A list of things you probably forgot to put in your notes section

Most Notaries write a notes section for their listing on 123notary. However, many do not know what to write. Here are some things you should write about. Take this as a check list.

Experience
Write about the types of loans or documents you know how to sign. Write about the type of work you did before you were a Notary or what distinguishes your experience as a notary. How many loans as well as how many years would also help the reader get an idea of what type of experience you have. Read more by clicking the link below…

Additional Information
Your certifications, courses taken, E&O, background screening, etc., Don’t forget to write about this because people do care.

Equipment
If you have special equipment, portable printers, scanners, fax machines, inverters, etc., people want to read about this. But, don’t put it up top as this is supplemental information. Experience and selling features go up top.

Special Skills
Are you bilingual? Do you visit hospitals or jails? How about a wide radius? Are you on the white glove list somewhere? Do you take credit cares or square? Put this up top as it is a selling feature.

Areas Covered
Your radius, counties or cities covered go at the bottom and there are 12 boxes to put your counties covered which includes your home county. We discourage putting zip codes as the list gets very long and messy and nobody wants to read it.

About You
This is the most misunderstood aspect of notes writing. Most people cannot write about themselves other than a long string of adjectives. Any idiot can write about how responsible and reliable they are and the more they claim these adjectives the less true I find them to be. However, describing yourself with specific facts is more helpful as well as credible. The fact you have an MBA, worked with the elderly at a nursing home for ten years or are ex-military are real facts about you. The fact you triple check your work and have your local FedEx stations memorized is fact vs. fluff.

Catchy Phrases
It is hard for most people to write a catchy phrase, but it can really pay off. People are bored with reading 1000 notes sections that all seem very similar. It sometimes looks like the same person wrote all of the notes sections on Notary Rotary… “I am reliable, background screened and have 50,000 E&O. I have signed many loans and do a lot of refinances.” After you see this a few thousand times you start seeing double. Put something unique and organized for a change. Notary Etiquette 104 — Answering Questions the Way They Were Asked

I often have to make over one hundred welcome calls per day to Notaries who cannot give straight answers to questions. I have to ask each Notary five questions, but because they give roundabout answers, I have to ask each question sometimes two or three times which leads to 1500 questions for 100 calls when no questions would be necessary at all if they had filled in their listing properly. People who hire Notaries are seriously annoyed with all of the nonsense they have to put up with. So, make their life easy and just answer questions the way they were asked. Below are some examples.

1. How many loans have you signed?
“Oh, gosh… hmm, let me think for half an hour, well I did one yesterday, and I’m on my way to one now…”

This is inconsequential banter and a real waste of the other person’s time. Just try to give them a number. You were asked for a number, so don’t tell them how many years you have been doing it or how you are NNA certified, just say how many loans you have signed.

2. What counties do you cover?
“Well, it depends on what you are paying…” or “I go to Van Zandt for my normal fee and then Smith for a little extra, where is the assignment?”

There is no assignment. We are a directory and need to put you in the counties that you cover. If you can just tell me the names of the counties without the other rambling and questions, I would be able to fill that information in a lot more easily.

3. The names do not match.
If the ID says John Smith and the name on the document says John W Smith, would it be prudent under the circumstances to notarize the signature?
“I would just ask for another ID.”

Obviously you would ask for another ID, but the question is a yes/no answer and you gave a “what would you do” answer instead. You will be marked wrong because once again, you did not answer the question as it was asked.

4. What hours do you answer the phone?
“I’m flexible.”

That answer is really not helpful, and “all day long” is not either. If someone asks for hours, tell them hours.

5. Do you have a dual tray laser printer?
“Well gee, I have a single tray printer but I have the software so that it can print letter and legal and my printer is very fast and …”

This answer does not answer the question. The answer is, “No.” You are bending the person’s ear with all of this rhetoric.

