What’s the difference between a listing that gets reviews?

What’s the difference between a listing that gets positive reviews and one that gets negative reviews or no reviews at all?

I took it upon myself to see what the most critical analytic or metric on listings is. Reviews were one of the most critical while test scores also mattered. But, try getting even the best of notaries to study for a test. But, what types of listings are likely to get a review, especially if they are just starting out and haven’t had time to get a review?

1. Test scores
Listings with good test scores on certification tests, and my little email quizzes tend to be more likely to do well with positive reviews. Those with positive reviews that had been tested had a 40% likelihood of doing well on one or more of our tests, while those with no reviews or negative reviews had a 20% chance.

2. Notes sections
Those with no reviews or negative reviews behaved similarly in their notes section. The majority had a poorly written notes section with very little compelling information. Those with good reviews had an 80% chance of having a passable notes section based on my criteria. If you have at least four critical pieces of information that make you stand out from the crowd, that was my minimum standard of passing. Although I prefer unique and classy notes sections — but, try to find even one!

3. Answering calls
Those who are more likely to answer the phone and do jobs are more likely to get reviews. If you don’t get any jobs, it would be difficult for someone to write a review about you unless they did so by accident.

4. Logging in
Those who login to their listing more often are more likely to do well in general.

5. Manners
I looked at the manners records of those notaries who got complaints. I did not see a pattern of bad manners with me. I figured that if people were rude to me, they would be rude to clients, but apparently it doesn’t work like that.

6. Answering emails
Those who have positive reviews almost always answer emails. Those with negative reviews almost always ignore emails from me. It seems that email response times and rates are the most reliable indicators of how much trouble a Notary is likely to be in real life.

What confused me is that there seems to be very little difference between listings with negative reviews, and no reviews at all. I wanted to find some telltale sign that someone was at prime risk of getting a bad review, but couldn’t find anything. Some of those with bad reviews had a good track record with us and good test scores. Their bad review was not because of incompetency but because they left someone high and dry or got belligerent. I guess it is not predictable who will flake on someone unless they make a habit of it.

Expressing yourself as a Notary for marketing purposes

Business is booming for us after seven slow years. What a relief. We are getting a lot of new blood finally and it feels good. The newbies seem to have the same problem describing themselves as the people who preceded them.

Many Notaries want to tell the world things that count against them. Here are some:

1. I shadowed with such and such a Notary.
If the only experience you have is shadowing Penelope, then perhaps the person looking at your profile should hire Penelope, and not you. Shadowing is best left unsaid unless that is in addition to certifications from known agencies.

2. I became a Notary two months ago.
This makes you look like a real novice, wastes space, and counts against you. If someone asks, you can tell. But, you need to give people why they should use you vs. reasons why they should avoid you.

3. I am working on the Notary2Pro course
Notary2Pro is an excellent certification course. We recommend them highly as they do well when I quizzed them several years ago. Carol gets back to people fast with answers to their questions. But, let the world know once you have finished it. Nobody likes a half done job. We sell ten certification courses for every person who attempts the test, let alone who passes it. Buying a course doesn’t make you valuable, passing the test does.

4. I have 25K E&O but will soon be upgrading to 100K.
Don’t tell us what you will be doing, tell us what you have now, and then edit your listing once you have the higher Errors and Omissions policy.

5. I am background screened
By whom? Some companies like NNA and Sterling have a good reputation for background screening, others are relatively unknown and the procedures vary from company to company.

6. I am a Certified Notary Public from the State of Maine and I service Waldo County and do Refinances.
Once again, being “certified” means nothing unless we know who certified you. The testing standards and courses vary. 123notary has the hardest certification test. Pass ours and we will really respect you and you will get more clicks. The next problem is that you are mixing information about certification, your state of commission which is not necessary to put, as we assume you are commissioned in your state otherwise you can’t work. You next list your coverage areas in the same long drawn out sentence. I prefer to put certification(s) in one section with background screening and E&O. Then, in another section I put counties.

7. Hi, my name is Mary Smith
We already know your name is Mary Smith, it says that on the top of your listing. Why tell us twice? That takes up space when you could be telling us something else. The top of your notes section shows up in the search results. Tell us something that makes you stand out.

8. I travel
Everyone on our site travels, well almost. Maybe not the UPS stores and we have a few of them. But, the other 99% of Notaries do travel. People will assume you do.

