretary of Paralegal, that is good to know. Not a selling feature. Additionally, try to be specific about your claims. Rather than saying how good you are with people, give a concrete example of how you are good with people, or what experience you have that proves you are good with people.

(8) Avoid restating information
Many Notaries restate their company name, their company mission, phone and email in your notes. Your notes is to give additional information about your service, and not to restate what the reader already knows. Remember, those top 200 characters go in the search results, and if you say, “We are here to serve” nobody will click on you.

(9) Counties served
There are 12 boxes where you can indicate your counties served. If you wish to restate this info in your notes, put it near the bottom as this is not a selling feature. If you want to indicate which parts of which counties you serve, the notes section is the only place to go into such detail. Others choose to mention specific towns or cities served. Please avoid stating which zip codes you go to as that is too nit-picky.

(10) Writing about your mentor
New Notaries always want to bend my ear about how they don’t have experience, but their mentor has signed 10,000 loans and they have been to many signings with their mentor. After hearing ten minutes about their mentor I say, “I’ll hire him — I’m convinced — But, I wouldn’t hire you in a million years because you don’t stand on your two feet!” Don’t talk about your mentor. Talk about what training programs you have passed.

(11) Writing about your Real Estate background
Notaries regularly write, “I am a Realtor and therefor am familiar with the documents.” But, when I quiz them on the documents they fail almost every time. Also, many Notaries will write three paragraphs about their Real Estate business or Process Serving, etc. People are coming to 123notary to find a great Notary, not a Real Estate agent. If you want to quickly mention in the middle of your notes that you are a Realtor, that is fine, but don’t make it the central point of your notes.

(12) Educational background
If you want to write about your degrees or former professional experience, unless it is Mortgage related, it should go in the middle or lower middle part of the notes as it is not critical information in the eyes of the reader.

(13) Equipment
Yes, you can write about your equipment. Sometimes we recommend using bullet points for quick points such as E&O, certifications, and equipment. You can mention what type of printer, scanner, fax, or mobile office you have. Just don’t put this up top. It belongs in the middle or lower middle of your notes.

(14) Closing statements
Some Notaries choose to have a closing statement while others don’t. We like it when Notaries do. You can say, “Thanks for visiting my listing.” Or say something a little more unique.

(15) Don’t jumble everything in one paragraph
A good notes section is divided into several logical sections. We normally like to see an intro with selling features, an about you paragraph, some bullet points, and a closing statement. There are many formats for winning notes section and you can decide what is best for you.

(16) Ask for help
123notary gives free notes makeovers. However, we cannot write the content for you. We can filter and reorganize it though. When we redo people’s notes sections they average an increase of 55% more clicks per day to their listing. So, ask! And get some reviews on your listing while you’re at it!

10 risks to being a Mobile Notary Public.

Notarize at your own risk. Being a Notary is NOT safe!

Many of you think that being a Notary is an easy way to make a few extra bucks. Stamp a piece of paper, get $10, easy, right? Then you deal with nitpicky signing companies who make you fax things back and you get mad, right? That is an annoyance, but not the bigger problem. Being a Notary is dangerous, particular when you don’t do your job correctly. Most Notaries feel that you look at an ID and if it is close enough and the photo looks like the guy, that you are doing your job, right? Sort of. Here are some itemized risks to being a Notary Public.

1. Hoarders
If you go to someone’s house and they have things stacked to the ceiling, you might be in danger in their house. The signer doesn’t want to hurt you. It is just that they cannot control their psychological disease that causes them to engage in hoarding. My housemate is like this and she has stuff stacked to the ceiling which is dangerous and a fire hazard. Something could fall on you or you could get trapped in a fire.

2. Bio-hazards
Some homes that are not cleaned properly are dangerous. One house Carmen almost went into had some bacterial infection that would have gone straight to her lungs and caused her to go to the hospital. If a house smells funny, maybe you are not safe in there. If it is not ventillated properly, perhaps you should stay away. Poor hygene can be deadly, so be advised.