6. What types of loans do you know how to sign?
“I have signed most of them before.”

This is a useless answer. Just list the types of loans and financial packages you have signed before such as: Refinances, Helocs, Purchases, 1st, 2nds, Reverse, Reverse Applications, Construction, etc.

Buzzwords to avoid in your notes section

Some Notaries have mastered the art of writing an amazing notes section while others resort to cheap imitations. Using the wrong buzz words can backfire on you and I have seen this happen many times. A good notes section is about being unique and informative and not about making baseless claims.

Responsible
Don’t be reponsible — whatever you do. Show that you are responsible, but don’t claim it. Make them say how responsible you are in your review page. You will get less clicks to your listing if you claim to be responsible.

Dependable
Claiming to be dependable is as bad as claiming to be responsible. Just don’t!

Error-Free
It sounds too good to be true if you have signed 2000 error-free signings. Even if you claim 99.5% accuracy, nobody will believe it. Save it for the birds. You can’t prove it.

Detail-Oriented
The most sloppy people write that they are detail-oriented in their notes. This claim almost works against you.

Punctual
Prove it to your customers, but don’t claim it in your notes. This word just takes up space.

Professional
It is not bad to claim to be professional, but it doesn’t make it true either. This is more of a neutral non-buzz word. It won’t help you.

Modest
We use the word modest in our tutorial. But, don’t boast of being modest. Just be modest — or don’t just be modes.

Experienced
This is a neutral word, but it takes up space. It is better to say how experienced. Number of years is not as useful as number of loans and what types of loans. Be specific about your experience.

Personable
It is good to be friendly, but you need to back this up with some professional experience as a waitress or customer service experience. Make it sound believable and something people can put their finger on.

Flexible Schedule
Tell us your hours instead of saying flexible. Be specific.

I have a mentor
If you have not signed any loans, but your mentor is an expert, tell us how we can contact your mentor to hire them instead of you. Please keep the notes section about you and what you do, will do or have done.

How to write a notes section if you are a beginner

We wrote a similar article on this aspect of Notary advertising a few years ago. I think it was very helpful. But, let me structure this article as a quick tips article with itemized things to add to your notes section. The basic idea is that if you have no experience, you cannot talk about what you’ve already done. So, talk about what you are willing to do, where you go, or what training you have had.

Don’t write three paragraphs telling us how many years of experience your mentor has otherwise we’ll stop looking at your profile and start looking at your mentor’s profile. Remember, you are selling yourself, not your mentor.

Don’t write six paragraphs telling us about your Real Estate career as nobody is hiring you as a Realtor on 123notary.com. That is something to write a single line about LOWER in your notes.

Don’t waste space telling us how you respect the integrity of the transaction and how confidentiality of the transaction is of utmost importance. That tells us nothing except that you are claiming not to be a conman.

Don’t tell us how important it is to hire a Notary who is experienced and knowledgable. You think the browsers don’t already know this? They have hired tens of thousands of Notaries and are hiring Notaries daily. They know what is important, the question is, are you the kind of Notary they want?

Don’t write two paragraphs about how you are a new mom. People will assume that when they call you they’ll hear screaming in the background. Focus on Notary work.

Don’t use adjectives. people who claim to be reliable, responsible, experienced, professional, accurate, etc., are people who have nothing good to say about themselves who compensate by using a bunch of unverifiable claims about themselves which are usually not true. Experts who hire Notaries see through the nonsense faster than you can say, “skip my listing.” So, don’t use adjectives unless you can back them up with real information. So, what should you write about?

BASICS

Basic information should go at the top of your notes section. If you bury the most critical information where nobody can find it, they won’t hire you. Pertinent knowledge, radius, and special services are what people need to know about first. Don’t bury this in a long paragraph about how wonderful you are!

Last Minute Signings — It is sometimes hard to find someone who accepts signings at the last minute. If you do, that really helps.

Hours — Letting the world know how early you start and how late you finish can really help.

