Getting paid – a comprehensive timeline

Many Notaries have a problem getting paid. It’s not you — it’s the industry. But, by using good principles, you can avoid most of the drama. Here are some guidelines to help you through every step of the process.

BEFORE THE SIGNING
When you get that call from a particular company, you need to either have records on each company out there, or be able to look them up. That means you either need online records on a cloud, or accessible from your iPhone, or have a cheat sheet in your glove compartment with up to date records on all signing companies. You need to keep track of:

1. How many jobs have they given you
2. Payment record — average # of days to pay
3. How much outstanding
4. Are they pleasant to work for
5. Cancellation rate.
6. What is their track record on the forums and 123notary’s list of signing companies.

If company cancels too much, you should up their rate or make them pay a cancellation fee or nonrefundable deposit up front, otherwise you will be left holding the bag (and the freshly printed documents.) If a company owes you more than a few hundred, you should deny service until they pay up. If a company has no track record with you, please consider asking them to pay up front via Paypal. If you are a newer signing agent and desperate to get experience, you should be more flexible and take more risks so you get experience. You can check new companies on your iPhone while on the road to see how they do on the various forums and 123notary’s list of signing companies with reviews. If a company has a bad track record of payment, you should charge up front or you will likely get stiffed. Some of these companies have no remorse.

CONFIRMING THE SIGNING
Confirming the signing using our tips in the real life scenarios section of Notary Public 101 will not help you get paid, but will help you reduce the amount of signings that end in mid-air. If the signer doesn’t have ID with matching names, or if the other signers aren’t going to be there, or if they don’t have that cashier’s check they need — you are better off not going to their house as it will be a waste of time. Signings that end in “no signs” often do not get paid, so by avoiding this type of scenario, you will have less unpaid jobs as a total percentage.

AT THE SIGNING — MISTAKES
Most Notaries brag about how they have a 99.9% accuracy rate. The truth is that most Notaries make mistakes from time to time, and sometimes FedEx or the Lender screws up too resulting in a second trip. In my experience it is very hard to get paid for a second trip. Companies will often offer to pay, and then not pay you. So, triple checking your work and getting packages to FedEx fast will help reduce your rate of non-paying jobs and also help you from getting fired as much.

AFTER THE SIGNING — FAX
After you are done with your signing, fax a bill and include all pertinent information such as the borrower’s name, property address, loan number, and whatever else the signing or title company wants. Send a bill every week by fax or email or whatever medium your company wants. Also, keep records of every signing company you work for, and all of the jobs they assigned to you. When they pay you, you can indicate the date when they paid you to the right of the job description, borrower name, property address on your records. Your records can be paper or online. It is very fast to do this by paper by the way and less chance of data loss unless you keep the paper in your car.

EVERY MONTH — RECORDS
Every month or so, update your records that you keep in your car. Keep records on each signing company. Track how many jobs they gave you, how fast they pay, what they still owe you, how much you like them. You can assign them a grade too. You can have a customized pricing strategy for each company depending on their track record. You can give lower prices for companies you like. I would base prices on estimated time spent and NOT a fixed price. You could have a — near, medium and far price, or a price that is more intricate depending on number of pages, number of signers, distance, time of day, etc. That is up to you. But, having an intricate pricing strategy will make your life a little more complicated, but will weed out the more difficult companies, or at least make them pay for grief they cause you. Otherwise, those companies will think they can get away with causing Notaries endless headaches. You could keep two sets of these records and update them monthly. One at home and one in the car. If someone offers you a job, don’t quote a price until you look at your records and see if they are on the “A” list.

30 DAYS
If a company is past 30 days, time to consider sending them a demand letter. Or you could wait until the 45 day mark depending on how tough you are. We have a demand letter (from hell) template on our resources page. People have had consistently excellent luck with it, and it was given to us by our very most seasoned Notaries on the site.

45-60 DAYS
If anyone gets to this point, definitely send them a demand letter, but consider hiring an Attorney to write a letter threatening them. There are Attorneys who will write a letter for about $30 using their legal assistants. If a company owe you $300 or more, it might be worth it to write a letter. You can also charge for damages which include your time lost and legal fees.

