So the Mobile Notary Well has gone Dry

I usually don’t date my scribbles. Rather, I try to write what I perceive to be “eternal” truths. Wow, that sounded pompous; even for me. Well today is March 11, 2019, and the calls are down. Not “down and out”, but significantly lower than a few months ago. I don’t know or care about your political leaning; and I’m certainly not going to share mine. Though it probably would result in some interesting comments!

What to do when the well has gone dry? Basically there are only two real options. Ya dig another well or move on to where water is plentiful. If you can think of a practical and creative third alternative please enter some constructive and informative criticism of my analysis.

Dig another Well

Very few of us are likely able to provide “revenue for a family” from mobile notary revenue. I’m not talking about the “higher ups” who get a slice of many pies. I’m referring to the “rank and file”, the troops in the field who actually stamp, emboss, administer the oath and sign. We are legions of “side gig” entrepreneurs eking out a modest supplemental income. I suspect many of us are retired and use the signing fee for a modest night out. Probably a goodly number are youth who eagerly expend major effort, using their endless energy for usually small rewards.

There are many ways to dig that supplementary well. You can knock yourself out distributing business cards and seek the direct calls. Some will take the gamble and pay highly per click. Many will up their visibility by seeking better placement on notary directories. But, as I see it; these strategies, while valid; are chasing the limited demand. Being different, or more accurately, doing different IS digging another well.

Most mobile notaries run their business the same way; no matter what. I have had emails that state “I enjoy processing loan packages and don’t want to do anything else”. OK, you have chosen to starve, certainly in the current notary signing agent environment. Diversify is the word. You have to use your notary standing to offer to do many things. Learn to do fingerprinting, to process Apostilles, Letters of Protest, obtaining birth, death, marriage, divorce and how to work with educational documents. There are many other “authorities” granted to you by your status as a notary. The more you know how to do, the greater your chances someone will hire you.

Move on to the Water

Your status as a notary is an “edge” you have making you more desirable in many functions. Of course you should still market yourself as a mobile notary – great extra income when it fits into your schedule. But, quite frankly it’s not a gold mine currently. That may change – but probably not soon. So, take a real job; one where your notary skills can be an advantage. Use some of the “real job” revenue to maintain your current advertising and directory listings. I can picture some rural lawn signs: “Notary Public and lawnmower blade sharpening”. IM(not so)HO probably the worst thing you can do is chase the 35 dollar edocs. Do the math; there is virtually no profit. Face the reality, be flexible, ADD a few additional skills; notary skills – of course; but don’t limit yourself to solely notary income. When you dig that new well you just might strike oil!

Apostille – General Information

What is an Apostille?
An Apostille can be a document or certificate that is attached to a document notarized by a notary public, that is going to be sent OVERSEAS to a country that is not NOT a member of the HAGUE Convention. Or it can be an original document such as a Birth Certificate or Marriage Certificate that contains the original seal from the state that it originated from. In either case, the document is going to be sent overseas to places such as Mexico, Spain, Argentina, or India.

Where do I get an Apostille?
Apostilles are usually obtainable from a State Notary Division or a Secretary of State’s Office. Due to budget cuts, Secretary of State Offices are not always nearby, so it can be labor intensive to get to them.

How do I get an Apostille?
You might consider contacting an experienced notary who has been through the Apostille process many times. There are many notaries who fit this description, but you need to know how to find them. Or, you could contact your state’s Secretary of State yourself, and drive to them, and go through this process (which is like pulling teeth) yourself.

Additions to policies regarding listings, certification and elite

Here are some new official policies for being listed and having various certifications. Please note that in addition to testing Notaries on general competency in the areas we test them in, we also keep score for general communication skills. Notaries who exhibit various forms of incompetency, bad attitudes, or listening comprehension issues will be written up in our notes which are private and not accessable to the public in any way shape or form.

(1) Requirements for being listed on 123notary.com.
In addition to being a current Notary Public, you must exhibit a certain level of competency to us at 123notary by means of a phone quiz. We require a minimum of 70% passing to ensure being willing to list you on the basis of competency. For those that score less than 70%, we might make exceptions if they are in an area with not so many other Notaries, or not so many other Notaries who passed our test. Issues that we expect Notaries to be competent in include:

Identification, Journals, Notary Acts, Oaths, Certificates, and Seals.

(2) Requirements for getting or keeping certification from 123notary.com.
Our previous rule was that if you were certified by 123notary, that the certification fee was a one time fee only. As of October 2017, we will require Notaries to recertify every (2) years. This will be at a small cost to those who purchased certification after Oct, 2017 and at no cost for those who initially got certified before that date.

