Squirrels and notes sections – they all look the same

I often wonder how squirrels tell each other apart. “Hey, who stole my acorn? Was it you?” I have this same mistake with Chinese girls. “Hi, Cindy.” “Like, I’m not Cindy.” “Oh… (pause) Awkward.”

But, people’s notes sections on the various notary directories look fairly generic as well. They talk about their NNA certification. They mention they are background screened but fail to say by whom. They mention they have E&O, but omit to say how much. And they mention that they “travel”, but don’t mention how far. A few mention that they will jump for clients, but once again leave out — how high.

Then there are those who brag about how dependable they are and how they have a .001% error rate. There is no point in mentioning any of this because anyone can claim this, but claiming it not only doesn’t make it true, but makes you look inexpensive and like a novice.

Can you make your notes section stand out? Can you put some cold hard information and something unique that makes you look different from the other Notaries jumping from branch to branch doing job after job? Take this seriously and put some time into it because uniqueness enhances your click ratio which translates into more work!

Loan Signing Systems G/B/U?

Recently, I have seen that there are a lot more people getting certified by LSS or Loan Signing Systems run by Mark Wills. In the last few months, there seem to be many more graduates than ever before. In the old days, NNA used to be the only popular game for certification. Then the serious people came to 123notary from around 2005 to 2010. After that, Carol Ray at Notary2Pro became the most popular teacher / program for the serious students. Now, it seems that although National Notary Association sells the most courses, the more serious people seem to be following Mark.

So, what do they like about Mark? People say he is high energy, very helpful, and fast on the draw responding to questions. That is always good. At 123notary, we do not have a hotline as part of our program, but Carmen seems to do a lot of mentoring to our students. It seems to be that 1% of our customers monopolize Carmen’s time while the others don’t seek her help at all. Such a disbalance! 123notary is also there to help even though it isn’t formally part of any of our programs.

But, I wanted to see how an LSS certification affects your click average on 123notary. Would it help, hurt, or do nothing at all? I did a quick survey on several dozen listings of the same placement level and newness. Basically I found that based on my quick math, LSS graduates get about 3 or 4% more clicks from their 123notary than those in similar placements and experience without it. 123notary certification gets people more like 30% more clicks on our site at least. NNA certification neither helps nor hurts if you mention it in your notes.

So, we welcome LSS graduates to study from Notary Public 101 on our blog. It is free. Study hard and try to pass my over the phone test. I would like to see how you do.

1. TOP — Selling Points & Experience
A good notes section should start out by mentioning some quick points about why someone would want to hire you. Here are some points that do well in the top section:

Number of Loans Signed – Most Notaries hide behind their years of experience. But, the Title companies want to know how many loans first as years is not a definitive metric of how much actual experience you have. What if you signed ten loans per year for ten years, that is only 100 loans. If you have thirty or more years of experience, list it in a format such as: Notary since 1985.

Jail & Hospital Signings — Many people need service in unusual places, so if you are specializing in jails and hospitals, you should mention this at the top of your notes.

100 Mile Radius — In remote areas, people need service far from where you live. If you offer this service with a smile, you will attract a lot more business.

eSignings — Listing unusual services makes you look highly skilled, and will attract specific types of work.

Hours — If you are a 24/7 Notary or a night owl, let the world know this first, because a lot of people need help at night and the other Notaries probably don’t want to be bothered.

Languages — Spanish and Vietnamese are the most demanded languages. But, if you speak another language, put that up top so people will know right away. If you speak Spanish, it is better to claim to be “bilingual” as it carries positive cultural connotations.

Specific Experience — Mention specific types of financial packages or documents that you are accustomed to signing. If a client has that exact package they might be more likely to call you first.

Catchy Phrase — Sometimes a catchy phrase about yourself, your business or service can win the game. Often it is a one-liner that is artfully phrased and catches people’s attention. Don’t bore them with fluff, dazzle them with class!

Examples:

EFFECTIVE
24/7 service; 8500 loans signed; last minute signings; Bilingual; Experienced with Modifications, eSignings, REO, Time Shares, Refinances, VA, FHA, 1sts, 2nds, and Helocs.

Commentary
The effective top of your notes section stresses time of availability, level of experience you can really put your finger on (# of loans is a better analytic than years because the reader could assume that you did very few loans per year for ten years which is not impressive.) “Last minute signings” is a great phrase because many notaries do not like to be bothered at the last minute. Unusual types of financial packages are also good to list and this section lists ten types of packages. I would stop at twelve types of packages per paragraph to avoid overload.

HORRIBLE
I have been a notary for twelve years and know my way around the business. I am responsible and know everything I need to know. NNA certified.