Languages — Fluent in Thai? Let them know. There is more demand for Spanish and Vietnamese though based on word on the street. Also let us know if you are fluent, or only conversational. If you cannot get through a signing with your language, save us the trouble and don’t mention it.

Hospitals & Jails — Most Notaries aren’t experienced with these types of signings which are more demanding. Let people know if you do.

100 mile Radius — Most Notaries are wishy-washy about how far they go. They have three paragraphs of information about exceptions to the rule like if their coffee wasn’t good that morning, they won’t go too far into Morgan County, but if you pay extra they might consider Strantom County. Just list your radius and your counties without all of the hype please. Nobody has time for this.

Counties Covered — List as many counties as you can if you want to get lots of jobs. If you cover counties that nobody else does, even if it is a long drive, you might get a lot of new clients as a result.

Loans & Documents — List all types of documents or loans you know how to sign including types of loans. Most Notaries say they are familiar with most legal documents. This is vague. It is better to list the top several legal documents you see a lot of.

Catchy Phrase — Sometimes a catchy phrase about yourself, your business or service can win the game. Often it is a one-liner that is artfully phrased and catches people’s attention. Don’t bore them with fluff, dazzle them with class!

About You — What is unique about your service or about you that the reader might want to hear?

EXPERIENCE

All of us have some type of experience. Mortgage and Escrow are the most valuable. Real Estate experience doesn’t translate into being a better Notary, and doesn’t make you that familiar with the documents despite what you may think or claim. However, you can mention it in a one liner. Mention other experience, but don’t write paragraphs on it. Keep it short. Military and Police experience are actually very helpful if you are a signer. That way you can keep the peace and use real bullet points in your notes sections!

Mortgage Experience — List any pertinent past experience, particularly if it is in Mortgage, Escrow, or Legal. Don’t be vague about the experience either. If you say you have experience in the legal industry we’ll assume you were a janitor or secretary. If you were a legal assistant, then say so.

Unrelated Experience — You can mention what you used to do for a living. It might be impressive if you were a bank president or dictator of a small country.

Military — If you were in the military, say so. That might prove that you are careful or on time.

Police — If you were in the police, that proves you know how to deal with difficult situations and crazy people. Mention it.

ADDITIONAL INFORMATION

The bottom of your notes section should list all of your “other” information in an easy to read format. Some people use bullet points, and others just list it clearly so it is easy to read. Do NOT put this information in a long jumbled paragraph please.

Certifications — Are you NNA certified, Notary2Pro Certified? Say so

Memberships — Are you an NNA or AAN member? What about PAN or NotaryCafe? List all memberships.

E&O Insurance — Tell us how much you have. Some people only have $15,000 while some have a million.

Equipment— Is your printer a specific brand? Is it dual or triple tray? Does it print 200 pages per minute? Say so.

Closing Phrase — Thanks for visiting my profile on 123notary. I hope to hear from you soon. But, put it in your own words so it sounds a little more unique.

Uniqueness — Uniquess really counts. People who hire Notaries have read through thousands of profiles. If yours is unique and factual, you will stand out in a very positive way as most other people’s notes are jumbled, disorganized, and have no interesting information. Additionally, many of the others ramble on and on about how they value integrity which is a useless and unverifiable claim that is a waste of the readers time. If you waste the readers time, they are statistically less likely to use you. Give them unique and factual information and win the game. Many beginners do quite well on 123notary, especially those who express themselves well.

If you contact Title companies directly, what do they want?

Notaries don’t always know what to furnish a company with. They approach us by emailing their E&O, and all sorts of stuff we don’t want. I used to contact Title companies and here is what they most commonly want.

A Rate Sheet
If you have a quick flyer with your rates, areas you cover, and quick notes on your experience, types of loans you know how to sign, and your contact info, that will go over well.

Speak with Confidence
Don’t be afraid of Title companies. They aren’t monsters. They are just monstrously busy and they escape from their busy prison like bats out of hell at the end of the day. It is difficult to get the same rep twice as they are always busy and will only treat you like a priority if they actually need you or if they are really bored.

