Notary Etiquette 104 — The initial call

1. Introduce yourself
Introduce yourself properly by phone when you answer the initial call to hire you. “This is June of June’s Notary Service” is a lot better than, “Hullo?” High-brow clients will judge you by how you answer the phone, so answer like a professional if you want to be treated like one.

2. Answer questions the way they were asked.
If someone asks what your hours are, tell them your beginning and ending times. Don’t say “it depends” and don’t be vague. Give them a clear picture of your availability without making them ask again. If someone asks how many loans you have signed, don’t give them a summary of your professional background, just give them a quick number. If someone asks if you are still in business, don’t tell them you are eating dinner or on vacation, just tell them that you are still in business. Just answer the question.

3. No background noise
Screaming children, televisions, or people talking in the background sound unprofessional. You need to turn the TV off, go into the next room where there is no noise, and apologize if there is any noise. That is called being professional. If you are in a restaurant, there might not be much you can do, so at least let the caller know where you are and that you cannot do anything about the noise at least for the time being.

4. Don’t scramble information
Asking people to repeat endlessly is horrible. If your phone is horrible, get a new one rather than accuse the other person of breaking up. If someone asks if you can do a notarization for two signers on three documents, don’t repeat it back to them as, “Okay, three signers on how many documents?” That is called scrambling information and sounds ignorant.

5. Don’t brag
Notary Signing Agents have the desire to overprove themselves. The secret is to make a good impression by being helpful and not shoving your credentials down someone’s throat. It also makes a good impression to ask a few relevant questions about the type of signing or document. Asking a few pertinent questions looks professional. Show the world how good you are without trying. Just politely and calmly answer people’s questions and they will get the impression you are a seasoned pro and not an overanxious newbie.

6. Act calm
Acting calm and helpful is a lot better than acting anxious and overly helpful or overly unhelpful. People get put off by desperate or unfriendly behavior. Seasoned signers normally act calm. Signers that are over-seasoned are too calm because they don’t care if they get the job because they want to retire, so don’t be too nonchalant either.

7. Speak clearly and listen
There is nothing worse than a Notary who mumbles or speaks unclearly. With such Notaries you have to keep asking for clarification as to what they said. And what’s worse, when southerners say the word “bell” it sounds like “bail” and you have to ask them if they meant b.e.l.l. or b.a.i.l… Why can’t we all just be Yankees? Then, there are the Notaries who aren’t paying attention who have to ask you to repeat half of what you say. They are very unpleasant to work with, so please listen carefully when talking to clients.

8. Confirmation calls
During the confirmation call, it is practical to ask the borrower to prepare for the signing by having a clean dining room table, have animals out of reach, children taken care of, and no noise. Make sure all parties will be there early, have identification, and have any documents or checks going back to the lender or title. It is better if the borrower leaves their outside light on so the Notary can find the house more easily.

9. Answering machines
Your answering machine should not have unprofessional sounding music. I cannot say what unprofessional music sounds like. Some people have Vivaldi that is just too loud while others have hip hop music. Just be sensitive to how this music would sound to a hiring party and use your judgment.

10. Grammar
Do you use bad grammar? It don’t matter. Well, actually it does. People judge you in all sorts of ways, so try to use proper grammar as that is part of etiquette.

New Notaries and experienced Notaries alike have a very poor sense of Notary etiquette. It is common for people to complain about small things and not communicate well. We are going to publish a course on Notary etiquette. But, here are some of the main points you should understand.

1. Answering questions the way they were asked
Most Notaries cannot give straight answers to questions. This is a sign of poor self-discipline and a scrambled mental state. If someone asks how many loans you have signed, most Notaries tell you how many years and tell their life story. This is annoying and is bad manners. Just give the person a number. If someone asks what counties you serve, don’t tell them your whole pricing strategy for each county, just tell them your counties. If they want pricing information they can ask.

2. Answer the phone stating your name.
Too many people answer the phone saying, “hullo?” It is unprofessional. Others say, “Why are you calling me on a Sunday?” Don’t do that. Be professional. Others answer the phone while answering a question to the person standing next to them. This behavior can be alienating to the caller as you don’t know who the recipient is talking to.