9. I am reliable, responsible and punctual
Save it. Coming from you, that translates to — I am a novice, I have nothing to say about myself, so I will make unsubstantiated claims about how great I am with the hopes that the reader will believe me even though I have not demonstrated one ounce of credibility to anyone in this industry. Stick to the facts and let your clients put how great THEY think you are in your reviews, or pass my test.

10. I do all types of loans
Most people on my site claim that they know how to sign every type of loan. When I go through my list of 30 common types of signings most of which are Mortgages of one type or another, they typically do anywhere from 20-80%. I have yet to meet a 100%. So, basically, you are being vague, and deceiving the reader into thinking you really are experienced with every type of loan. List them one by one.

WHAT YOU SHOULD WRITE

Cold hard facts
Warm fuzzy “about you” descriptions

When you write about your skills, don’t omit the types of loans you know how to sign. It doesn’t hurt to mention you do refinances, Helocs, purchases, etc., But, 99% of Notaries out there can do those. Do mention it, but focus more on what you do that makes you special. If you are familiar (define familiar) with REO, USDA, Annuities, Applications, Reverse, and Debt Consolidations, that makes you more unusual. Most Notaries have either never done a Reverse Mortgage, or a Debt Consolidations, and the ones who have, typically don’t like doing them and half of the ones who have done them say they don’t want to do any more of them.

We think you should write briefly about your certifications (mention by whom you are certified), memberships, background screening, E&O insurance, and professional background. Don’t write a novel on your award winning Real Estate career. If it is so great, why are you a Notary in the first place? Wouldn’t you be busy selling houses unless you got tired of it? Mention that you do Real Estate, but not more than a sentence or two maximum for best results.

Warm and fuzzy descriptions are hard to teach. But, anything unique that has a nice feel to it about you will look really good. The readers are tired of cliche sounding notes sections. Seen one seen them all. If you have a classy line or joke, that sometimes can do well — it depends, but is worth trying.

Warm and Fuzzy information about you

It is very hard for me to teach people hard to write warm and fuzzy information about yourself. I would prefer to say, read other people’s notes sections and get a sense of what some people write that has a nice feeling to it.

I read a notes section written by a woman who loves her job and loves meeting new people. That came across as very sincere and warm. I don’t know if she is any good as a Notary, but I might be more inclined to try her (if I were in a hiring position which I am not thank God) than someone else who sounds generic.

Then there are the people who are “reliable” and “responsible.” Anyone can say that about themselves and it sounds phony and usually is. Say things that you can say about yourself that few others can. Most people do NOT like meeting new people, at least not random new people unless they work at Farmer’s Market in the nuts section — those macadamias are great, but $25 per pound? Ouchie!

And then there are the people who know where their nearest Fedex station is, and where the other ones in their general area, and when the cut-off times are at each location. This looks very prepared and thoughtful, and somewhat unique. Some people write about this, but only one or two percent of the total.

Next, there are the people who ramble on and one with inconsequential and meaningless banter about how the client is of utmost importance and how they will protect the information in the documents at all cost. This is a little like stating that you promise not to vandalize the borrower’s house when you get to the signing or park on their lawn. It goes without saying. But, some people will write five paragraphs of this type of nonsense.

Finally there are the people who talk about their hobbies and kids. Not sure this belongs on a Notary profile, but you could put it at the bottom if you keep it quick. People do want to know what you are a real person and have a personality.

HUMOR & CLASSY LINES
Humor and classy lines are another thing that few add to their notes section, but it adds quite a punch to someone’s listing.

One lady brought crayons and dog treats to the signings. That is pretty unique and might be appealing to people.

Ex-Military, I like my notes section to have mostly bullet points. Oh, and I’m always on time. My motto is, “Hurry up and wait, but not in your
driveway because that would be creepy.”

I am also a clown, but I promise not to throw pies at the borrowers, unless you pay extra for that.

Former therapist. And yes, I promise not to ask the borrower how their APR makes them feel or ask them how their relationship was with their mother. And once again, when we finish the signing, I always say, “I’m afraid our time is up.” That’s my signature phrase.