Have at least 1000 Signings
I would recommend getting your basic experience working for the signing companies who you dislike the most. Yes, the low-ballers with the fax backs and annoying micromanaging techniques. At 123notary, we quiz Notaries over the phone and the ones with less than 5000 signings normally are not so informed about basic loan signing techniques and facts. I would recommend waiting until you have at least one or two thousand signings and two or three official certifications from different agencies before calling the Title companies directly.

Notaries Bearing Gifts
Old school Notaries often bring donuts, bagels, and small gifts. To stick positively in someone’s mind, small gifts help. If you want to get exotic and give Chinese moon cakes, Arabic baklava, or Indian kulfi, that is good too assuming your gifts are appreciated.

What do they Really Want?
Girls just want to have fun
Title company reps just want to go home.

VA signings for $85? With 200 pages? No Thanks!

As a blog writer, I need to come up with ideas for interesting blog articles. So, I often go to Linked In and see what was popular there. I was visiting last night and saw that someone was offered a VA loan for $85. But, the package had about 200 pages! As new Notaries, you need to understand that not all packages are alike. Some Lenders have short packages while others have longer ones. Some Lenders have their documents ready on time while others don’t. Additionally, there are different types of loans — some are longer and more time consuming than others.

Large Loan Packages
VA loans are normally a lot longer than regular Refinances. FHA loans are longer and more complicated too. Additionally, Reverse Mortgages are longer and take longer partly because the signers are normally elderly. VA loans are for Veterans, and they might tell you some war stories about getting ambushed by the Taliban, but they are probably middle aged and able to sign in a moderate amount of time. But, the packages are long and take a long time.

What to Charge?
The average Notary on 123notary makes about $105 per signing (interesting stat.) If your standard fee is $100, you need to charge more if it is going to be a slow signing or a signing with an above average number of pages. You will be using your printer more, and spending more time at the signing. So, how much more should you charge? In my experience, more pages won’t take you that much more time. It will cost you a little toner and paper, but an additional fifty pages might only take you an additional twenty minutes assuming the signer is not a slow poke. What does take time includes: sluggish signers who read every word, elderly people who can barely function, issues with the loan involving long calls to the Lender, multiple signers who don’t always show up on time, problems with the ID.

Before You Accept the Job
My suggestion is to call the borrower and ask if they will be able to sign within a sixty or seventy-five minute window for a longer package. If they say no, then you might consider charging more or cancelling the signing. If you have the luxury to call the borrowers before you accept a job, you can have a lot more flexibility. You should ideally charge for time, and NOT based on the length of the package. I signed a 200 page construction loan in 25 minutes because the borrower was a professional and had been through the process dozens of times. His time was worth a lot and he didn’t waste a minute. He was like an assembly line.

As a General Rule
For most Notaries on 123notary, I would recommend charging $115 or $120 for VA signings and Reverse Mortgages. If you are very experienced with more than 5000 loans signed, then add another $25-$50 to that figure. Notaries should not try to charge too much unless they are so popular that they simply have to turn down good offers daily. Try to be reasonable and accommodating while you earn some notches in your belt! But, $85 is just too low unless you are a complete beginner!

How to write a notes section if you have no experience

People ask us this question every day. What do I put in my notes section if I have no experience. So many notaries leave their notes blank. Nobody will hire you if you leave your notes unfilled. If you don’t have any experience, there are still many things to write about.

You can write about what types of notarizations you are willing to do. Be specific — readers love specifics. You can also write about what you used to do. Readers love to get to know you by reading your notes. The more they say, the more they like you.

Here are some examples.

(1) Someone with no experience
I am available to perform any type of notarization for any type of document or loan signing. Deeds, Affidavits, Contracts, Refinances, or any other type of loan or document is fine. I provide service from 9am to 9pm six days a week. I’m fluent in Malay & English. Call any time!