3. Don’t have family members answer your phone.
It is annoying and confusing when someone else answers your phone for you. If they don’t state their name, the caller won’t even know they are not talking to you and might start a long conversation with the long person.

4. Don’t have noise when you answer the phone
No Mortgage professional wants to have their conversation with you interrupted because of your screaming kids. If you are in a restaurant, apologize about the noise and explain to them where you are. Hopefully they will understand.

5. Don’t fail to answer calls in a signing
If you don’t answer calls in a signing, nobody will be able to reach you. Unless you signed a contract saying you won’t answer calls, answer your phone otherwise how will you get your next job?

6. Don’t answer the phone and then refuse to talk
If you answer the phone, give the person calling a minute or two to state why they are calling and let them ask a quick question or two. If you answer the phone and interrupt the caller only to tell them that you can’t talk — you should not have answered in the first place. It is rude and annoying to do such a thing.

7. Get documents back to the company fast.
Know your local FedEx stations and UPS stops. Get packages back as soon as you can. Nobody wants to find out that their package is in your trunk four days after the fact. They also don’t want to hear that you missed FedEx pickup because you waited until the last minute, got a last minute job, and then forgot to drop the package as a result. Drop it like it’s hot.

8. Accept criticism
Most Notaries think they are so knowledgeable and can do no wrong. But, get very hostile when anyone criticizes them. In real life agencies that list you or hiring parties might criticize you. Take it as constructive criticism and learn from it. Don’t argue and don’t be hostile.

9. Don’t brag
Nothing is worse than a Notary who has to prove to you have great they are and rambles on about how much experience they have. I ask people simple questions such as, “How many loans have you signed?” Instead of getting an answer, I get a long rambling session about how their husband works in Escrow and I learned so much from him over the years and I even attended a signing with him. You can offer to explain your level of experience to someone, but don’t just start bragging and talking nonstop. It is rude, unprofessional and makes you come across as undisciplined and inconsiderate. Be polite and answer the questions that were asked to you.

10. Dress appropriately
Business attire is what you should wear to a signing. Believe it or not, even experienced Notaries show up in flip flops, night club attire, mini skirts, or bring their screaming kids to a signing. You will get fired if you don’t dress the part, so dress like a business person and act like one too.

11. Confirm the signing
Let people know who you are, when you are going to arrive. Call if you are going to be late, etc. You can go over directions as well and it is not a bad idea to know how their name reads on the ID before you drive over.

12. Don’t park in the driveway.
The driveway is for the borrowers or signers to park. You can park on the street unless you are invited to park in the driveway. They might need that spot in their driveway and they might not appreciate the fluids you leak onto their driveway either.

Being a newer Notary, you have to get new contacts, learn new things, and work for whomever will take you. It is typical that you will be micromanaged, have to do a lot of faxing back, get paid poorly or in some cases not at all. This sounds like a horrible ordeal, but it is good because by paying your dues you will get experience. Any Notary who has succeeded had to pay their dues. Some paid more dues than others while a few with good legal contacts avoided the whole low-ball experience.

You need to call the companies who you signed up with regularly. Remind them that you exist and are ready to jump night or day. You can call signing companies, title companies, Attorneys offices, bail bonds offices, hospitals or anyone who needs a Notary. Let them know you are ready to work. You should mention you are a mobile notary on your facebook profile too because you never know who is reading it.

You should have a business card that you can give to your clients, their coworkers, family members, secretaries, etc. Repeat business is a big factor.

You can find signing companies on the signing company lists on 123notary and Notary Rotary. On 123notary our list is free to the public. On Notary Rotary you might need to be a member to see a lot of their information.

Knowing who to contact is half of the battle. The most important factor of getting work is being hungry and ready to please. Those who contact companies and brag about how smart they are are annoying. But, those who are ready to jump, answer the phone at all hours, and never complain are the ones who get jobs. Companies need you to get them out of a bind. If you are always their hero, you will get jobs. If you are always busy, tired, or unresponsive, you might not get jobs.

Once you get jobs, make sure to answer emails promptly and answer phone messages. If you keep people waiting for inquiries, or after service you will not get rehired.