My parting tips would be to look at the notes sections of some of the high placed notaries in the various large cities. They are paying the most and sometimes (but not as often as they should) put a lot of effort into their notes sections. As usual, I am happy to proofread your notes section, but I can’t do it if it is a one liner. You provide the content, I provide the reorganization and commentary. Sounds fair to me.

Many Notaries avoid Reverse & Debt Signings.

I have to call thousands of Notaries to get their notes sections filled out. The newer Notaries typically have less experience doing Reverse Mortgages, Debt Consolidations, and Debt Settlements. Half of the people who are experienced at these types of signing say they don’t want to do them or list them.

It is true that Reverse Signings and Debt Signings take longer, and that dealing with older folks can be a trying experience getting through 200 pages when they can barely see anything. If you are not patient, you might not last. Some Notaries think that Debt Resolutions or Debt Settlements are corrupt and a rip off. That is NOT for you to decide. Personally, I feel that debt in general spins our economy into extreme imbalances and can lead to financial slavery, ruined economies, etc. Perhaps that is why Jesus forbade it. Usury, gambling, sorcery — these things all lead to disastrous results. But, let he who has not sinned (or in our business — rescinded) throw the first stone.

BTW, I believe that medical marijuana and prescription drugs qualify as sorcery and look — all of America is addicted and controlled by big pharma as a result. Read the old testament and see what they say about sorcery. It is forbidden. So don’t take that aspirin. Natural herbs only. Marijuana by the way is no longer natural — it has been doctored and genetically modified at a lab — hence the term sorcery.

I feel that if you are a mobile Notary, charge for your time, work, and grief. If a particular type of signing or company is hard to deal with, charge accordingly. If you charge $80 for a regular Refinances, but think Reverse Mortgages are a pain, charge $150 or $200. You might not get it, but you might and that change will look good in your pocket. Many will pay because the other Notaries typically either don’t want to do this type of signing or also charge more. So, be practical and realistic and rake it in. Business is good now, so don’t take that for granted because it might slow down eventually, but probably not soon.

New Year’s Resolutions for Notaries for 2021

Every year I come back to this topic. Sometimes I address it in a humorous way, and other times in a serious way. Notaries often procrastinate some of their responsibilities. Your business will do better if you are a little more proactive in certain ways. Here are my tips for 2021.

Supplies
Stock up on supplies like paper, toner, ink, get that new GPS system if it will help you, pens, stamps, Fedex envelopes, and whatever else you need.

Snacks
Notaries have to eat on the road and that is not always healthy unless you live near a Whole Foods or a Jamba Juice. But, you can have packages of nuts and dried fruits in the car, and then bring fresh fruit on a daily basis. Dried fruits have a lot of nutrition. Apricots, dates, plums, dried mangos, raisins, and other dried fruits are packed with many micronutrients, minerals, vitamins, iron, and more!

Education
The newer Notaries seem to take education a lot more seriously. I noticed a change in collective attitude about six months ago. It seems that Mark Wills at LSS is a force of motivation and enthusiasm to be reckoned with. His students seem to be popular on our site too. His course seems to be oriented towards practical issues like dealing with some of the types of signings that became popular in the last few years (that were not popular during my day sonny.)

123notary has a paid certification course with a hard test. Our testing standards are the hardest in the industry and those who use our site are aware of that. We also have a very interesting FREE course on the blog which people love called Notary Public 101 and we test people who completed that test and sometimes certify them. Most people don’t study enough, but you can make that your New Year’s resolution and it will benefit you for the rest of your career.

Notes
Your Notary profile has a notes section. I just reviewed several hundred of our most prominent notes sections on the site. I am sorry to say that few did a bang up job writing about themselves. I think that putting in a lot of effort to try and figure out what to say about yourself will really pay off. Those who use our site want to read what you have to say about yourself, so if you say very little, they are less likely to call you first. It might take a few hours to read our section on the blog called, “Your notes section” while taking notes. It might take a few more hours to write a great notes section. But, that is what successful notaries so, so if you want to be successful, invest some time in it, especially during the holidays.

Reviews
It is the same suggestion every year. Our notaries seem to have less reviews than a few years ago. The very experienced Notaries got old or died off. Most of our Notaries are new which is refreshing, but they need to have reviews too. Anyone who compliments you on your work – ask them for a review and send them a link to your review page. The link is above your name on your profile.

