How is 123notary RON friendly?

We have a handful of RON Notaries now. We encourage people to know how to mention this in their profile. Please learn these easy rules about how 123notary works.

Your NOTES section is where you write about yourself, and special skills. I am not sure if people come to 123notary for RON Notaries or not, but if they do, put it at the top of your notes section.

The top of your notes section shows up in the search results. So, if the first thing you mention is that you do remote online notarizations, people will find that.

Let me know if you get RON jobs from 123notary. You might more and more as time goes on.

Personally, I think RON needs a female counterpart SALLY. But, that is just a passing idea.

Daily habits vs. Reviews. They are more similar than you think.

If you want to have a healthy listing, you need reviews. You should ask for reviews every day, or at least whenever someone tells you how much they like your work. But, many notaries claim they don’t have time.

You have time to brush your teeth daily right? And if you don’t brush them — you lose them. (gulp.)
You have time to wear your seat belt, right? And if you don’t you might die.
You have time to eat daily, right? And if you forget, you will die after a few days.
But, many of you don’t ask for reviews daily.

People who don’t have reviews get less than half the business that those who have reviews get. It is also important to write a thorough notes section (ask for help if you need any).

People also come up with lame excuses why not to ask for reviews. Some will not ask for reviews because they don’t get enough business. But, if they had reviews they might get enough business. Others say they don’t need reviews because they have too much business. But, if things slow down, you will once again need the reviews.

It’s kind of like not brushing your teeth because you don’t have any cavities — now… Brushing your teeth is for the long run and not for right now. So is asking for reviews.

It’s kind of like not wearing your seat belt because you haven’t had any accidents recently.

It’s kind of like not eating for a month because you are too fat anyway.

So, ask for a review today (and then floss.)

Your time on the clock analyzed in the Notary business

In any business, you put in a particular number of hours of work. Your work time is divided into particular activities. There is a limit to how many hours you have in a particular week. Few of us can work infinitely, and few can work 80 hours a week. I used to work 70 hours a week and I will never repeat that although that is how I got my business going initially.

MY BUSINESS RESPONSIBILITIES
I have the same problem in my business. I am in the directory business. My time is divided between:
Managing programmers
Adding new listings to the directory
Calling new people, calling old people to see if they are still in business
Writing Blogs
Answering emails & Processing orders

Sometimes I have to figure out which activity not to do when there is a time shortage and it is difficult to choose at times.

WHAT DO NOTARIES DO
But, what do Notaries do? Below is my itemized accounting of what Notaries do in their work time. I ordered the components in order of immediate importance to your career. The topics near the bottom are more long term in their importance.

1. Notary jobs – 31 or more hours per week (or whatever you can get at a market rate)
This involves answering the phone, looking up companies to see if they pay, scheduling, printing, faxing, scanning, driving and supervising signings which includes notarizing. Followups and giving tracking numbers would accompany a notary assignment in many cases as well.

2. Billing – 1 hour a week depending on need (recommended: bill each company you work for once per week)
Faxing bills, keeping records, and threatening companies with demand letters from time to time.

3. Miscellaneous – 1 average hour per week (varies depending on time of year and need)
Buying equipment, toner, paper, supplies,business licenses, taking state notary exams, and doing paperwork for taxes.

4. Marketing – 2 hours a week (recommended)
Contacting new companies, handing out business cards, online advertising, getting reviews, updating your notes, keeping your information straight everywhere it is listed.

5. Education – 4 hours a week (recommended)
Studying certification materials, testing, asking questions, reading blogs.

SUMMARY
Basically, most Notaries who are unsuccessful put too much time into doing jobs and not enough time into the other things that they need to do. Doing jobs provides immediate income, but does not provide for long term success in the business. As indicated above, I recommend doing 31 hours or more of actual notary work per week and the rest of your 40 hours should be doing other activities. You will make more money in the short run doing more work work and less preparatory work. But, you will do better in the long run doing more work that helps your skill level and online presence.

Notaries that know more according to impartial sources (or intrinsically) get more business. Through the use of metrics and analysis I have proven that Notaries who ace my hard tests get a lot more business and get paid more than the others. Acquiring this knowledge takes study time, and perhaps getting some tutoring from Carmen and myself. If you spend too much time making short term cash, you will not have time to study. I put that I recommend four hours a week or study or reading time. To be frank, in the beginning of your career I would put more than four hours. But, once you are established, perhaps only two hours a week. You still need to keep in touch with what people in the industry are writing about to stay informed and keep learning.

Spending more time maintaining your listings makes sense too. Many people online just do not login for half a year or more at a time. Many people’s notes section continue to stay the same when there is a lot more information they could constantly be adding. Most people do not get enough reviews on their listing. Paying attention to these things can increase your market share and demand for your services. If more people want you, then you can charge more for the same type of signing than you could before.