As a Notary, knowing what you are doing, having a good advertising presence, and being reliable all matter. But, if you don’t know how to negotiate fees, you will crumble in this low-ball world. Here are some of the best negotiating tips in the industry from our top players.

1. Let them name their price first
When bargaining, it is much better to let the other person bid first. You can always raise your ask price if they don’t offer enough. But, if they offer far too much, you would never get it if you asked first and asked too low.

.

2. Start with a high ask price
If you ask for $125 or $150, you can always go down on your price, especially if the job is close or fast. You can ask how many pages, fax backs, and notarizations are in the package. If the job is quick, then give them a quick price.

.

3. Never whine
If you whine about the condition of the industry or how low the fee was, people will think you are a low life. Professionals don’t whine. Professionals operate! So, if you are offered $60, ask for $85 and see what happens.

.

4. Decline the low-ball offers
If you spend all day working for peanuts, then when the good jobs come, you won’t have time. Decline bad offers so you are free for good offers.

.

5. Answer your phone
If you only offer when you are not in a signing and not driving or cooking or thinking, you will miss 80% of your calls. How can you negotiate a good fee if you don’t take the call in the first place?

.

6. Act professional
Try to impress them without trying to impress them. Most Notaries try to do a snow job and brag about how great they are. Seasoned operators don’t do this. Smart professionals will engage you in an intelligent conversation about the job, the industry and the state of the union. Ask them questions about the job, where it is, who it is for, what type of loan it is, and about their career and industry working in title or escrow. But, whatever you do, don’t talk about your zero percent error rate and how reliable and experienced you are — nobody can verify your claims and nobody wants to hear it.

7. Announce your name when you answer the phone.
Answer the stating your company name and personal name and never say, “Hullo?”. It sounds professional to announce yourself properly. If you have screaming kids in the background that sounds horribly unprofessional. Have a quiet place to answer the phone and if you are in a noisy place, try to go to a quieter place and apologize about the noise. Just because you don’t mind noise doesn’t mean the title company enjoys barking dog and screaming three year old.

8. Talk about real life
Sometimes I talk to Notaries who tell the Title company that you can call me to clean up the mess after you hire one of those $50 signers. Over half my work is clean up work. That sounds real to title companies unlike all the nonsense about how experienced and knowledgeable you are which just sounds like fluff. Tell real stories about how you handled complicated situations that others might have goofed. Mention that split signing where you did some complicated manouver on the Acknowledgment certificate and how you went out to sign the wife at 3am because she could only see you at that time due to her busy schedule as a nurse. This is impressive and much better than fluff.

9. Negotiate timing
You can offer a better rate if they get you late after rush hour. They might prefer to just offer you more and get the job booked.

10. Double book and get a bad review
You’ll get many bad reviews from this, but double booking makes sense. People cancel jobs all the time when they hire you, so why can’t you cancel a few jobs. If you book jobs tightly, generally at least one of the clients will cancel 20% of the time — at least. So, if you book a job for $60 and someone else offers you $150, you can ditch the first job and take the other. You will probably get a bad review that will last for three years, but you will have $90 extra in your pocket. It’s a dirty technique. Not recommended, but food for thought and great blog material.

11. Negotiating on SnapDocs
You need to know how to negotiate if you use SnapDocs. The majority of Notary work (not the majority of the high paying work though) comes from SnapDocs these days. Their technology wins the game although their fees for using their system are a little exorbitant. When given an offer on Snapdocs by text, you need to turn the situation around.

Let’s say you are offered $60 for a job. Text them back saying I have signed “x” amount of loans in my career and “x” amount being the Purchase that you are assigning. I will accept the job and get it signed within three hours, but my fee is $85. Do you want a seasoned pro or a screw up? References available upon request.

There are Notaries who prosper on SnapDocs. Just not that many. And the ones who do well merit doing well with their superior notary and business skills. Negotiating fees will not get you far if you are an unskilled Notary or beginner. You are competing against 12,000 other Notaries (estimate) on SnapDocs who also don’t know anything. So negotiate only when you have a bargaining position.