My professional background is very varied. I worked in a Mortgage company for five years, but was an assistant to a well known comedian before that. I also worked in Real Estate for three years. I have a BS in Chemistry. I also play the violin and flute (No, not at the same time).

(2) Someone with a dozen loans signed
I have signed many refinances, and a few reverse mortgages. I am happy to assist you with any type of loan or document signing 24 hours a day! Just give me a call and let’s get started.

I have 30 years of experience working in an insurance company. I have a Masters degree in photosynthesis.

(3) Someone with notary experience, but no loan experience
I have been a notary for 12 years and have completed hundreds of document signings for a wide range of clients. I have signed Deeds of Trust, Grant Deeds, Warranty Deeds, Powers of Attorney, Wills, Affidavits, Contracts, Permission for minors to travel, Affidavits of domicile, and many other documents. Call me any time for a loan or document signing.

I am a real go-getter, and a hard worker. I put in that extra effort to get the job done right. I also help the clients understand the notarization process and what their options are. Legally, I can not decide what type of notarization to offer, but I educate the signers as to what the different types of notarizations mean, and how they are most frequently used.

We are trying to train the notaries to put their selling features at the top of the notes. Selling features are any facts that make you stand out such as experience, or familiarity with certain types of documents or loans. Or, a selling feature could be a smoothly written line about who you are as a person that makes you stand out in a nice way. Detailed personality descriptions should go in the 2nd paragraph as a rule. If you want to talk about your professional background before you were a notary, please put that at the bottom. So many notaries put their real estate or insurance information at the top of their notes, and it simply counts against them as the clients are more interested in reading about their notary skills, since they want to hire the notary to do notary work — not real estate work!

What goes WHERE in your notes?

We have close to 7000 notaries, and most of them have written a notes section.  I am always stressing that the length and quality of the notes section strongly effects how many calls you will get.  I recommend a few paragraphs of notes. Browsers want to compare notaries and read through many different profiles before choosing who they will call first. If you leave your notes blank, or only have a few choppy sounding lines of text, I assure you that you will get left behind.    But, there is more.  Experience is very important and should go on top.

What goes at the top?
The first sentence or two of your notes is visable on the search results, and strongly influences readers.  Their decision to click, or not to click is heavily based on the first two lines of notes you wrote, and whether or not you offer 24 hour service, or are certified by 123notary.com.  It’s that important!  If you have reviews will strongly effect how many clicks you get too!  People write about many things in their notes sections. They write about their equipment, their coverage areas, types of loans they are familiar with, and experience.  They might also write about professional memberships, jobs they did before they became a notary, and anything else they think will impress or move a potential client.  If you look at all of these various types of information, there is one that triggers a reaction in the reader most, and that is what separates you from the pack: experience.

Put your experience at the top
If you have a lot of experience, that is the single most important trait that a client looks for.  If you are on the white glove list for some well known large company, that makes a huge impression.  If some other notary covers twenty counties and has some great equipment, that means something, but it doesn’t make up for lost experience.  Any fool can purchase expensive equipment, but how many fools have signed 15,000 loans with a 99.9% error free track record?  Any nitwit can sign a Reverse Mortgage (this is valuable experience by the way), but how many nitwits are on the approved list for some major American Title agency and have 20 years of experience? All pertinent information has a value, but there is a hierarchy to which information is the most valuable, and you need to put the most critical selling information (experience) on the top of the list.

What comes next?  Credentials & memberships
3rd party credibility is key to getting work.  If you say you are good and write well, that counts for more than nothing, but not that much more than nothing. If someone else says you are good, that counts more.  People who are already certified by another agency claim that they don’t “need” 123notary certification, however, to get the credibility of the green certification icon you actually DO “need” our certification.  That is 3rd party credibility from an agency who has been very serious about the notary business for 11 years and has 6500 clients.  Having testimonials is another form of 3rd party credibility.  So, writing about your professional memberships and credentials means a lot, and that comes right after experience.