Company Names
It pays off to have a good company name and register it with your county. We have written many articles on the topic. Please read those articles. It takes hours of brainstorming and conversations with others to pick a great name for your company. It is worth the effort in the long run.

Review your state notary laws
Some people look to Notary agencies for advice, but to know your local laws, please refer to your notary division’s website. Most states have a notary division under their Secretary of State, but some have it under another state office. Review those laws, because you might have a quandry one day if you are not rock solid on Notary laws and procedures.

Summary
I think I better think up my resolutions for this year. I want to be better at time management, lose lots of weight and learn Chinese better. Never mind becoming a millionaire — I’ll save that for 2022.

10 reasons to get 123notary certified

Back in 2004 to 2012, many people wanted to get 123notary certified and studied hard to get this designation. In the last few years, we retested our certified members and found that the overall skill level of people on our site had declined a lot and that most people were not willing to study. This is a huge mistake. Title and signing companies care about experience above any other qualification. However, they still reward people for knowledge and the clicks and jobs dispatched prove my point. If you want to have an edge over the other Notaries, 123notary certification is one of the most effective investments of your time — the other two being reviews, a stellar notes section and accumulating mass amounts of experience the old fashioned way. Below are some significant benefits for 123notary.com certification.

1. Get more clicks (but, not on route 66)
123notary certification currently gets Notaries an average of about 30% more clicks to their listing. It is one major factor of several that determines whether or not your listing will even get looked at. More clicks typically translates into more jobs, however, this relationship is not directly proportional. 30% more clicks in real life would translate into 40-50% more jobs. Many people will click once on your listing during a query. But, if they give you extra clicks, that means they are strongly considering hiring you which is why the click to job ration is disproportional and in your favor.

2. Get more jobs from Title
One Notary wrote to me after he failed his certification retest audit. He said that calls from title dropped altogether the minute I took his certification icon away from him. This is not true for all Notaries, but was his case which is why he studied many hours to pass the scrutiny of my questioning. People who work for title want solid Notaries, and they look at a number of factors including certification — and for God’s sake, please don’t have any spelling mistakes in your notes section on your listing or you can expect your phone to be dead.

3. Feel more confident about yourself
Many Notaries who master our materials like the fact that they know what they are doing. At the risk of sounding more like a deodorent commercial — many signing agents have told me that the feel happier and more confident talking to title and going to signings. Yes, they spend many grueling hours studying for our test, but they feel it was worth it and I respect their diligence.

4. Be one step closer to elite certification
You cannot just become elite certified at 123notary. You need to have a solid understanding of Notary procedure and vocabulary as well as a 123notary basic certification. Certification brings you one step closer to being ready to study for the elite test which is very different material and much more obscure.

5. 123notary certification is sought after by particular companies
I have gotten correspondence from Notaries who claim that 123notary certification is informally recognized by 1st American Title among others.

6. You will be a safer Notary
Many Notaries put themselves at legal risk because they do not know the legal significance of how they handle situations. Not keeping your journal correctly could end you up in trouble with the FBI or a Judge in court. Not keeping thumbprints could get you named as a suspect in an investigation as it looks like a cover up. Doing cross-outs when it is not necessary can get you in trouble with certain county recorders or Lenders. Knowing what you can do, and knowing what you can do that is prudent are two different questions. Learn how to please your client without creating liability for yourself by mastering our Notary materials. We have written blog articles where Notaries have gotten into legal trouble and had to pay up to $20,000 to defend themselves when they were innocent. Imagine how much easier it would be if you kept proper records and acted prudently at all steps along the way.

7. Multiple certifications make you look serious
As someone who deals with Notaries all day long, I can attest to the fact that I have a higher level of respect for Notaries who have three or more certifications. Those who just get the NNA certification and say, “That is all I need.” seem like underachievers to me. I have a higher opinion of those who took notary2pro, NNA, and 123notary certification, or Loan Signing System. When I was a Notary I got certified by five organizations to give you an example of someone who takes this business seriously.

8. Make $8 more per signing.
We did a poll many years ago and learned that our 123notary certified members average income made per signing (according to their claims after a mass email was sent asking them how much their average signing netted) was $8 higher than people not certified by 123notary. Elite members made $14 more per signing. Making more income per signing means that after expenses, you will be making a lot more per year. The extra income could add up to $5000 to $10000 extra per year for a busy Notary which might be $200,000 in their lifetime. It only takes ten hours to do a good job studying for our test. Is your ten hours worth $200,000? That’s $20,000 per hour. What else can you do that is worth that much even if you do brain surgery (or are a hitman) on the side?