12. Stress Availability
As a Notary, there are a lot of others competing with you. If you are fast returning texts, answer your phone promptly and are available, you can get a lot more work. The other notaries are not so responsive. Let people know that you are available and can get the job done. That is a huge bargaining chip. And do so without sounding desperate.

13. Be Willing to Talk
Many Notaries are unwilling to talk to others while in a signing. If someone calls about business, give them 90 seconds before cutting them off. You don’t know if what they are calling about could help you or hurt you. Not giving them a chance to speak their mind will be very frustrating. Many Notaries answer their phone only to tell me that they cannot talk. This is like opening your door only to slam it in someone’s face. It is better to answer and talk or don’t answer. Set a limit ahead of time. By being responsive and friendly, you will attract more business. If you think the job you are at is the only job, you are sacrificing your next job which might become a repeat client.

Notary Butt Dialing

Notary Butt Dialing – No Ifs ands or Butts

When it comes to Notary butt dialing, there are no ifs, ands, or butts. One Notary had a cell phone with a waterproof case. His acupuncturist spilled massage oil all over his last phone, ruining it. So, the Notary bought a waterproof case that gradually disintegrated over time to the point where the lock screen button in the plastic fell off. So, the Notary couldn’t lock his phone without sticking a key through the plastic to the phone’s actual metal button – and putting the metal to the metal.

So, just once, this Notary decided not to lock the phone as he put it in his pocket. He put it on the page with the 16 icons and thought — what are the chances the iphone will have the green phone icon pressed? That’s one out of 16, and if it does, what are the chances it will actually call someone. After, two minutes, the phone had already called two people this Notary actually really wanted to talk to whom he hadn’t talked to in years. He was starting to trust his butt more than his fingers!

But, what if you butt-dialed an actual signing company? Would they think that the Notary was an actual butt-head? Would the two of them butt heads together?

At least the notary wasn’t just sitting on his butt like the feeling you get from lenders who are late in sending documents. This notary’s butt was being proactive! And rather than risk a traffic ticket or his life while talking into his cell while driving, this notary could butt-dial and drive at the same time. Driver’s seats should come equipped with built-in cell phones. Rear-view mirrors, welcome your new modern cousin – rear-sensitive seats!

If smartphones can let you digitally sign for things, it might not be long before we see smartphones for butt-dialing clients. By flexing the precise posterior muscle, maybe someday they’ll be able to sign documents in remote locations. Face to face notary encounters, make way for butt cheek to butt cheek encounters.

And now for my reBUTTal: One notary accidentally butt-dialing someone he might want to do business with is like hitting the lottery – the odds are against it. The stories of desperate gamblers who think otherwise too often REAR their ugly heads. END of story. Now if you’ll excuse me, my butt is calling.

We frequently see the flashing lights and hear the wailing siren. It could be a fire truck, police car or an ambulance. They know the value of a rapid response, often minutes, sometimes seconds will make the difference between being –on time- or being late. Their systems have evolved to, in many ways; shave seconds wherever possible. They use short radio codes in lieu of lengthy verbiage. Often they send a signal to the traffic light to turn green for them. The classic image of sliding down the pole to the fire truck, so much faster than stairs; is known to all.

While our clients rarely have life threatening situations, they too desire a rapid response. Most of use endeavor to avoid our incoming calls going to voicemail; a good start. True, we make lots of calls ourselves, tying up that very important incoming line. Simple solution: use two phones; they are certainly cheap enough. One should be dedicated to incoming calls, and nothing else. The other is for outgoing calls, and those critically important email and text functions.

You just completed the signing, time to send “signed with no issues” to your client. Soon after you have just dropped off the edocs with FedEx. Being a good communicator you send a second status of “package is with FedEx, scanned, and now trackable”. But, that’s not worth setting up an external keyboard, so you “thumb” it into the tiny phone keyboard. However there is a better way. Install on your phone(s) a macro facility that can generate the standard messages, and many others. I use the “signature” facility in ProfiMail (my email program), to select the appropriate message. It took a while to setup; but now those routine messages can be sent with little effort. More importantly: they are sent moments after the event.