Increasing your value through being methodical and organized about maintaining your online presence, and continuing your education makes a lot of sense. Notaries do not value these things because they don’t have time, lack the discipline to study or write compelling paragraphs about themselves, and just plain don’t see the value. The value is, that by maintaining your education, and presence, you could get paid in my estimate 25% more per signing simply by increasing demand for your service. Additionally, you would get a higher quantity of work. In short, your total income could be a lot higher if you would play by my rules which look at the long run. Less whining and more mastery pay the bills. So, analyze and keep track of how you spend your business time and see if you can make some adjustments that will help you in the long run.

Inspecting Journals

Many Notaries do not bother to learn how to correctly fill in their journal. This is important because you could be investigated by the FBI (it happens to our notaries from time to time) and you could end up in court before a judge. You might be treated more leniently should anything go wrong if you keep very prudent and correct looking records. If you have omissions, sloppiness and don’t follow sensible procedure, you increase the chance that you could end up in trouble.

The most important rules to remember in journal entries are:

1. Fill out all fields in the journal. The additional notes section can be used for anything noteworthy about the building or signer that might jog your memory years after the fact in court.

2. One journal entry per person per document. Three people each signing four documents = 12 journal entries, not three and not one using the squeeze it all in method. Those signatures and thumbprints that you could keep in your journal are evidence that might be used in court – treat it as such!

3. Make sure your journal is locked up and stored properly after it is filled up. There are 512 entries per journal, so make sure you have extra blank journals for when you need them.

California actually inspects Notary journals regularly. If you live in California you need to know this. They can have you copy and mail your journal entries from a particular date range. If you are not following proper procedure based on what they currently want (ask them not me what they want) then they can suspend you. California suspends or revokes many notary commissions due to exactly this reason. Additionally, the rules keep changing so keep up with the times, man.

How do you market to title companies?

Over the years we have heard many approaches to marketing to title companies. Obviously having a good online presence is the most time efficient because using that method they would come to you. But, what if you took a more aggressive approach?

1. Calling title companies
If you make a list of title companies and call them, that is a great way to get business. Keep in mind that there are different reps. They all say that they will share your info with the others, but they hang up so fast that how do you know that they will. It is good to talk to as many reps as possible, potentially on multiple phone calls to each companies.

2. Mailing title companies
If you want to do a nationwide campaign, focus more on companies within 90 minutes of you. But, you can contact title companies throughout the nation by mail. A few Notaries have done this. The response rate is low, but you contact so many companies, that you will get clients. You could mail them a card with basic information, rates, areas covered, etc.

3. Online presence
You are already doing this. But, there are more effective ways to do online advertising than just being online. Ask me how. More listings in more areas, higher placement, more certifications, better notes sections, more reviews, etc., all help.

4. Lots of E&O.
Some title companies require lots of E&O and the amount can vary. 500K E&O will help make you stand out from the other Notaries and might help attract title companies.

5. If you work for a particular title company, pass out cards to the various reps. If you have to go to a particular branch, get to know them as individuals. Title company people are not the most friendly in the world, so try to keep it quick.

6. Visiting title companies in person is time consuming. But, you can see how it works and let us know.

7. Be willing to take those out of the way jobs. Getting in with title is hard. But, once you are in, they might give you regular work. So, be willing to go wherever or whenever for that first job so they can sample your work.

Good business names vs. Bad and which names get clicks…

Some of the Notaries on our site have registered business names that they do business under. We recommend going to the county clerk and registering a well thought out business name. However, the name you pick for your business can affect the quantity of clicks you get on directories. Some types of names get the business while others just collect dust. The day you register your business has astrological implications as well, but that is a topic for a different day.

After a quick analysis of business names, I have come to the conclusion that the debate is more than just between good and bad sounding names, but between different types of names. There are specific local geographic names, larger geographical area names such as the name of a state, personal names mixed with notary terms, unusual names, and generic or not so good sounding names. It is a little difficult for me in my opinionated state of mind to decide which business name is better than another, so I will rely on clicks to decide.

Please note that clicks vary widely based on what area you are in, how many reviews you have, how good your notes section is, and how well known and popular you are as most people who hire you from a directory already know you.

1. Large Geographical Areas: 2.5 clicks per day average for first three entries. The other two have unusual considerations. Please keep in mind that CA Notary Services has an incoming link from one of its sites to one of its listings, so the stats will be affected based on that link. New York Mobile Notary Services is an organization with several people working for them and they have been around for a long time, and their geographic area is known for getting disproportional amounts of clicks.

