Do you have to be a CSS to get work these days?

CSS = Certified Signing Specialist

Notaries are complaining that there isn’t enough work. Early 2014 has been brutal and late 2013 was horrible. Things just died around September 2013. But, the new laws are making it worse. I don’t know if the laws about this topic are being enforced, but I heard that signing companies would be required b law to use a CSS unless they couldn’t find one.

A CSS is someone who passed a yearly background check, and passed a new much harder signing agent exam that is up to government standards. The NNA administers this type of education and 123notary does not. 123notary has its own certification exam for signers which is very basic and proves basic competency to think under time pressure. 123notary’s certification exam gets signers a lot more work on 123notary and is good for the life of your listing, but is not recognized on other sites.

Notaries are asking me if they absolutely have to spend the several hundred dollars each year to get this new designation. My thoughts are that only a few hundred notaries will spend the money and take the time to get this advanced, but necessary designation. The others simply don’t make enough income from notary work, or don’t have the skills or motivation to do it. The result of this across-the-board stubbornness is that non-CSS Notaries will still be necessary simply because there will be so few CSS Notaries around. Signing companies will not have a choice when things get busy and will have to hire those who didn’t go through the CSS program.

BUT,

Those who do go through the program and spend the $300+ will get a larger market share. Whenever you have a designation that others don’t have — whether necessary or not, you get more work. 123notary’s certification has never been officially recognized by anyone, yet those who have it get more than double the work than those who don’t on our site in comparable positions on the search results. Those who have the CSS which in contrast to our informal certification IS necessary will get a much bigger market share. In a dead market, a bigger market share might not look that great. But, things change. Notaries tend to base their decisions on today and tomorrow. If you get an important designation and renew it regularly, you will have it three years later when the market picks up and you will be the one raking in the bucks while others are trying out new recipes for Ramen noodles (the one with the slow-cooked pork belly is actually not that bad.)

From 3 jobs per week to 3 jobs per day!

I posted an entry on our forum to see if people were getting more work recently. Based on my calls around the country, some notaries are really getting a lot of business. We got a response to that post, but not the type of response I was expecting.

Brandon stated that he WAS getting 3 jobs per week.

THEN, he took the 123notary.com certification test and then started getting 3 jobs PER DAY!

What a difference.

For those of you who think that the 123notary certification test is not that well designed, or for those of you who think that you don’t NEED to take it — think again. Getting work depends on the credibility you get with the signing companies for passing our test. If you are going to be on OUR directory, then think about passing OUR test. Conversely, if you want to advertise on signingagent.com and not with us, then get certified by the NNA.

When I was a notary I didn’t do all of the whining that the notaries these days do. I got certified by FIVE agencies and learned a little something extra from each preperation book and test.

NNA Certified Signers who failed our test!

NNA Certified Signing Agents who failed our test!

This story goes back many years, perhaps close to a decade.  123notary.com started off very simply without much technology.  We couldn’t afford to do any more than barely build the site back in those days.  I had to decide whether to have a certification or not.  It looked more professional if we had our own certification. But, it has always been like pulling teeth to convince the NNA certified signers to even consider taking our test.
 
Notaries couldn’t answer simple questions without a long pause.
In the old days, we used to give our certification test by phone. It was a dozen or so basic questions about loan signing that any mediocre signing agent with hardly any experience could probably answer.  What I noticed is that those who passed the National Notary Association’s signing agent exam (NNA certified signers) failed our test roughly 70% of the time.  There was a lot of “umm” and “ahm”, and “hmmm” during the phone exam.  Their CSA exam was open book and without any time limit, so they were used to being able to get away with thinking forever to answer simple questions such as, “Where can you find the Rate in a loan”.  I can’t think of a simpler question.  The harder questions threw most people. I got sick of being patient and waiting for people to answer ridiculously easy questions.  The only thought that ran through my head was that if I were a borrower, I would throw these notaries out of my house if they couldn’t answer simple questions.
 
The timed test
So, then we got some fancy programming done and made an online test.  I was tired of waiting two minutes for the answers to simple questions, so a timed test was the only way for the notaries to prove their manhood or ladyhood. There were revolving questions and a timer. We had a few technical problems along the way, and many didn’t like my style of questions.  As time progressed, we got rid of the “ambiguous” questions, and added a few practical marketing questions.  We also tried to have questions specific to the state where the notary claimed to be, but that turned out to be unpopular, so we dropped it eventually.    The bottom line, was that most notaries couldn’t handle the time pressure — even the NNA certified signing agents.
 