Possibly on your business card you list both your home and cell numbers. When you are out on an assignment and a call goes to your home phone will it be forwarded to your cell? Most phone providers allow this, and if you configure it to forward on the 5th ring, you will have plenty of time to answer the phone when home. The objective is to not have clients connect to voicemail.

I assume you use a Bluetooth hands free device with your phone. Just holding a phone while driving will qualify you for a traffic citation, and possibly a fatal accident. You have the phone mounted where it can be seen and reached easily, great. Another problem, the caller wants to give you some detailed information to write down. Most of the time I request the caller to send me the information via email, and offer my email address. But, they are driving too, or unable to text or email. That is when I ask permission to start the voice recorder in my cell phone. A quick tap of a widget on the home screen starts the recording function in Dictomate.

I prefer a separate GPS device and rarely use the one in the cell phone. At a critical turn, a “pop up” for an incoming call can be annoying. No GPS? – you become a “Delayed Response Notary” while you struggle to ask at gas stations which way to your destination. It’s a good idea to go to the right house the first time. But, the GPS does not indicate which it is in a “cluster”. That’s the time to use a powerful flashlight to find the house number; avoiding the neighbor’s guard dog!

A comprehensive guide to Notary Pricing

It’s been a long time since I have written an article on pricing, so I feel it is high time! Most Notaries want to have a fixed fee and make tons of money. This is not always possible. The Notary market is a market with lots of little ups and down that a smart Notary needs to constantly adjust to. It’s smarter to have systems and formulas worked out ahead of time so you know how to react to these fluctuations.

There are fast days and slow days, monthly highs and lows, as well as changes in the market that happen over the years. There are also changes in who is competing with you in your area at a particular time. The key is to be flexible and learn how to charge accordingly. Here is how I would set my prices.

1. Time Involved
A smart Notary should charge based on how much time is spent. Notary jobs during rush hour involve more time. Jobs that involve printing more than the average amount of pages should be billed accordingly. Smart Notaries ask who the Lender or Bank is. This is because the name of the Lender can determine with some accuracy the size of the package. Signing companies lie about package sizes which is why smart Notaries ask. Additionally, there are many loan types and some require more time. Refinances are faster, while Construction Loans are longer but have more professional and businesslike signers. Reverse Mortgages, VA, and FHA take more time. Piggy Backs are double signings and have double the pages and double the Notary work. Time for doing a signing is based on these components:

Negotiating Time — Some companies are easy and pleasant to deal with. If it is fast getting assignments faxed or emailed to you and easy to confirm with the borrower, take notes of that time. It can differ from company to company.

Printing Time — Notaries should charge by the page for e-documents. Printing takes time, and often involves waiting for documents to be ready which can be hours if you work with irresponsible companies.

Driving Time –Factor in how much time it takes to get from point A to B. Keep notes so you’ll know how to charge for jobs to particular cities in the future.

Signing time — Some Lenders have loans that get signed quickly. Some Lenders answer the phone and get situations handled quickly while others don’t.

Loan Type Influences Time Spent — VA & FHA signings are just plain longer. Reverse Mortgages are for the elderly who are less businesslike and might need a lot more time to sign. Power of Attorney signings are the most likely not to fund, so take that into consideration. Piggy Back loans are double the signatures and double the notarizations. But, once everyone has sat down and you have your journal out, it goes quickly.

Fax Back Time — Fax Backs are a pain in the rear, but they serve a purpose. Signing companies can hire newbies and get away with it, because the signing company can check your work before it gets sent back to Title. They no longer need experienced Notaries. However, fax backs take time, so if your time is worth something, charge for each page faxed back.

Cancellation Rate Time Waste — Factor cancellation rate and billing time into the price.

Billing Time — Some companies pay on the first request while others require hounding.

2. Expenses Itemized

Printing Documents — is not only time consuming but costs money. You are using up paper, toner, cartridges, ink, and using up your time to restock what you used up. Charge accordingly.

Car Expenses — Driving a car is not free. Tires wear down, brakes wear out, plus you need to change the oil, filters, shocks, transmission, and more. So, in addition to time, try to work a mileage fee into your pricing in addition to charging for time.