The click average for these five entries is 3.28 if you do not take into consideration the abnormalities of the sample data. The average would be 2.5 clicks per day without the two listings that are “statistical anomalies.” I personally do not like business names that use the name of a state simply because the notary can only offer service to a particular part of that state. However, the clicks indicate that this type of name gets clicked on a lot. Jeremy says one thumb up but the clicks say two.

2. Personal Names + Notary or Business Terms: 1.9 clicks per day average I think that this type of business name is not bad. However, I prefer catchy unique names that grab your attention and are easier to remember. One thumb up for this type of business name.

3. Names I thought were weak in appeal: 1.35 clicks / day.
My gut reaction to these names matched their overall click appeal or lack of it thereby. Attributes combined with a notary term just don’t work. Putting two initials together with an & symbol did okay with D & D, but we don’t have enough evidence to get any idea of whether it is a good idea to use such a type of business name. Once again, I prefer a catchy unique business name. Two thumbs down for these names (sorry).

4. Unusual Business Names: 1.3 clicks per day.

This type of business name is good because it lets the client know that you focus on their area. However, it is a bit generic and not very interesting. One thumb up for this type of business name.

6. Business names that Jeremy likes most: 2.3 clicks per day.
First of all, I wish there were more business names on our site. I cannot go through the entire site every time I write an article. I only go through the big cities. These are some interesting names in this category. Golden Gate Notary lets you know they cover San Francisco and surrounding areas without blatantly saying it. It is like poetry to my ears. Bay Area Notary does the same thing but has a larger implied coverage area. Neighborly Notary has a warm feel to it. No hassle is a really cool name that speaks to one’s emotional tribulations. A1 is a bit cliche, but gets the most clicks in this category and sounds good if you need a filet mignon notarized. Five Star is a great name and I’m surprised that nobody else used it. The Notary to Call is an awesome name because it says it all, is relatable, but yet unique and catchy. I love these names and hope that people can think of more catchy names. Two thumbs up for the names in this category, and the clicks agree with my opinion in this case.

CONCLUSION
I recommend having a business name and spending lots of time brainstorming your options and consulting different people about this major decision. Unique and catchy names win the game, but business names that incorporate geographical terms, especially wider geographical terms seem to be successful as well.

FYI: To do well on 123notary, you need several reviews on your listing in addition to having a good notes section. New reviews gravitate clients more than old reviews. If all of your reviews are three or more years old, you will appear to be someone who used to be trying hard, but who is taking it easy now. To avoid looking like a washed out notary, try to get two new reviews every year. The minute anyone says, “gee I love your work”, that is your cue to say, “oh, can you write me a review? I can just send you a link and it takes only 25 seconds.” Get their email address, send them a link to your review page, and they just need to put in their name, email address, and a quick comment in their own words. Not everyone will do this, but around 10% will. So, you need to keep asking people. You might need to ask two dozen people per year to get two or three reviews, but that is all you need to get positive attention on 123notary. The main thing is to make it a habit to ask for reviews.

Your experience matters, but you need to document it clearly

Notaries brag all day long about how experienced they are. Nobody wants to hear your bragging. These same Notaries who verbally boost themselves up are the same Notaries who don’t always login to their listing to document their experience.

Remember – when you tell a caller how experienced you are, only one person hears you; When you indicate in your listing how many loans you have signed (in the # of loans signed box please) and indicate in your notes what types of loans and documents you’ve signed, thousands can read that information and hence hear you.

I have found that many Notaries, particularly the free listings do not login to their listing much. I remove many who don’t login and we hear from them years after the fact. When I put them back online, they rarely update their # of loans signed. Often when I confirm the information with them I inform them that their profile states they signed 50 loans. I get this loud reaction such as, “Oh, no it’s WAYYYYY more than that.” My attitude is – don’t tell me, tell your listing. Thousands read it, so why not maintain it?

A well maintained listing gets over 1000 views per year.

Many notaries are vague about the type of experience they have and spend more time discussing their Real Estate or teaching career in their notes section. Be specific about what types of loans you know how to sign. Go through them one by one. Discuss your professional background clearly too. Don’t just say that you were in the mortgage industry. Tell us what role you played in that industry. Specifics sell.

SUMMARY
When you brag to a caller – one person hears your information; When you fill in your # of loans signed & notes – 1000 people hear your information;

It takes a minute to fill in your # of loans signed and you should update that several times per year. Many people let it slide for many years. If 123notary feels that your # of loans signed indicates that you are doing almost nothing, not maintaining your listing, or making outrageous claims of having signed more loans that humanly possible – we notice. Try to just publish helpful and truthful information and keep it updated. Thanks!