Commentary
The horrible top of your notes section commentary lists years which is bad because you don’t know what quantity of actual work was done per year. There is some bragging and self-promotion which I called “inexpensively bought credibility” which carries no weight because it is self-verified credibility. Then there is the NNA certification which is not a selling feature as almost all Notaries on 123notary are NNA Certified. You have to mention what makes you different and better, rather than what makes you average.

3. Additional Information

In the middle of your notes section is where you mention your NNA certification, etc. Do not put this up top as it makes you look like just another Notary. What is special about you and a selling feature goes up top. Specific details about your credentials come in the middle. Here are some things you should list in your information section which you can write in bullet format for best results:

Certifications — List your NNA, Notary2Pro or 123notary certification here.

Background Screening — Mention what agency background screened you and the dates of effectiveness.

E&O Insurance — Mention how much you have, and if you forget then look it up because this matters to Title companies.

Equipment — If you have special equipment you want to mention, put it here. Scanners, Fancy Fax Machines, Dual Tray Printers that print 200 pages per second, Cable Internet, Mobile Printing in your Car, etc. Specifics that make your equipment stand out help.

Memberships — If you have any other Notary memberships with the PAN, AAN, etc., list them here. It is NOT a good idea to list Real Estate memberships or memberships that pertain to other careers that you might have.

A Thorough Notes Section

Having a great advertisement at the top of the list is super. However, if your information is vacuous, people will bypass your ad to hire someone else. It behooves you to write a great notes section, and 123notary will edit your notes at no cost out of the goodness of our hearts (and for the general quality of the site). But, what constitutes a super notes section? A good notes section should have a lot of pertinent information about yourself, and it should be organized into logical paragraphs. Furthermore, the information should stress experience and selling features at the top as the first hundred and fifty or so characters show up on the search results and can act as a magnet. You should avoid spelling or formatting mistakes to make a good impression on companies that may elect to use you.

Most Notaries use the jumble technique and put all of their information into one disorganized never ending paragraph. Don’t do this. Jumbles are hard to read and do not stress what is important first. The information in a jumble normally includes some bragging about how great the notary feels they are, will undoubtedly mention their NNA certification and background check (which matters), and E&O insurance (which also matters). Coverage areas are also normally mentioned. It is better to format information the Jeremy way, as my editing work on listings gains them around 55% more clicks on average and only takes me a minute or two and is free!

Is it better to be “Bilingual” or speak Spanish?

Carmen and I both agreed on this. We both think that being “bilingual” is like being “certified.” Certified by whom? NNA certification? The standards are completely different from Notary2Pro or 123notary.com, so without knowing the agency who certified you it is meaningless to us. But, bilingual? Bilingual in what language? And how bilingual are you? Are you someone who took high school Spanish and can barely ask where the bathroom is or are you like Hector, a smooth Latino from Miami who is “single, bilingual, and ready to mingle?” Carmen and I were both WRONG — as hell.

I compared stats on 123notary.com. Overall, those who were “bilingual” got more clicks than those who were not, especially if they put that at the top of their notes section. But, in Southern Florida, being bilingual counts a lot more as the majority speaks Spanish. You can get by without English in Miami, but you won’t survive without daily Spanish. In most parts of the country you might get 10-20% more clicks by speaking Spanish, but in Southern Florida it can be up to double in many cases. But, how do the stats compare?

Those with 4 or more reviews who were bilingual in Southern Florida got 3.2 clicks per day while those who spoke Spanish and had 5 or more reviews only got 2.2. Of course the rest of their profiles and notes sections were not equal, so we are comparing apples to oranges, but the stats are very different.

Those with 2 or less reviews who were bilingual in Southern Florida got 2 clicks per day while those who spoke Spanish got 1.5 clicks per day.

So, what’s the deal with this buzz-word “Bilingual?” Why do people like it so much? It is vague, indescript, and leaves a lot to the imagination. So, Carmen and I agreed that we would test a lot more listings with the word Bilingual by putting the word at the top of their notes section and measure their stats over a month or two. Finally — Carmen and I agree on something!

My writer thinks that “Bilingual” has a more three-dimensional meaning and portrays the Notary as being multi-cultural, sophisticated, having international skills. So, maybe there is something to this bilingual thing.

What NOT to put at the top of your notes section

The battle to get our Notaries to fill in their notes section is huge. But, the next hurdle is to get people to put the right stuff. Smart Notaries read our blog articles on how to write a great notes section or see what other Notaries in high places are doing. But, most Notaries write very generic and poorly organized notes. Here are some things you should not put in your notes section, or at least not at the top.