All certified Notaries will be quizzed by phone no more than once per calendar year. The quiz for certified Notaries will include questions about:

(a) General Notary Knowledge: Identification, Journals, Notary Acts, Oaths, Certificates, and Seals.
(b) Handling situations before, at, or after loan signings.
(c) General knowledge of basic loan documents which normally include questions about FAQ’s borrowers have and what information is in which document.

(3) Requirements for keeping our Elite certification on 123notary.com.

All elite certified notaries on 123notary will be quizzed by phone no more than once per calendar year for quality standards. The quiz will include.

(a) General Notary Knowledge: Identification, Journals, Notary Acts, Oaths, Certificates, and Seals.
(b) Handling situations before, at, or after loan signings.
(c) General knowledge of basic loan documents which normally include questions about FAQ’s borrowers have and what information is in which document.
(d) Advanced Notary knowledge such as advanced vocabulary, Apostilles, less common documents, and generally harder questions.

Grading for elite certification will be at a higher standard than for the regular certified Notaries although we do not have a set standard for a passing percentage due to the fact that the difficulty of questions can vary from test to test.

(4) It is possible we might have a Platinum certification with an even higher standard in the future. However, during 2017 we will focus on maintaining set standards for the regular certification and elite. Please keep reading the blog to see if Platinum or Platinum Gray is mentioned.

Being unique and factual in your notes section

I always tell Notaries that one of the keys to success in the Notary business is to be unique and factual in the way you advertise yourself. Please keep in mind that those who hire Notaries frequent Notary directories only to find thousands of Notaries whose notes section look like the same person wrote it.

Example of generic notes section:
NNA Certified, Professional E&O Insured, Experienced, I have the know how to get the job done. I sign refinances. Call ahead of time. I cover the Birmingham area.

Notice how most other Notaries are certified, professional have E&O, etc. This is content that goes at the bottom perhaps in a bullet format.

Example of a unique notes section
100 mile radius; Mobile Printing Capable; Money back or Re-Do if there is even one mistake; Specializing in Reverse Mortgages, Apostilles, Purchases, Refinances of all kinds, and have a wide experience with legal and medical documents.

I worked in a hospital with the dying, so hand-holding is something that doesn’t come new to me. If your borrower feels like dying on page 193 of a 200 page loan, I’ll know exactly what to do! I’ll get them through it. And if not, I carry body bags in my trunk as a precaution (just kidding.)

The way I normally try to organize notes has a particular structure. First of all, information is separated into paragraphs. The top has punch points which are quick points that have a strong selling feature. An unusual service like Weddings, or a high amount of loans signed, jail or hospital signings might go on top. Last minute signings or a wide radius are also good and quick pieces of information to put on top.

After that, I like to talk about experience. Many Notaries bury their valuable experience under inexpensive claims of how “reliable” and “professional” they are. The least professional Notaries stress how professional they are, so why cheapen yourself by emphasizing what makes you look like a chump? A list of loan types, document types, or who you are on the white glove list with really helps a lot. That way people know what you are capable of.

Next, a note about your personal style or what is unique to you is good. This is where you talk about how you put the customers at ease and triple check your work.

Bullet points come next with certifications, equipment, the fact you have an MBA, etc. Bullet points should be two to six words long otherwise they won’t look good as bullet points.

Coverage area comes near the bottom and try to make it easy to read without too much rambling. Try to avoid a long list of zip codes. A final note can come at the bottom .

Everything you need to know about writing a great notes section

Most Notaries underestimate how critical it is to have an amazing notes section on your listing on 123notary.com. They just write how they are background screened and have E&O insurance. They stop there. Yes, this is important information and it can be a deal breaker if you don’t have the right background screening from the right agency, etc. However, the Notaries who get lots of work from 123notary tend to have 123notary certifications, reviews from satisfied clients and a very thorough notes section. So, what is the secret? The secret is to be specific, unique and well organized in what you write about yourself.

(1) Selling Features
The top of your notes section should stress selling features. What can you say about yourself that others might not be able to say that would make someone want to hire you. “I’m reliable.” Everyone claims to be reliable, and then they show up late making a mockery out of their claim. Try something that you can put your finger on. But, I really am reliable? Yes, but your notes section can’t prove it — so skip it. Instead, let’s think about what types of loans you know how to sign. Don’t just say, “all types.” List them one by one. Do you have some unusual qualifications? Were you Notary of the year? Do you do jail or hospital signings? Are you fluent in Uzbekistani hill dialects? These are things that help you stand out. Were you a CEO of a Mortgage company? That helps too. If you have Escrow, Title, Underwriting, Processing, Settlement, or general Mortgage experience, that is a huge plus on your notes section. Make sure to indicate that high in your notes. Remember — the first 200 characters of your notes show up on the search results for your area, so digress to impress! (actually don’t digress, but use that space to squeeze in as many selling features as possible)

(2) Specialties
One of the most valuable pieces of information you can include in your notes are your specialties. Instead of bragging about how you are error-free or dependable (which nobody wants to read,) instead list the types of loans you know how to sign, types of major documents or procedures you are familiar with. Do you go to airports, offices, or jails? Do you do Weddings or Apostilles? People are very impressed when you have highly specialized skills, so mention them.