Coverage Areas
Coverage areas comes third ideally. You can write about where you service, and which areas cost extra.

Specialties is fourth
If you want to put specialties as 3rd instead of 4th, it would be about the same.  Telling the world what types of loans you are familiar with is very important.  If you have a long list of impressive types of loans, you might put it higher on the list just to make an impression. If your specialties are very run of the mill doing refinances and reverse mortgages, etc., then put it third or fourth on the list.

Equipment & Insurance
Equipment can really make a difference and set you apart from the rest of the locals.  However, it is not quite as important as the other things I mentioned unless you have a very impressive mobile office which makes you one in a thousand.  If you have slightly above average equipment, you can mention it at the bottom just to be thorough.  E&O insurance can be put in the equipment section.  If you have a million dollars of E&O, then maybe put it in the first line to knock people’s flip flops off.  If you have been background screened or listed with the BBB, that could go here too.

Other information
If you want to talk about identification, legal considerations, or your unwillingness to give legal advice, put it here.  Parting notes should come here at the bottom as well.  I usually discourage discussing details of your rate structure, but that would be good at the bottom as well.

The debate over what goes at the top of your notes section.

We have so many different types of notes sections out there, it is hard to know what is best. Some people emphasize their certifications, title companies they are on the approved list for, or types of loans they know how to sign. All of this is good information, but how do you win the game as far as creating a winning notes section. I compared high placed listings and also compared stats for Notaries in the same geographical areas and learned something. So, we have some answers!

As a general rule, what I found to be true is that my semicolon system of punchy sales points is the best way to format the top of your notes section if you want to get clicked on. Just put your most salient features at the top like this:

“Fluent Spanish; 123notary & Notary2Pro Certified; Apostilles; Last Minute Okay; Experienced with REO, Reverse, Construction, Investment Loans, Buyer & Sellers, Debt Consolidations…”

Notice how concise my points were. They have to fit in a small space because the top of your notes shows up on the search results page, and a goot top of your notes section will entice lots of clicks! here are some other points about what info could go near the top of your notes.

Adjectives & Fluffy Information
Telling the world what a great person you are and making lists of adjectives such as reliable, responsible, experienced, professional doesn’t get you anywhere. That is NOT information — it is unverifiable fluff. Being friendly, or people oriented are better self-descriptions as not all people claim to be friendly. Having a background profession such as customer service or elder-care can help you verify how patient and caring and good with people you really are. Prove it — don’t claim it! Rambling in your notes section about how you go everywhere and do any type of signing once again is not information. Stick to specifics and helpful information.

Any Type of Signing
I compared a metro where there were many types of notes sections. The one that says they do “any type of signing” did the worst. Tell us a list of at least six types of financial packages you know how to sign, i.e. Refinances, Purchases, REO, Reverse Mortgages, Helocs, Construction, Time-Shares, etc.

Lists of types of loans
In one particular metro I compared the top eight notes sections. The one who had a long and specific list of types of loans signed got the most clicks. The one who mentioned how many years they were a signing agent and then listed specifics was the next best.

Unrelated Experience
We had a guy who was a fireman. He mentioned this at the top of his notes section. That is better than leaving it blank, but his click average was far down the list.

Taking Paypal and Credit Cards
Here is something unusual to add to your notes section. I like it. But, the stats found this listing to be average in terms of clicks.

Full-Time
In another area where we compared notes, a Notary claiming to be full-time did above average.

Radius
A Notary listing who mentioned his radius did much better in terms of clicks than other Notaries right above or below him on the list. Radius is a specific piece of information that people can put their finger on.

Approved List
If you are on a white glove list or approved list of a Title company, that is a very good piece of information to add. We compared a few approved Notaries who mentioned it at the top of their notes who did substantially better than the others in similar positions in the same area.