CONTRACTS
We wrote another article on contracts. Signing companies have contracts to protect their interests. Their contract defends what is convenient and good for the signing company but not what is good for the Notary. You can have your own contract too and make people sign it if they want your services. If you are inexperienced, many companies might not sign it. But, if they need you and you have experience, they just might. You can state terms about partial signings, no shows, cancelled jobs, printing fees, resigns, and whatever else you want. Try to be reasonable in your terms if you expect anyone to sign it and continue using your services.

CREDIT
Try to determine before hand how much credit to offer to particular companies. This needs to be customized. Companies with a bad track record should not get any credit and must pay up front. Companies that have been solid towards you for years might get $400. But, don’t offer more than that because good companies turn bad all the time the minute they run into credit problems. Each company you work for should have a credit rating with you and an individual amount of credit you will offer them. When they offer you a job, see how much they are in debt to you already before saying yes, otherwise — it’s Paypal — or no job!

Many Notaries complain that they don’t get paid on time. The problem is complicated. Many signing companies are also not getting paid because they are also not careful of what clients they do business with and their contracts are often not air-tight. The problem of getting paid is several fold. You have to do good work, otherwise you will be the last to get paid. You have to background screen companies, otherwise you will work for the worst. You also have to be aggressive in billing. Below are my formal suggestions:

1. Be the best at what you do
If signing companies value you because you are the nicest and most dependable notary in the business, they still might not pay fast, but they will feel motivated to pay you – otherwise they will lose you. And nobody wants to lose their best Notary.

2. Ask for References
If a company doesn’t want to give you references they are probably not worth working for.

3. Screen companies first — Read about them on the forums
Notary Rotary and 123notary keep information on what Notaries say about companies on our forums. You can look up hundreds of companies. We also have a list of signing companies with reviews on our site you can reference from a mobile phone!

4. Keep good records.
If you keep stats on how long it takes companies to pay you, and do the math to create averages for how many days it takes, you can avoid the companies that pay slowly.

5. Have a credit limit for each company.
If a company has proven to pay quickly and on time, you can offer more credit. But, for newer companies or slow pays, I would not offer them more than $200 in credit.

6. Bill weekly
If you keep after companies that owe you money by emailing them bills and calling about the late ones, they are not going to enjoy being harrassed. They will be more likely to pay you.

8. Protect yourself with a contract
If you have a contract that goes over how much you get paid for last minute cancellations, printing, and if the loan doesn’t get signed, you will have legal grounds to get paid. There are many situations you can protect yourself from with a contract. Getting others to sign your contract will only happen if you are one of the best Notaries, so don’t get your hopes too far up.

9. Physically show up at the signing company
If you are within driving distance, you can have a personal appearance at a signing company and camp out until you get paid.

10. Sent a letter from an Attorney
Many Attorneys send letters for a low price if you shop around. Nobody wants to get sued, so have a letter written and get paid fast.

Trouble getting paid? Have you tried our demand letter from hell?

Notaries complain all day long about how hard it is to get paid. The new complaint is that there are companies who will pay promptly, but not unless you bug them around 30 days after the signing. But, what about companies who just won’t or just don’t pay? First of all, research all signing companies on 123notary.com/s or Notary Rotary BEFORE accepting a job from them. If you work for known offenders, you will likely not get paid. Asking for paypal up front works for certain experienced notaries, but might not work for you. It is worth trying. But, what about after the fact?

Use our letter from hell!
Our letter from hell threatens signing companies in all sorts of horrifying ways that makes their skin crawl. This letter was composed based on the advice from many of our most seasoned veteran notaries from around the country. If this doesn’t get them to pay, they are either completely out of business. Comedic Notary Pricing from Apo-steal-of-a-deal to Zilch (not getting paid).

Getting paid is serious business. But in this blog, we’re going “goofy.”

REVERSE MORTGAGES

Segagtrom. So much for literally reversing “mortgages.” In the reverse mortgage I’ll be referring to here, you get paid before you do the signing. If they don’t pay you ahead of time, charge 150 bucks. If they don’t pay you that, reverse the charges on the UPS. You can also drive in reverse to the signing. Unless you happen to be in a parking lot, in which case backing up causes serious tire damage. I can back that up in a notarized statement.

INSPECTIONS

When you inspect a house by taking photos, if it’s cheesy looking, tell it to smile and say cheese. If there are lines from broken plaster on the wall they don’t want you to shoot, charge them extra to Photoshop the lines out. Charge twenty to thirty dollars for inspection, unless the photos need touchup. When you visit their restroom and inspect their medicine cabinet, charge them a snooping fee.