3. Track Record & Risk of Not Getting Paid

Late Documents — If the signing company or title company was late getting your edocuments in the past, make a note of that. Keep detailed records of each company. Record how fast they paid you on each job. Recalculate their average days to payment every month just to keep records updated. Also, keep records for how late they are sending edocuments or how incompetent they are about keeping their borrowers informed. If you are dealing with a flake, charge more.

Unknown PartiesIf you accept a job from an unknown lender, or one with a bad reputation online, you might charge more, or make them pay up front. You should always charge extra when there is any type of risk involved. . These signings assume risk. Some of the risk is spending an unpredictable amount of time or not getting paid at all.

4. Payment Terms
If a Lender will only pay you if the loan funds, you need to charge more. Some Lenders will not pay your printing fee if the job gets cancelled, so make sure you know what the terms of the agreement are. Some will pay part of a travel fee if the job gets cancelled mid-way. However, the signing company booked your time, and you can’t give your leftover time to some other company at the last minute just because they needed to cancel. You have to commit your time to them, but do you make companies commit to paying you?

I personally feel that Notaries should set their own terms. You are not a bank, and it is not your job to gamble on whether or not a loan funds. You should be paid before, or within 72 hours of a signing in my opinion. But, you can make your own terms. Beginners have to accept the terms dictated to them, but old pros can make their own terms and get away with it. However, if you do accept terms that limit your ability to guarantee payment, charge a lot more.

5. Travel Fees for Non Loan Signing Work
Most Notaries charge $25 to $50 travel fee, and more if it is for jails or hospitals. You also charge by the signature on top of the travel fee. Charge based on how valuable your time is worth. If you are desperate for work, charge less. If your time is limited, charge more. If you have lots of other things to do, you have less supply of time so you can charge more — this is a strategy to consider — so stay busy my friends.

6. Jails & Hospital Notary Jobs
Charge more for jails and hospitals because these are the jobs where there is a lot more that can go wrong. You also will not be dealing with the cream of the crop. You can get stood up at a jail. Inmates do not have ID and your credible witness or ID carrier might not show up. ID’s might be expired. Hospital patients are often drugged making it impossible to notarize them. Half of them can’t even hold a pen, so how can they possibly sign? Consider this when deciding upon your jail & hospital travel fees which should be $60 to $150 depending on how greedy you are! Some Notaries are afraid to go to jails, but it is safe, and that is where you can make money fast. Just make sure you have them read their ID to you over the phone including expiration date or you will be very sorry. Also, get your travel fee in cash at the door BEFORE you see the signer. They might not be available or might not want to sign! Be prepared!

7. General Pricing Models
Keep in mind that a few years ago, Notaries could get paid a lot more. With Snapdocs and lower demand, companies can pay a lot less and get away with it.

Situations where you charge more or less
(1) Charge less during the first 17 days of the month. It is slower, and you have more time.
(2) Charge more during the end of the month. Additionally, you can charge more if you schedule a job several days in advance because you might miss out on a better offer. Additionally, jobs scheduled in advance in my day had a 25% cancellation rate which will wreak havoc on your schedule.
(3) Charge less if you are having a slow day and someone needs a last minute signing. If you are doing nothing, why not sell that time.
(4) eSignings have less physical pages, but often take longer because the signer and their spouse need to take turns looking at the computer screen not to mention the chance of delays due to technical issues.
(5) Charge extra if there are three or more signers on a loan.
(6) Charge more if the company cancels a lot
(7) Charge less if a company has a good track record and is easy and fast to deal with — or pleasant!
(8.) Charge more if there are lots of signatures to notarize.

Pricing Recommendations For Beginners. 0-500 signings

Basic Signing $60-$80
E-Documents: $10-$25 extra per double set or 7 cents per page
Pickups: $25 extra
Dropoffs: $20 extra — there is less waiting time during dropoffs
Reverse Mortgages: $100
Piggy Backs: $100
Regular Notary Work Travel Fee: $30 if within 30 minutes
Jail & Hospitals: $50

Pricing Recommendations for Intermediates. 500-3000 signings
Basic Signing: $80-$120; E-Documents: $20-$40 or 10 cents per page; Pickups: $30 extra; Dropoffs: $25 extra; Reverse Mortgages: $125; Piggy Backs: $125; Regular Travel Fee: $40 if within 30 miles; Jails & Hospitals: $70

When to charge in advance
You are not a bank and you should not offer endless credit to any signing company. Some of them will string you along and not pay you or play games with payments making it unclear which job they are paying for. Decide in advance how much credit to give each company and keep records. If you have a six month track record with a company and they pay you on time, you might offer them credit for six jobs. For all others, do one or two jobs, but don’t do any more until you get paid. It is not a bad idea to charge up front with Paypal, but few companies will pay a beginner up front. Ken, our seasoned Notary always gets paid up front, but he is a pro.