I have been a Real Estate Agent for ten years.
People are hiring you as a Notary, and not a Realtor. If you want to mention low in your notes additional things about yourself as a “by the way” type of thing, then fine. But, don’t put this at the top of your notes or you won’t get clicks.

NNA Certified
Certifications are good, but NNA certification doesn’t help so much on 123notary. Our certification helps on our site. You can mention NNA certification near the bottom of your notes where you talk about your E&O, and other background information.

Background Screened
Once again, this goes in your additional info section lower in your notes section.

I am dependable and responsible
The worst Notaries start their notes section with these meaningless adjectives. All Notaries consider themselves to be responsible, but when people hire them, it’s a different story. Responsible Notaries describe themselves and their skillsets WITHOUT using the word responsible.

I will keep your information confidential
That is as useful as to promise not to kill the borrower’s dog. People take for granted you won’t share their information with others as that could be considered criminal or grossly inconsiderate.

I’m flexible
How flexible? People who are open 9-5 claim to be flexible. The word means nothing. Give hours, not vagueness.

Repeating your name
The top of your notes section shows up on the search results page. People already know your name. They need to know your skills.

I am an experienced Notary Signing Agent
How much experience? Give specifics not wishy-washy statements.

Areas Covered
Put this near the bottom of your notes, not at the top. People want to know what you can do before they know where you can do it.

I understand I am representing you and your reputation
If you want to ramble on and on about wishy-washy understandings, do this low in your notes section in the section where you talk about your personal style.

It’s like having a magnet on your listing

Are you listed on 123notary.com? Do you not know why you are not getting as much traffic? Is it bad luck? Is it 123notary’s fault? Or is it just the industry?

Listings on 123notary.com that typically do well have certain components.
Some of the components are visible while others while others are harder to discern. Some people with relatively modest looking listings on 123notary do very well simply because they gravitate business by having experience and skills. Those people are also likely to answer their phone and be helpful. You can’t know all of this just by looking at a listing. But, for the rest of us, what is important is what you can see.

Having a great notes section is very important for gravitating clients.
People want to read about you before they call you. If there is nothing to read, they will not want to call. If there is something to read, but that something is dull, disorganized or generic sounding, they will also be less likely to call. You need a unique and informative well organized notes section to attract business.

Having 123notary certifications means everything on 123notary.com.
Your NNA certification won’t gain you any points on our site as everybody else also has it. However, only 25% of Notaries on 123notary.com can pass the 123notary certification test and only 3% can get through the Elite test. So, if you want to stand out on our site, I think you know what you need to do.

Reviews are the most important magnet on your listing.
People want to read 3rd party information about you more than they even care about our tough certification test. So, if you are too busy to ask for reviews, or just don’t want to bother people — think again. Five or six reviews doubles your business. So, try to get some reviews today! And don’t forget to send them a link to your review page after you ask them.

10 ways to “deal” with SnapDocs

A guide to high survival in a low-ball world.

These days, so many Notaries are complaining more and more about SnapDocs. In fact, the drama is so intense, that posts about SnapDocs are the most popular articles on our blog these days. SnapDocs is not bad, they just have a system which you haven’t mastered yet, Grasshopper! SnapDocs caters to companies who care about price, but don’t care about experience. Those who want top-notch seasoned Notaries come to 123notary as we focus on having the highest caliber of Notaries at the top of the list. So, read this and you’ll learn the secrets of high survival in a low-ball world.

(1) CALCULATE TIME
Calculate how many minutes you’ll need to fulfill the request.
Some Notaries complain if the fee is too low without looking at the time involved. $40 is not bad if the job is within ten minutes and there are no fax backs and very few pages. For a ten page signing ten minutes away, you might be there and back again in less than an hour. How many people do you know who complain about making $40 per hour? Read the text and see where the address is and how many pages are involved.

Regardless of the specifications, calculate how much time you need to:
Print, Drive, Call, Sign, Fax, and Fedex.

(2) BACKGROUND CHECK
Background Check the reliability of the company making the assignment
Tired of screwball signing companies? Low-balling is not the worst thing. Not getting paid, or being held hostage for three hours waiting for edocuments while your other clients are waiting is. You can background check companies on www.123notary.com/s using your iphone. I just updated the “votes” on all of the signing companies on our list in May 2016.

(3) MAKE COUNTER OFFERS
If you get a job from SnapDocs that comes as a text, you’ll be alerted to the location, number of fax backs and other basics about the job. You can use that information to calculate the amount of time needed to fulfill the order. Based on the time involved, you can decide how much to charge. If you have a base rate for your time (make it more expensive during the last week of the month) then you’ll know exactly what to charge. You might discount your fees a little for SnapDocs clients as they clearly don’t want to pay much.