REFINANCING

When getting signatures for mortgage signings, charge them a
re-re-re-re-re-refinancing fee if the signer stutters.

EDOCS OR DOCUMENTS

Ink is to a printer what cocaine is to a dealer. The first sample is free, and then they have you hooked on a very expensive habit. So be sure to charge accordingly for depleting your ink supply as you type out documents. Make sure they don’t pay you with money they printed out on their printers. Although the ink would probably be worth more than the money.

TRAVEL FEE FOR MOBILE NOTARIES

It’s been years since doctors made house calls. If you’re making a house call to notarize something, you better make sure you’re compensated for such service. Some charge by the mile, some charge by the amount of time to get there. As for the comedic price list, charge them like Dominos Pizza. They’ll get a free signing if you don’t arrive within thirty minutes or less. And when you do arrive, make sure you act extra cheesy. And top it off with an extra signature. If the signing is late at night, charge them a surcharge. If they treat you with disrespect, charge them a you-forgot-to-call-me “sir” charge.

LATE FEES

If they’re not ready for you when you arrive for the signing, charge them a late fee. If they’re not ready for you when you arrive because they’re dead, charge the next-of-kin a late, late fee. If it’s so late that it’s technically the wee hours of the morning, charge them an early fee. If they can’t pay you till tomorrow, charge them a late fee for the early fee. If they can’t pay you till after the both of you sit down and finish watching an old movie on TV, charge them a late, late show late fee for the early fee.

WAITING FEES

The more you wait to be paid, the more you charge them. If you wait till hell freezes over, charge them a waiting/defrosting fee. You’re like a taxi stuck in park with the meter running. If they haven’t reached the destination yet but they’re still your client, that will cost them. That should give you a lift. (Or for the cabbie and Uber haters out there, “Lyft”)

Getting paid – the ins and outs

Many notaries complain to us that they don’t always get paid for their work.

We are very sympathetic. However,  sympathy alone will not help. There are some
simple methods we teach that can save you a lot of grief in the long run. Just follow our steps and you will stay out of trouble.

Accepting jobs from new companies.
When offered a job from an unknown company, ask for references. If they don’t want to give references, that is an easy way to screen them out. If they seem legitimate, you can accept the job. However, immediately after accepting the job, you should do a background check. Background checks can be done on the net in minutes and are easy.

Background check companies that call you
Look companies up on the BBB, 123notary’s list of signing companies, 123notary’s forum, and Notaryrotary’s forum. If you are on the road, use 123notary.com/S where you can look up signing companies on your mobile phone in less than one minute. If a company has more than 10% of reviews posted about them that are serious complaints, think twice about working for them. You are likely to get cheated or have a bad experience.

Track how long it takes particular companies to pay you.
If you regularly work for a particular company, keep track of when jobs got done, and how soon you got paid. You can create statistics on the average amount of days it takes for each company to pay you. If they take more than 60 days, that is seriously delinquent, and you should not work for a company that is regularly delinquent.

Keep good records.
You need to have a separate file for each company that uses you. Its best to use a computer database. Always backup your work and perhaps printout paper records regularly. You need to know who assigned what job on what date, and then check off that job once it gets paid. Write down the date you received payment and the check number. Keep the check stub too.

Have a line of credit for each company.
If signing company “X” owes you $600 and wants you to do more jobs for them, I suggest having them pay you what they owe you before you do any more work for them. Give each company a maximum amount that they can owe you and don’t do any jobs if you are over that number. I suggest starting companies out with a limit of $200 total, and don’t work for them if they owe you anything for more than 45 days. If you have gotten three paychecks from them, you can raise the limit to $300. If you have gotten ten timely paychecks from them, raise the limit to $500. But, the minute a single job goes more than 45 days without pay, stop work for them ASAP, or you could get cheated out of everything. Many notaries get strung along by companies and get cheated out of thousands.

Bill regularly
If you work for a company, they will not always automatically pay you. You have to send weekly invoices for whatever jobs they haven’t paid you for. Make sure you mark off which job they paid for and what the CHECK NUMBER was. If you don’t keep this information and keep check stubs, you will get cheated. If they owe you money more than 30 days, start calling them weekly about what they owe. If they owe you for a single job for more than 45 days, stop working for them until you get paid.