Guarantee
We have very few Notaries making guarantees. However, the one who I analyzed who does have a money-back guarantee does better than the others in his area.

Repeating your Name or Hours
People can see your name and your 24 hour icon already and don’t need to see it again in your notes. You are taking up space at the top of your notes section where you could write something else. Dont’ waste space. Put your selling spots up top.

Certifications & E&O
It is good to mention this in your notes section, but not at the top of your notes section unless you can make it concise.

Prompt & Courteous
These adjectives do not get you clicks. Anyone can claim to be prompt and courteous. Let your work prove it, but let your notes inform people about something more substantial.

Phone interaction tutorial

Some notaries wonder why they are not getting any good Title companies to work with them. When we call some of these notaries up, we see within seconds why they are not popular. First, the way some people answer the phone is horrendous.

Bad phone answering skills

“Hullo?”.

Do we have to guess who we are talking to? Or should we introduce your next assignment to your son because you forgot to announce yourself over the phone and we can’t tell you apart from your son?

Do your children answer your phone? Big no-no. How about your spouse? If you are a husband and wife team, that is understandable, but you still need separate cell numbers and you still need to let us know who you are when we call you. Otherwise we have to ask.

Title: Hi this is Marg from XYZ Title, may I speak to Susan please
Susan: (abruptly) WHO is this?
Title: I think I introduced myself very clearly — this is Marj from XYZ Title, may I speak to Susan please
Susan: Okay
Title: Okay, are you Susan?
Susan: Yes it is

Title: You made me work very hard just to try to decipher who you were. Are you going to be this difficult working with? I had to repeat who I was twice while you evaded announcing who you were. I am not the only person who needs to give information around here, especially if I am paying. I will call someone else. Thanks.

It is very rude to make someone repeat who they are before you reveal your secret information about who YOU are. If you are rude to Title companies, they have plenty of other inexperienced and unprofessional notaries to choose from.

Background noise

Is there background noise when you answer the phone? Are there screaming children or other noise. You should apologize about the noise as soon as you can and move out of the noisy area. Otherwise, nobody will have patience for you.

Someone else answering the phone?

If you are in business for yourself, it is extremely unprofessional to have someone else answering the phone for you. However, if they introduce themselves professionally and can carry on a professional sounding conversation, it might be tolerated. The worst thing you can do is to have a busy-body answer your phone for you who pushes their unwanted helpfulness on a caller.

Title: Hi, this is Marg from XYZ Title, may I speak to Susan please
Fred: Susan is not here, but I can help you.
Title: Thanks for your offer Fred, but I would like to Speak to Susan please, and I clearly requested that I wanted to speak to Susan
Fred: Can I help you with something? I can do everything that Susan can do
Title: You are being a bit pushy Fred. I am calling for Susan. I do NOT wish to conduct my business with someone other than Susan.

Please notice how Fred is offering unwanted help and trying to push it down Susan’s unwilling throat. This happens a lot when I call people. They don’t take no for an answer and get in trouble with me as a result for rudeness.Notice how Fred didn’t once offer to take a message for Susan. He was pushy and very unhelpful in the ways that Marg might have wanted to be helped. What a headache.

Asking people to repeat

Do you have other people keep repeating everything they said. Are you paying attention? Or can you just not think clearly, so to avoid having to respond to something you don’t know how to respond to, you ask people to repeat. If you are in a noisy place, or have a glitch in your cell coverage, you might apologize for the sudden static in your cell phone. Tell them that you heard the “I need you there at…. blank o’clock” part. That way they know you are listening and heard everything but the one critical word. That is acceptable. But, if you loudly say, “WHAT?” after everything the other person says, they are not going to hire you. Roughly 15% of our notaries are people who ask us to repeat ourselves multiple times during a conversation. It is very unpleasant and nobody is going to want to pay money to someone who is such a poor communicator.

Unprofessional remarks and behavior

(1) Oh yeah, you’re calling about that notary thing. (are we in Junior High still?)