9. Get perks from 123notary!
If we notice you are 123notary certified, you would be more likely to get opportunities for free or paid upgrades that the others might be overlooked for. Stop being overlooked and get certified today! If you are late paying your bill, we might give you a little longer grace period. And in general we will value you more because you represent knowledge, quality, and come across as being a serious Notary. Over all you will get better treatment from 123notary if you pass our test.

10. Be more fluent explaining things to borrowers
In real life there are certain things you can and should explain to the borrowers while there are others that you should refer them to a professional about. If you pass our test you will know where to find the prepayment penalty, how to explain the APR, what is on the HUD or CD, and when their first payment is due. You will have this information memorized. You will know that a signer can legally presign an Acknowledgment (in most states) whether the Lender “prefers” that or not and how to administer an Oath without falling on your face. You will be more professional and smooth in all of your transactions.

SUMMARY
Certification will help you get more clicks, get more work, make more per signing, be smarter, feel better, be a smoother Notary, and get on the good side of 123notary. It only costs a few hours of study and a small fee, so the only thing holding you back is lethargy. Get off your assets and get 123notary certified today!

Five things a Notary can do worth $1000 per minute

Asking for reviews
Each minute you spend asking for a review can come back to you in the form of gold. It only takes a minute to ask, and if you ask enough people, you will get a handful of reviews which will double your incoming calls from 123notary. The next thing you know you will have repeat clients from those initial calls which you earned based on your reviews and you will be making lots more money.

Studying for certification
It takes a few hours to study for certification. But, the results can last a lifetime. Each minute of studying might be worth $1000 in the long term. So, whatever else you are doing. is it worth $1000 per minute? And what if I’m wrong and your study time is only worth $50 per minute. That is still more than a neurosurgeon makes. Speaking of neurology, my sciatic nerve hurts.

Call your old contacts
If you haven’t heard from someone, you could revive a long term client. That could be worth thousands.

Fix up your notes section
If I spent three minutes fixing up someone’s notes section, they get 55% more clicks. But, you can put more content in your notes and read up on what we recommend. We have a vast section all about how to fix up your notes. It takes very little effort, but could change your career.

Summary
There are many things a Notary can do to better themselves. The problem is, that Notaries have established habits, and don’t see the value of doing what 123notary says they should do. Those who listen to us often prosper in a huge way. What is the harm in going through a check list and just doing what makes sense? Getting more reviews could get you an additional hundred clients per year which could translate into thousands of jobs. What is that worth? And how much time did it take to get those extra clients? Two hours of asking for reviews, and you get $100,000 in extra income? That translates into about $1000 per minute. If you do the math, you will be kicking yourself for not focusing your time on priorities.

What do successful Notaries do that you don’t?

We all want to be successful and we all think that we are experts at our job. But, are we really? Here are some things successful Notaries do that the others don’t do.

1. Keep your profile managed regularly.
What does this mean? You have to login, make sure your hours, counties, notes, and reviews are as current and thorough as they can be.

2. Keep your knowledge up and keep reading.
Serious Notaries read the various blogs and forums. They also take courses and get certified by more than one agency. Instead of claiming to be so great, they get a reputed third party such as the NNA, 123notary, Notary Rotary, etc., who has an impartial test, passes the test and then has credibility. Serious Notaries keep reading and have a never ending thirst for knowledge.

3. Knowing who to extend credit to
This is one of the hardest aspects of being a Notary. The tendency is to get as many jobs as possible. But, smart Notaries say no to bad jobs, jobs from companies that have payment issues, or jobs that pay too little. As a Notary it behooves you to have standards, but try to keep the standards reasonable as well, especially if you are new or if business is slow.. Don’t let companies rack up a huge bill. If they owe you more than $300, then ask them to pay up before you do more jobs, or Paypal you for future jobs.

4. Setting terms and having contracts
This is for the very advanced Notaries but some people do have a contract for others to sign. This is taking the upper hand and others might not be willing to sign your contract unless you are a top notch Notary — after all, why should they if you are a slouch?