Low pay?
Many notaries complain about companies that don’t pay much. Its better to get low pay than no pay. Times are hard and many people are out of work. Take what you can get. If you are a fancy notary with great connections, you can pick and choose what work you take. If you are desperate for cash, you should take low paying jobs from reputable companies. However, don’t take work from companies with a track record of non-payment, or you will be working for free.

What if companies still don’t pay?

This letter works 90% of the time. The times it doesn’t work is when the company is basically no longer in business, or insolvent.

Girls just want to have fun; Notaries just want to get paid;

I remember that Cyndi Lauper song from the 80’s – Girls, just want to have fun. It was popular at one time. But, during this decade, we have a different dilemma. Notaries just want to get paid. Why is it that so many Notaries don’t get paid? It is a question of doing your homework. There are various reasons why Notaries don’t get paid. Here are my points on the matter:

1. Notaries who lack experience are seen as less valuable to companies. They typically get paid last if there is a monetary constraint. This is especially true of Notaries who come across as unprofessional, whiny, or make mistakes. The way to remedy this situation is to be more professional and punctual rather than claiming to be as such. Additionally, getting more experience would help as well.

2. Research all companies you work for. If you think you can just blindly accept jobs from companies, I recommend thinking again. Roughly half of the companies out there do not pay on time, or sometimes at all. If you visit the various forums you can easily see who the good apples and bad apples are. You are not just comparing apples to apples — okay, bad example, you are just comparing apples to apples.

3. Have companies paypal you up front. After all, you are not in the finance business. You are not a lender. So, why should you extend credit to a complete stranger? Beginners may have trouble attracting people who will pay up front. But, you can reduce your fee to gain this privilege. It might be worth sacrificing a few bucks to avoid the hassle of chasing people around for petty cash and to avoid the risk of not getting paid at all.

4. Billing regularly and keeping good records is essential. If you go easy on people who owe you money, that will not get you paid.

5. Sending threatening letters to those who have owed you for more than 60 days makes sense. 123notary has a template of just such a letter in our resource page.

Summary
Getting paid is not a complicated art form. It is a matter of following some basic common sense protocol. I hope you learn this and make a habit out of it. Otherwise you might be on the hook for thousands.

Being a newer Notary, you have to get new contacts, learn new things, and work for whomever will take you. It is typical that you will be micromanaged, have to do a lot of faxing back, get paid poorly or in some cases not at all. This sounds like a horrible ordeal, but it is good because by paying your dues you will get experience. Any Notary who has succeeded had to pay their dues. Some paid more dues than others while a few with good legal contacts avoided the whole low-ball experience.

You need to call the companies who you signed up with regularly. Remind them that you exist and are ready to jump night or day. You can call signing companies, title companies, Attorneys offices, bail bonds offices, hospitals or anyone who needs a Notary. Let them know you are ready to work. You should mention you are a mobile notary on your facebook profile too because you never know who is reading it.

You should have a business card that you can give to your clients, their coworkers, family members, secretaries, etc. Repeat business is a big factor.

You can find signing companies on the signing company lists on 123notary and Notary Rotary. On 123notary our list is free to the public. On Notary Rotary you might need to be a member to see a lot of their information.

Knowing who to contact is half of the battle. The most important factor of getting work is being hungry and ready to please. Those who contact companies and brag about how smart they are are annoying. But, those who are ready to jump, answer the phone at all hours, and never complain are the ones who get jobs. Companies need you to get them out of a bind. If you are always their hero, you will get jobs. If you are always busy, tired, or unresponsive, you might not get jobs.

Once you get jobs, make sure to answer emails promptly and answer phone messages. If you keep people waiting for inquiries, or after service you will not get rehired.

Why you should consider getting 123notary Elite Certified.

At the time of this article being written there are only about 100 Elite Certified 123notary members. Elite Certified members get a lot more quantity of work, and get paid roughly $14 more per signing than someone who is not 123notary Certified. So, why would someone pass up more work at higher prices, isn’t that what we all want? Actually not. What people really want is to not have to study — and that is where the problem lies.

Standards for passing our Elite Certification have been raised and that is why it is so highly prized by title companies. You have to be good as a notary, signer and have some obscure knowledge about documents and the industry to get Elite Certified. In any case, here is some data about our Elite Certification.