The ex-Mortgage broker’s story
I had a few people who worked in Title or Mortgage houses who assured me that it was a joke that they even had to take my exam.  After all, they had been doing this for 20 years.  So, many people (including NNA certified signers) tried to convince me that they didn’t NEED to take my dumb exam.  Almost all of these overly confident know-it-alls FAILED my test, and then wasted my time arguing with me.  They didn’t read the prep book, and they didn’t know their basics about loan signing regardless of their background.  There is a lot of overlap between Title and Mortgage work and loan signing, but there are additional things you need to know to be a good signer. It is a different profession.
 
What does our test prove?
Roughly 25% of our notaries on board have passed our basic certification exam. The others either failed, or never tried in the first place. If people had spent the same amount of time studying for the test as they did arguing with us about why they shouldn’t have to take the test, their business would be a lot different.  123notary certification proves that you know your basics, and that you can function under extreme time pressure without breaking. That says a lot.  Most people can not handle the pressure.  When I created the test, I could pass it in three minutes and Carmen passed it in four and a half minutes.  Test takers were allowed six and a half minutes to ensure that the majority who studied hard would pass the first time.
 
Does it matter what you think about our test?
What I think about my test, or what you or Carmen think about my test doesn’t matter even slightly.  The browsers care tremendously about my test, and (news flash!) they are the ones who are paying you.  123notary certified signers are three times as likely to get work.  Even browsers who didn’t know what the certification meant, and who had a regular document to be signed like an affidavit which had nothing to do with loan signing still chose certified signers if they could.  Ten years ago, I used 123notary as my primary source of marketing my personal mobile notary work.  Time after time I got called at 11pm to notarize a simple form.  I kept hearing, “We chose you because you were certified and the others were not”.

A great attitude gets the most jobs

A Great Attitude Gets the Most Jobs (If You Answer the Phone)

One title company told us recently, “I never believe notaries who say ‘error-free’ or ‘100% error free’– because everyone makes mistakes. But I would like to hear a notary say, ‘If I do make a mistake–I correct it. I will be glad to drive back to the borrowers if I need to.’ That’s the kind of positive attitude we like.”

The notaries who attract the most work again and again are the ones who may not be perfect, but do it all–try hard to learn everything, use best practices, get certification from several sources, get reviews, share stories–and keep attracting work because they have such a great attitude. And we can tell who these notaries are from the very beginning…and so can the companies that hire them. Here are a few notable examples.

This 60-ish man is a notary who had been in the collections industry and also a notary since 1985. From the very first time we spoke with him, he wanted to learn; he wanted to be the best. He has now been a full-time signing agent for a year, and has done 1000+ loans: he followed our advice and now has a thriving business and is training other notaries to help him. He bought a top position, took one of our courses, got certified, got reviews…and appreciated every experience. He says, of the notary work, “I’ve never worked harder in my life.” But he loves the work, and keeps on getting more and more. He always replies to an email. He always has wonderful things to say on the phone, and always finds a sincere compliment for everyone; if he is busy, he lets you know–without ever being rude. He just keeps taking our advice, and his business keeps growing. He is never cynical, and every company that calls him loves to work with him.

And–he always answers the phone.

Another notary who comes to mind is a woman who joined 123notary recently. She has extensive experience in the mortgage industry, but was willing to look at all the sample notes sections we recommended and created a fabulous notes section using everything she could think of in her background. She didn’t think she was above all this just because she had a lot of experience. Her notes were nearly perfect when she sent the first draft, but she was still willing to keep working on them. She also was eager to get our certification–despite her experience that includes almost 10,000 signings– and spent a lot of time studying our “phoninar” blogs; of course, she got the certification. She will do well on the site because of her positive attitude and willingness to make an effort. She always answers the phone.

Our final notary, a young woman, has barely started on her notary career, but is already getting a few jobs because of the energy she puts into everything she does. Her notes section really tells what kind of a person she is (does not mind pets at the signing table), and gives lenders an idea of why they should hire her–even though she has done fewer than 10 signings. For example, experienced in IT, she tells us “Technology is my soul,” and explains how her background in that industry supports her detail work as a notary. She can really have a great conversation on the phone…which often ends in jobs and good reviews. And, guess what? She always answers the phone!

A resurgence in interest in 123notary certification

More and more Notaries are becoming a lot more serious and interested in 123notary.com certification. In the old days people said, “I am already NNA certified so why do I need yours?” The answer was always — how much work do you get from signing agent.com. The answer was generally, “not much.” Our site is based on quality and our certification gets people more work.

The amount of interest is like drops in a bucket. Every week a few people express interest and some of them will study enough. But, this can add up over time. Carmen and I like teaching people and we have given a lot of free time to those who expressed an interest in Notary knowledge.

I hope that in the future people start taking notary education more seriously. Although the general climate in the notary industry is low-balling and not quality, quality notaries do get more business and do make more money. So, there is a huge benefit in being at the top of the food chain even in today’s market.