3. Dogs
Some neighborhoods have unsafe dogs around. Notaries could be harrassed or bitten by dogs. Carrying pepper spray or mace is not a bad idea.

4. Slummy neighbors
You might go to a signing in a bad area and people nearby might be hanging out who look unsavory. I am not sure if this is dangerous, but some people get upset.

5. Angry borrowers.
One Notary got pushed off a flight of stairs and broke her wrist. The borrower didn’t like his APR and I guess the Notary didn’t educate themself on how to give a professional explanation of the APR either. The borrower ended up in jail very quickly and the Notary healed in two months.

6. FBI and lawsuits
Roughly 2% of full-time Notaries will end up in court or with an FBI investigation for being involved with identity theft. If you do not keep a thorough journal with thumbprints and the right amount of journal entries, you are much more likely to be held in court as a witness, suspect, or cause yourself extended grief. Without a thumbprint, the investigators are often helpless to catch really really bad people. So, help them out and keep thumbprints. Do your part to safeguard mankind.

7. Getting sued by a borrower
One borrower got mad and sued the Lender, Title company and the Notary when the Notary had done nothing wrong. The Notary tried to use their E&O insurance, but the company wouldn’t pay out because the Notary had not made any error or omission. Of all the bad luck. So, the Notary lost $30,000 in legal fees. Talk about bad karma.

8. Getting sued by the bar association
If you life in an Attorney state and do loan signings without a law license, the bar association might come after you. Good grief.

9. Jeremy might phone quiz you.
Many Notaries who thought they had it together got a phone call from the infamous Jeremy (that’s me) and failed an over the phone quiz. They rationalized, “I’ve been doing this 30 years and therefore I know what I’m doing.” My rationalization is, “Not if you got 18% on my quiz which consists of very easy and every day notary questions.” You might not lose any money, but you could lose your dignity if you score less than 70%. So, study up!

10. Your seal could be stolen
It happened to me. I had to write to the Secretary of State. My car was broken into and I lost my seal, embosser and journal. What a tragedy. It took me two and a half weeks to be back in business. Think of all the money I lost not to mention the trauma of being robbed of my most prized possession — my inkless embosser that I used as a secondary seal to deter fraud! Boo-hoo.

There is also the risk of traffic accidents and having one of those talking GPS systems that talks back to you when you get in the wrong lane, but I won’t include details of those problems as they are common to all humans who drive and not just to Notaries. The end!

Notary Circus

Welcome to the Notary Circus!

In ring 1 we have John Quincy, Notary Public. He will be doing a juggling act with not two, not three, but five Notary seals, and embossers. Oh wait, he is throwing two of the seals to his partner Vicky who is not standing on her head while juggling.

Meanwhile in ring 2, we have ten clowns getting into a small car presumably to go to a signing. Oh no, they can’t fit in. The signing will have to be delayed. I hope the borrower will not lose their loan. What a bunch of clowns.’

But, wait, an elephant is entering the scene with smiling Notary riding on top. But, where will this elephant end up? Oh, it is going to the signing and leaving the clowns behind. Personally, I don’t think clowns should do this type of legal support work — it is just too critical. Wait — a little house is being wheeled in with borrowers inside. The elephant is stopping, the notary is dismounting the elephant and is notarizing with a huge oversized notary seal.

The notary finishes the signing, takes a bow. Wait — now, a clown is approaching him with something behind his back — what could it be? Oh! The clown has a pie and throws the pie into the Notary’s face. I bet that clown works for a non-paying signing company, or at least desires to have the same effect on the Notary.

Now, in the back, a notary and signer are walking the tight rope. The notary will do the signing suspended in mid-air. Wish him luck. Fortunately there is a net to save him. We call the net E&O insurance for circus Notaries.

What about the notary freak show? Oh, not a Notary — a signer who doesn’t look at all like his oversized ID. It doesn’t even look like the same person. Here is another notary freak who goes to the signing drunk in shoes that are triple the size they are supposed to be. Oh look, a 9 food tall bearded lady incredible credible witness. I have seen it all folks. That’s all for today.