If you get an offer for $50 to do a Refinance for two signers with twenty pages of fax backs, you can make a counter offer of $85. Some Notaries bid $125 and never get called back. You have to price your bid within the market otherwise you might as well just not use SnapDocs at all.

If you bill your time at $30 per hour and a job will require 54 minutes, ask for $27. Or if you’ll need two hours, then ask for $60. This is a very reasonable way of quoting rates that is fair to you as well as the client.

(4) NEWBIES — GAIN EXPERIENCE!!!
If you are new in the Notary business, I advise not being too picky about what people pay, providing they pay within 45 days. You need to get at least 1500 loans under your belt to be taken seriously by the big guys such as prominent title companies. You should pass the 123notary & NNA certification test if you want to be taken seriously as well. If you want to get experience in a hurry, SnapDocs is one way to do it. You’ll get tons of jobs, and all you have to do is drive, fax, and sign. You might not get paid that much, but experience is worth its weight in gold, so consider that your payoff.

(5) FILL IN YOUR EMPTY TIME
If your other customers book in advance, and your daily schedule has some holes, SnapDocs might be the perfect way to fill in those unused hours. Although you might not get paid that much, at least you will have something to do so you (and your printer) won’t get bored. If you make $200 a day average doing signings for your regulars and you can pick up another $60 from SnapDocs, that is not a bad daily average.

(6) WIN OVER NEW CLIENTS
What a new client will pay you is different from someone who knows and trusts you. Once you build up trust with a client over the course of a few jobs, or a few months, you might be able to charge more. If they have a written track record about your service and know that you won’t screw up, they might pay you $20 more than they would pay another guy even though they are low-balling. So, you can use SnapDocs to meet new clients, and then once you have them hooked, jack your rates up a bit — but, not too much of a bit as you are still dealing with low-ballers.

(7) THE FIRST 3 WEEKS OF THE MONTH
Business is normally sluggish during the 3rd to the 22nd. So, that might be a great time to augment your business by using SnapDocs! You might need to save time during the end of the month for your regulars, but when things are slow, you should be willing to work at a somewhat lower rate.

(8) LOOK FOR CLOSE JOBS
Working for cheap is not that bad if you can find close jobs. If you get twenty texts per day from SnapDocs, and one or two is really close, you can try to nab those close ones and make some fast money. The key is having something to do during the other seven hours of your work day. If you make $60 for a signing ten minutes away, you might be making $50 per hour when all is said, done, and faxed.

(9) GET PAID UP FRONT
Ken is on our forum all the time offering some old school common sense to our Notaries. The message is — you are not a bank, why do you offer credit to strangers with no collateral? You don’t know if or when those signing companies will pay you. So, why not get $85 up front via Paypal? If they really need you they will pay you!

(10) THE CARMEN METHOD — ABSTINENCE
Carmen thinks that Notaries just shouldn’t use SnapDocs as the fees offered are too low. You can use abstinance as a way of dealing with this situation. Seasoned signers will never get paid what they are worth on SnapDocs, your experience is just not valued enough. With all of the faxing back, they can double check a newbies work and get accurate work at half the price by micromanaging. So, if you are “all that,” then get Elite Certified by 123notary and stick with us as you’ll get paid more from leads from our site — and forget about the cattle callers!

You want to get paid well as a Notary, but do you merit a good rate?

Most Notaries are complaining about how poorly they get paid and all of the headaches like fax backs, micromanagement, and hassles they have to put up with. The reason for the micromanaging and fax backs is that someone could lose their loan and their lock if there is a mistake. Notaries make mistakes more than they care to admit, especially the new ones. So, signing companies are forced to check up on Notaries. But, you’re not like those other Notaries, right? Prove it!

Most Notaries do not want to pass the 123notary certification test. They passed the NNA certification test or some other tests, but don’t want to take the trouble to pass ours. When I ask them questions over the phone, they typically try to pass themselves off as knowing it all and then fail my test miserably. For such a large group of people to be anti-knowledge is really bad. You are a professional, it behooves you to study up and know your technical data inside out. Know your Notary procedures inside out. Know your signing agent knowledge inside out. Not just some of it — all of it.

If you have signed a few thousand loans, have good connections, and are certified by several agencies, you are beginning to merit good pay. Those who are 123notary elite certified average $116 per signing which is a lot more than those who are not. Many beginners average $80 per signing, or at least that is my guestimate.

There is a lot you can do to become a better Notary. Getting reviews on your listing and polishing up your notes section help your image as well. If you want to get paid well — merit the good pay and it will come.