1. Elite Certification is FREE for now.
We used to charge $179 for Elite Certification. Since we have recently changed our educational and testing requirements, we are allowing people to pass our test at no cost. However, you do have to study and very few can pass because the standards are high.

2. Get more $$$
Elite Certified members on 123notary get paid $14 more per signing than uncertified members. If you are complaining about not getting paid enough, your complaint will change to being paid too much. And that is a nice thing to complain about. You won’t know what to do with the additional income you have. But, I can help you with that. You can invest that in more advertising with 123notary!

3. Get a lot more attention from Title & Escrow
Title companies love 123notary because we have better quality control for our Notaries than other sites. They especially like our certified and elite members as well as people who are top on the list in their area as they are the cream of the crop in the Notary industry.

4. Impress others with your knowledge
Knowing more about the industry will impress people, especially when your knowledge is more solid than anyone else which will basically be true if you can pass our test. People pay more for knowledgeable, experienced and dependable people. But, they don’t pay more for people who fallaciously claim to be knowledgeable, experienced and dependable. Self claims of greatness are inexpensively bought credibility, but our Elite Certification is a highly prized mark of credibility that comes from an unbiased judge of ability — me!

5. Be safer as a Notary
Notaries who don’t know anything (97% of Notaries to be exact) are a danger to their clients, society and themselves. Not knowing how to handle notary situations prudently, not keeping your journal correctly and not knowing how to fill out forms correctly in all cases is not only negligent — it is dangerous and can get you sued, or forced to be a witness in a long drawn out court case, fired, investigated, or in some cases fed to the lions. Ignorance doesn’t pay, but knowledge can keep you and everyone else a whole lot safer. It is worth the ten or more hours you will need to study to get this icon.

6. Get more clicks on 123notary
Clicks and more clicks translate into more jobs. You still have to answer your phone, print documents and go to jobs, but there will be more jobs and better jobs if you can get this icon.

7. Feel more confident and less afraid
Many Notaries have a sense of dread, because they don’t know if they will run into a situation they cannot handle. Earning our Elite certification will have taught you how to handle a wide variety of problems common to Notary work. You might not know everything, but you will know pretty close to everything.

8. Get favorable treatment from Jeremy and Carmen
We both have the highest respect for our Elite members. They are smarter and we are very aware of that. We also respect their motivation as motivation is a scarce commodity these days. We are more likely to promote Elite members with discounted upgrades and special deals on additional counties (no guarantees, but this is our practice.)

Summary
Get treated like a king or queen, make more money and get recognition by virtue of your rightfully acquired knowledge. Nothing should be holding you back from being Elite Certified by 123notary for FREE. All we ask is that you take the studying very seriously, and study with the intent of mastery rather than just skimming the materials. Study and review and quiz yourself on every aspect of the information at hand. If you get less than 100% on a self-quiz, you will not do well on our quiz. But, try it and perhaps you will pass, and if not, you still will have learned something of value.

You want to get paid well as a Notary, but do you merit a good rate?

Most Notaries are complaining about how poorly they get paid and all of the headaches like fax backs, micromanagement, and hassles they have to put up with. The reason for the micromanaging and fax backs is that someone could lose their loan and their lock if there is a mistake. Notaries make mistakes more than they care to admit, especially the new ones. So, signing companies are forced to check up on Notaries. But, you’re not like those other Notaries, right? Prove it!

Most Notaries do not want to pass the 123notary certification test. They passed the NNA certification test or some other tests, but don’t want to take the trouble to pass ours. When I ask them questions over the phone, they typically try to pass themselves off as knowing it all and then fail my test miserably. For such a large group of people to be anti-knowledge is really bad. You are a professional, it behooves you to study up and know your technical data inside out. Know your Notary procedures inside out. Know your signing agent knowledge inside out. Not just some of it — all of it.

If you have signed a few thousand loans, have good connections, and are certified by several agencies, you are beginning to merit good pay. Those who are 123notary elite certified average $116 per signing which is a lot more than those who are not. Many beginners average $80 per signing, or at least that is my guestimate.

There is a lot you can do to become a better Notary. Getting reviews on your listing and polishing up your notes section help your image as well. If you want to get paid well — merit the good pay and it will come.