A list of things you probably did not add to your notes section

Every Notary profile has a notes section, but Notaries are notoriously sloppy about what they add to their notes section unless they are very seasoned Notaries. So, I compiled a quick list of things you need to add.

1. Uniqueness – What is unique about your service? Do you speak another language, go to hospitals, have an advanced degree, or are Fidelity approved? These things should go up top so that people can see this on the search results. The top of your notes section once again does show up on the search results.

2. Loan Types – What types of loans are you experienced with? Just saying that you do them all doesn’t say much. It is better to make a thoughtful list of the loan types and types of documents that you have signed before.

3. Equipment – Do you have a particular type of printer, scanner, fax, or a mobile office? Make sure to share that with the world.

4. Other Information – Do you have E&O insurance, how much? Are you certified by any particular agency? Are you background screened and by whom?

5. Coverage Areas: How many miles is your radius? What particular counties do you cover? Make it easy. If there are too many if-then statements about you only go to Horry County on an empty stomach if it is before 8pm, unless it is Summer in which case perhaps 8:30pm but only if you feel like it… That is too complicated. Just say you go to Horry County.

6. About You – It is hard for most Notaries to write about themselves. The tendency is to reduce yourself to some cliche adjectives that are identical to have 10,000 other notaries would describe themselves. Avoid this and paint a realistic picture of your style of doing work, about you, your professional background and what is unique to you.

7. Minimums – Some Notaries have a minimum of $100 plus eDocuments. If you stick to particular prices and are not wishy-washy, then publish them in your notes section. That way your calls are pre-filtered. But, if on Monday your minimum is $100, and then on Tuesday you are desperate and lower it to $80, then keep it verbal.

8. Professional backgrounds – Don’t be vague and say you worked in the financial industry. Say what positions you held and what types of work you did. People want specifics not vagueness. Don’t say you worked in the legal industry otherwise we will think you were the window washer at Hartman, Smith, and Stone.

9. A catchy phrase – Most Notaries do not bother to put a catchy one liner in their notes. It might take hours to think of. Good business names are equally hard to think of. People who search for Notaries are bored reading boring notes sections. If you can make up something interesting and catchy to say, you will inspire people to call you. If you are serious about the business, it is worth your time.

10. Organization tips – Don’t write a notes section that is a jumble. Keep each section well organized and separated by a line of space. It is easier to read and more pleasant too. Please remember that those reading your profile read hundreds of profiles and will be more likely to use you if you come across as being organized.

Do you invest in your notary business?

Some people who are Real Estate brokers invest heavily in licensing fees, insurance and other expenses to maintain their Real Estate career. But, how many Notaries invest heavily in their career? People who advertise with us often do, but not all of them.

E&O Insurance is not for free, but can make you look like a serious contender, especially if you get a lot of it. The irony is that when you try to collect, they might not pay if the situation is not a notary error. A signing agent error on a non-notarized document is not a notary error. Read the fine print.

High placed listings on 123notary get a lot more business than the rest. Smart people get it that they need one if they want their business to grow.

Asking for reviews is free, but an investment of a small effort on a regular basis. Smart Notaries understand that asking for reviews is investing in credibility and nothing beats credibility. If you have no credibility, then you are reduced to being one of those notaries who brags about how great they are when none of their customers think they are good enough to write a review for. Food for thought.

123notary certification gets more clicks and more title work. Most people think that knowledge is not important. But, the cost of screwing up a loan and losing a client is heavy. And the cost of not getting clients in the first place because you have no credibility is a problem too. Investing in knowledge pays off day after day for decades. So, why not invest in knowledge?

Writing more in your notes section takes very little time. It is an investment of minutes that can pay off for decades. Smart Notaries get it that they need a really comprehensive notes section. The others just write a one liner about how great they are. Do you think title companies are dumb enough to fall for that? Think again.

There are other ways to invest in your business. Websites, business names, education from other entities, and more. Those that take Notary work seriously typically do a lot better than those just winging it. Choose the path of solidity and you shall prosper.