(2) I just got my notary. (you mean your notary commission?)

(3) I just got off the phone with the customer, (you mean the borrower)

(4) Annoying or harsh music on your answering machine is considered unprofessional too

(5) Not having your name stated on your answering machine is unprofessional as well.

(6) Not knowing your basic loan signing terms and procedures is unprofessional and dangerous

(7) Answering the phone only to tell someone that you are in a signing. If you are in a signing and can’t talk, then why are you answering the phone?

(8) Answering the phone to tell someone that now is not a good time to talk. Why not let them leave a message if now is such a bad time.

(9) Answering the phone and telling them that you already sent the documents back when you don’t even know who is calling. Do you ASSUME that you are talking to the signing company from that job that you are at right now when it is someone completely different? Dumb!

(10) I’m certified. (you failed to mention which entity certified you)

Notes section

Most notaries do not include any unique information in their notes section. Instead they start off by talking about the least consequential information you can think of such as E&O insurance, background screening, and the fact that they are certified. Everyone on 123notary is certified by someone. It won’t get you ahead unless you have the 123notary certification icon. Indicating that you are NNA certified on our site will win you 0% more clicks since 90% of everyone else on 123notary is also NNA certified. You might as well say, “Hire me because I have two arms and two legs.”

Write about what makes you unique. Talk about your experience. Number of loans signed. Number of years as a Mortgage Broker. Specific types of loans signed. Do you offer last minute service? How many miles is your radius? Information that is unique to you.

The other notaries all claim to be dependable, reliable and professional, yet only 10% of them actually meet our standards for these adjectives so they sound phony. Do you sound phony? Talk about something that sounds REAL and UNIQUE. If you were a school teacher for 25 years, then you can claim to be good at nitpicking other people’s work and noticing all of their mistakes and everyone reading your notes will believe you.

Tone

Some people just start out sounding unpleasant. Their words might be good ones, but their tone just doesn’t sound appealing at all. Talk to me on a bad day and I have tone too. But, some people always have tone. Try to sound pleasant when talking to clients or prospective clients.

Arguing

Do you argue with clients? They want it their way. Don’t say, “Well I usually xyz”. Nobody wants to hear this. You should be asking them how they want it done? Would you like tomatoes on that? Now you are talking! Don’t accuse your clients of being overly demanding. Do they pay you? Then work for them and do what they want for the right price.

Vagueness & Rambling

Do you answer questions with vague answers?

Q. How far do you go?

A. Well, I usually cover Carbon county, but I might go to Hutchinson county if it is not too far in because my niece lives there and ….

Q. Lady, can you just tell me your radius in miles please without your life story?

A. Oh, well, it depends.

Q. Thanks for the help, I’ll call someone else

People in the signing industry are tired of this type of run around. Just answer the question the way it was phrased.

Q. Can you get the documents sent back to me tonight?

A. Well, it depends on where the signing is, because it is East of me, there is no drop box, but then if it is South, I could come around on highway 19, and then I could…

Q. Just tell me if you can get the documents back to me tonight… the signing is in Waxahatchie

A. Oh, well in that case, that is Southwest, so let me spend five minutes calculating while I keep you tied up on the phone… hmmm.

Q. Never mind, I’ll call someone else who can drop it in the drop box tonight.

Boy, what a hassle. This is not brain surgery here. Just say, “Yes, I’ll get it in the drop box tonight — guaranteed!”. And then do it.

Basically, we put up with a lot of unprofessional behavior. The smart notaries tend to be argumentative while the newer notaries often can’t function at all. Communicating is very hard for many, as they can not make a simple request without telling you their life story. Nobody has patience for this. People at signing companies deal with 100 notaries per day, and need their questions answered fast, and there is no time for nonsense. If you can’t communicate and do your job correctly, you will be sitting on the bench your entire career. It is not that difficult to be a notary. Just know your terminology and procedures, and learn to communicate effectively.