(3) # of loans signed
Most Notaries up date the # of loans signed once in four years. When I mention that their profile says they signed 200 loans, they say, “Oh, that was five years ago. I must have forgotten to login — I’ll go in there.” You need to “go in there” and update your info every few months or you will have information that is collecting cyber-dust.

(4) What is hot and what is not?
Radiuses are hot. If you have a wide radius, tell the world. 100 mile radius shows you are serious (or crazy.) Last minute signings are a good thing to mention. Do you accept faxes or are willing to do fax backs? That narrows it down. Are you background screened? Is it by NNA or Sterling or someone else — if you’re screened by the wrong agency, you don’t get the job! Do you know how to do eSignings? That will make you stand out!

(5) Professional memberships and certifications
Are you NNA Certified, Notary2Pro certified, 123notary certified, or trained by some other agency. It is impressive especially if you have four or five certifications. Mention these as well as your memberships. But, please don’t say you are an NNA member in good standing. The only way to be in bad standing with any agency is by not paying your bills or perhaps being convicted of a felony.

(6) What is unique about your service?
Is there something unique about the way you do your work? Or do you have a catchy unique phrase about yourself? It is very hard for most people to think of anything unique about themselves. But, if you really put some thought into it over an extended period of time you might come up with something good. (7) Avoid vagueness
Did you work for 10 years in the legal industry? What does this mean? Were you the company president or did you mop the floor for an Attorney. State your job title or what you did very clearly. If you were a legal secretary of Paralegal, that is good to know. Not a selling feature. Additionally, try to be specific about your claims. Rather than saying how good you are with people, give a concrete example of how you are good with people, or what experience you have that proves you are good with people.

(8) Avoid restating information
Many Notaries restate their company name, their company mission, phone and email in your notes. Your notes is to give additional information about your service, and not to restate what the reader already knows. Remember, those top 200 characters go in the search results, and if you say, “We are here to serve” nobody will click on you.

(9) Counties served
There are 12 boxes where you can indicate your counties served. If you wish to restate this info in your notes, put it near the bottom as this is not a selling feature. If you want to indicate which parts of which counties you serve, the notes section is the only place to go into such detail. Others choose to mention specific towns or cities served. Please avoid stating which zip codes you go to as that is too nit-picky.

(10) Writing about your mentor
New Notaries always want to bend my ear about how they don’t have experience, but their mentor has signed 10,000 loans and they have been to many signings with their mentor. After hearing ten minutes about their mentor I say, “I’ll hire him — I’m convinced — But, I wouldn’t hire you in a million years because you don’t stand on your two feet!” Don’t talk about your mentor. Talk about what training programs you have passed.

(11) Writing about your Real Estate background
Notaries regularly write, “I am a Realtor and therefor am familiar with the documents.” But, when I quiz them on the documents they fail almost every time. Also, many Notaries will write three paragraphs about their Real Estate business or Process Serving, etc. People are coming to 123notary to find a great Notary, not a Real Estate agent. If you want to quickly mention in the middle of your notes that you are a Realtor, that is fine, but don’t make it the central point of your notes.

(12) Educational background
If you want to write about your degrees or former professional experience, unless it is Mortgage related, it should go in the middle or lower middle part of the notes as it is not critical information in the eyes of the reader.

(13) Equipment
Yes, you can write about your equipment. Sometimes we recommend using bullet points for quick points such as E&O, certifications, and equipment. You can mention what type of printer, scanner, fax, or mobile office you have. Just don’t put this up top. It belongs in the middle or lower middle of your notes.

(14) Closing statements
Some Notaries choose to have a closing statement while others don’t. We like it when Notaries do. You can say, “Thanks for visiting my listing.” Or say something a little more unique.

(15) Don’t jumble everything in one paragraph
A good notes section is divided into several logical sections. We normally like to see an intro with selling features, an about you paragraph, some bullet points, and a closing statement. There are many formats for winning notes section and you can decide what is best for you.

(16) Ask for help

Please remember that a California Notary Public charges you for each notarized signature. If you have one document where you are being notarized twice, then you pay two notary fees.