3. Additional Information

In the middle of your notes section is where you mention your NNA certification, etc. Do not put this up top as it makes you look like just another Notary. What is special about you and a selling feature goes up top. Specific details about your credentials come in the middle. Here are some things you should list in your information section which you can write in bullet format for best results:

Certifications — List your NNA, Notary2Pro or 123notary certification here.

Background Screening — Mention what agency background screened you and the dates of effectiveness.

E&O Insurance — Mention how much you have, and if you forget then look it up because this matters to Title companies.

Equipment — If you have special equipment you want to mention, put it here. Scanners, Fancy Fax Machines, Dual Tray Printers that print 200 pages per second, Cable Internet, Mobile Printing in your Car, etc. Specifics that make your equipment stand out help.

Notary Marketing 102 – Promoting Yourself

As a Notary Signing Agent there are various types of marketing you need to understand. Getting new clients is important and the first sixty seconds you talk to them can make you or break you. However, interacting with existing clients matters too. Here are some rules and principles of dealing with existing clients:

1. Get on the lists of as many signing companies as possible
If you are a beginner, 123notary lists many signing companies on our list of signing companies. We also have lists of companies that hire new signers on our blog. They might not pay well, but you can develop some experience working for them. Signing companies will want proof of E&O insurance, background checks, certifications, and a lot of forms to fill out. So get used to supplying information and filling out applications in mass.

2. Get on the lists of title companies too
I’m not sure if title companies will hire beginners, but once you have experience, you can call local title companies one by one and get on their list.

3. Do good work
Obviously as a Notary if you want repeat clients, you need to do good work. You need to be responsive before the job, during and after to ensure good service. You need to get docs delivered on time and answer your phone and email until the rescission date — you are still on call.

4. Keep in touch
If you don’t hear from a company for a month, let them know you are available and willing. Ask them if they have a job in your area today. Keeping in touch keeps you on the front burner of people’s minds.

5. Do a few lower paying jobs for them
If you want to get in with a client, onto the top of their list, working for less is one way to do it. People are tired of Notaries trying to get paid a fair wage (gouging them in their opinion). They want people who stop whining and start working. So, from time to time, it might make sense to do a few not that far jobs for a little less to grease the wheels. After all, there is not that much work out there. I guess that is not what you wanted to hear.

6. Giving small gifts
If you give small gifts or cards to existing clients, that sometimes helps a lot. It gives people a good feeling and gets you remembered. Small food items, cards, gifts, chocolate, 21 year-old Scotch (only if they are really special), etc. I remember that Julie gave me two coupons for one hour free massages over the last two years. I reciprocated by being her loyal client and I gave her a gift too of a Chinese cupping set which is for reducing blood stagnation. The Olympics athletes are using cupping now too. It leaves purple marks on your body for a few days and is great for circulation.

After you finish a job, it is important to send a text or phone call letting them know the tracking number, and where you dropped the package. Good follow up is as important as good work. It shows you are on top of things and care. The minute you have a fancy client and you slack off on the followup, that is a red flag and could cost you.

A Thorough Notes Section

Having a great advertisement at the top of the list is super. However, if your information is vacuous, people will bypass your ad to hire someone else. It behooves you to write a great notes section, and 123notary will edit your notes at no cost out of the goodness of our hearts (and for the general quality of the site). But, what constitutes a super notes section? A good notes section should have a lot of pertinent information about yourself, and it should be organized into logical paragraphs. Furthermore, the information should stress experience and selling features at the top as the first hundred and fifty or so characters show up on the search results and can act as a magnet. You should avoid spelling or formatting mistakes to make a good impression on companies that may elect to use you.

Most Notaries use the jumble technique and put all of their information into one disorganized never ending paragraph. Don’t do this. Jumbles are hard to read and do not stress what is important first. The information in a jumble normally includes some bragging about how great the notary feels they are, will undoubtedly mention their NNA certification and background check (which matters), and E&O insurance (which also matters). Coverage areas are also normally mentioned. It is better to format information the Jeremy way, as my editing work on listings gains them around 55% more clicks on average and only takes me a minute or two and is free!