(1) New Companies — do one job, but don’t do a second until you get paid for the first unless they have a stellar record for payment on the forums.
(2) Some Track Record — do two jobs, but don’t do a third until you get paid for the first.
(3) Good Track Record — Watch out: good companies can turn bad if they experience financial difficulties or labor shortages. Do not offer credit for more than six jobs no matter what. A good track record should be over at least six months.

Don’t complain
There are many Notaries who have gone out of business because there is too much competition for too few jobs. If you are getting paid, getting experience, and staying afloat, you are ahead of the game. Many Notaries have this idea that they should get $125 per signing ever time. Unfortunately, it no longer works like this. So, take what you can get and just do your best! If you get more experience, you will be worth more in the long run. Additionally, the market could have an upswing at any time, so keep a positive thought.

How to Chase Away Clients
Through the years, by accident, inattention or just plain stupidity – I have chased away some clients. We all have. Miztakes are a normal part of the human existence. Show me someone who claims to never make mistakes; I will show you a delusional individual. Probably the most offensive mistakes are those resulting in a lack of judgment. The perpetrator knows what they are doing – it’s just that their “bright idea” is offensive to the recipient of their “wisdom”.

I will start out with the antics of a foolish notary that I personally know. And, know enough to avoid that one both personally and in business efforts. This klutz had the understanding that doctors often need notaries (true enough) to process their statements as to the health of a patient. Typically required for adoptions, this process is routine. Thus, the mentally inept one starts properly enough; by defining a market that has a recurring need. That’s good thinking make no mistake about this: fools can think clearly – they just draw the wrong action conclusions.

With the idea of filling the rather restricted cranial cavity, the notary proceeds to develop some advertising. Self praise is piled high, claims to be anywhere in moments, having the lowest fees in town and other nonsense that rambles on and on. What started out as a one page “flyer” morphs into a densely worded manifesto; with an astonishing 5 page length! With the masterpiece ready, self absorption and a lack of respect for others kicks in mightily.

Having the usual unlimited local calling plan, this proceeds to FAX the five pages of rubbish to every doctor, hospital, and clinic within 20 miles! Not bothering to keep records, it is sent multiple times (due to the way they listed their business) to an unfortunate, but now highly vocal few. Of course the ones who received it only once are also outraged. For the next few days the most common phrase in the medical community is “I got the same junk too”. Blacklisted!

The notary did what was thought to be good for the notary. Totally lacking was any consideration for the recipient. The notary quickly became very well known, but in a very negative way. That notary’s notoriety will last forever, possibly extending beyond medical. Mouse brain would have been better off mailing a pencil with an ad. That probably would not be very effective, but it would not create flaming animosity.

Yesterday, I visited, as requested one of my regulars. The location is about 5 minutes away. The owner immediately told me he forgot to reschedule; as the document had not arrived. It was due to arrive today. He told me that today, my second visit, my fee would be double; to pay for my efforts yesterday. I asked for, and received 1.5 of my regular fee; cutting the prior day in half. He asked why I was not accepting 2X my fee. Because it feels right, was my reply.

It’s easy to lose a client and hard to acquire one. That’s a Marketing 101 truism. To chase them away simply put yourself on their side of the transaction. Would you be happy or sad? Picture the humble = symbol. Is the deal = in benefit for both sides? Only a win win arrangement will result in repeat business. Some strive for >= (greater than equal), good for you; not so good for them. Charging $1000 for a 3AM emergency notarization might get the cash; to be followed by a lawsuit for price gouging. Follow your head and your heart, not just your wallet.