5. Scheduling
Successful Notaries know how to schedule their day and get rid of packages fast so that they are not late.

6. Equipment
Good Notaries have top notch equipment and fix it fast if it breaks. They know how to download anything, anytime and anywhere and don’t make excuses. A good dual tray laser printer is a good place to start although you need good scanning and faxing equipment as well

7. Watching your email
Jobs can be dispatched through apps, email and by phone. So, a good Notary keeps a constant watch of all of these mediums.

8. Other sources of income.
Relying on Notary work when times are slow doesn’t make sense. Smart Notaries realize they need to diversify. We have a handful of full-timers who make a full living at this job. But, the majority cannot, so try to be realistic and have multiple streams of income.

What does it mean to be Fidelity Approved?

I talked to a bunch of Notaries who were Fidelity Approved. Most of them were a lot better than average in terms of knowledge, but not all. Apparently, Fidelity scrutinizes them in particular ways, and asks a few questions, but not that many of the questions are Notary questions. I would like to know what their screening system is.

Fidelity approved Notaries do a little bit better on 123notary quizzes, but rarely score high grades because their notary and document technical knowledge is rarely proficient. In my opinion, a certification or approval means very little unless it is specified what qualifications or knowledge it is verifying.

My recommendations are that if they have any individual company type of requirements, that makes sense. But, there should also be requirements based on general notary and document knowledge, otherwise that is a risk to all parties involved. Can someone fill in the blanks for me about what their requirements are?

Many Notaries go for top listings on 123notary despite the high price because they know it generates jobs. However, many Notaries prefer the free listings because they don’t want to pay for performance. Here are some reasons that might sway your opinion on paying for a higher spot on 123notary.

1. Title companies prefer the top several notaries on 123notary.
Title assumes that the top several notaries are better quality on 123notary. This might have to do with the fact that we use an algorithm to filter out those with low overall scores from being high on the list. Title is picking up on that fact, and that has been the case for years. Title companies that pay well rarely look far down the list for Notaries.

2. Get seen
People higher on the list get seen more than those down the list. People shopping for price might go all the way down the list to look for a notary, but those who pay well do not generally have to look far. Paying a few hundred to be high on the list can pay off fast especially when business is good.

3. Get paid more per signing
Those listed higher on the list generally get paid more per signing. People who low-ball often hire from lower on the list or go to SnapDocs, or NotaryRotary.

4. Get more clicks and overall calls.
If you are high on the list, you will get many more clicks and calls than those down the list. You will get more jobs than with an identical listing down the list. Being high on the list doesn’t guarantee jobs, but it makes you in people’s face and impossible to miss.

5. Don’t get overlooked
Most people who use 123notary start at the top and keep calling until they find someone who can do the job for a reasonable price. If you are at the bottom of the list, you might never get called except for jobs that are late at night, far away, or don’t pay well. Although you never know.

6. Get respect
People assume you are a better quality notary when you are at the top of 123notary.com. Our site has a reputation for having good notaries, especially at the top of the list.

7. Get high placement in neighboring counties
Only a high spot on 123notary will get you higher placement (above the free listings at least) in adjascent counties at no extra cost. Some Notaries get heavy call volume from neighboring areas as well as from their home area.

8. Have a guarantee of where you will show up on the list.
Regular, preferential and free listings do not guarantee you where you will show up. They are just levels. Preferential means you are above regular, and regular means you are above free. It doesn’t guarantee a particular placement. Being a p20 guaranatees you top placement on your county page. We cannot guarantee zip results due to the unpredictable overlap, but overlap only happens if someone is near you, but on the other side of a county line.

9. Have a guarantee you won’t be removed
Free listings do not get always get reminders to login and can be removed on a whim by 123notary staff. High placed paid listings get reminders to login and you will not be removed unless you ignore a lot of reminders to login by email and phone. In fact, with most top placements, I login for them (shhh, don’t tell anyone.)

10. Get customer service
If you are a free listing, you get minimal if any customer service from us. But, high placed listings get not only password assistance, but get help with their notes section, marketing advice, and lots of hand holding from Jeremy and Carmen. If you want to be cared for and get high quality help from people who have been in the business for 22 years, a top listing is a cost efficient way to get that.

High placed listings perform well if they have a few reviews from satisfied clients as well as a thorough and well written notes section.