People love our Notary Public 101 course on the blog. We have had more than 10,000 people visit the home page of that course. Most people read it for pleasure and not for mastery, but that is better than nothing. I hope that more Notaries express an interest in learning regardless of who they learn from. 123notary is not just a job, it is my craft and I seek to be the best craftsman I can be by having the best directory. Having the best directory means having the best and most desirable Notaries and that means that you guys need to study and be your best.

Many of you have the intellect to be masters of this trade. However few of you start out with the knowledge. Knowledge is there for the taking. It is just a matter of approaching the information with the intention of mastery. This takes time, patience and perseverance, and perhaps a little tutoring from the people here at 123notary.

Some of you people have a few screws loose.

When I ask people questions to test their competency, it is remarkable how many people have screws loose.

Repeating
When I talk to my psychic, I talk to him for an hour every week or two. I do not ask him to repeat anything in an hour. When I talk to Carmen or Adine on the phone, I never have to have them repeat anything. It is remarkable how many of my clients have me repeat myself multiple times in a very short conversation. Do they not understand the confusing technical language I am using with terms like, “Venue, Notarial Act, Acknowledgment, Journal or Affiant?” If you don’t know Notary language, time to look up some terms in our glossary. That is your jour to know!

Scrambling
Normally when I ask people, “If you have TWO people each of whom is signing THREE notarized documents, how many journal entries should you fill out.” The Notary repeats back to me, “Okay, so you have THREE people each signing how many documents?” First of all, it is two people, how can you scramble that? Additionally, they are not signing three documents, they are signing three NOTARIZED documents. If the documents are not notarized documents, you don’t need to fill out any journal entries.

That would lead me to a great trick question — if you have two signers signing three documents, how many journal entries would you need to create? None! Because the documents were not designated to be notarized!

Changing the Scenario
When I ask, “If the ID says John Smith, but the name on the signature of the documetn says, John W Smith, without changing the scenario, can you notarize the signature?” Most people immediately say they would ask for another ID. But, asking for another ID is what I told you specifically not to do, namely, changing the scenario. I am trying to test your skills on saying yes or no to questions with limited parameters, not your skill at changing the question to a completely different quesiton that you prefer to answer. Answer questions as asked or you lose points. It is not rocket science — and the answer is NO. You are a Notary, yet the word you have the most trouble saying is, “NO.”

Talking endlessly
When I ask quick questions I have thousands of people to ask. If you talk endlessly and I have to ask you to stop talking, that is a huge headache for me. Just answer questions quickly without rambling and we can finish our quiz quickly.

Sluggish
Some people take forever to think of answer to questions. The most relentless question is when I ask people which Notary Acts are legal in their state. Most people have to think for a long time. You do Acknowledgements, Jurats and Oaths daily, why is it like rocket science for you to open your mouth and spit it out? Do you not know that those are considered official notarial acts in your state or in most states? A few states don’t have an official Jurat, but they have other acts similar to it such as Verification under Oath or Affidavits or Sworn Statements.

In short, the behavior of Notaries always seems somewhat mentally impaired. Less than 10% of Notaries on 123notary can just answer simple questions without asking me to repeat, scrambling information, changing the scenario, giving round about answers, rambling endlessly or taking a lot of my time. I just want to test your competency. I don’t have all day for nonsense. Try to discipline yourself to answer questions the way they were asked because the business world doesn’t have the patience for this type of nonsense. It is purely unprofessional.

Bilingual Notaries – How Often Are They Needed?
This topic started off as a forum post. It is the most popular post in our tips section, but nobody replied to it. I was hoping for one reply in Spanish and another in Armenian, but no such luck for me.

There are many bilingual notaries speaking every conceivable language from Amharic to Zulu. However, Spanish is by far the most common second language in the United States. Some notaries are native speakers of their “second” language, while others have varying degrees of competency.

Are you really bilingual?
If you want to advertise yourself as bilingual, you should be able to handle a signing purely in your second language. Even if you are not perfect and have to look up a word here or there, the ability to converse easily is the main point. The question — are you bilingual ENOUGH? is always a serious question. Notaries put “Some Spanish” in their language field all the time. Is some Spanish enough Spanish? If you can talk your way through the loan then its enough. But, please just put language names in the language field. Nobody uses our language filter to look up the language “Some Spanish”, or “Limited Spanish”. Either you can cut it or you can’t as a bilingual notary.

Test your bilingual notary
If you are hiring a notary for a bilingual signing, it is recommended to talk to them over the phone in the language they claim as their second to test them out. See how they handle basic conversation, and then throw a few loan signing technical terms at them to see how they function with specialized vocabulary.

Bilinguals are not always necessary
Most people in the United States who are getting a loan speak English, even if that is not their mother tongue. If you are notarizing documents for a family from Iran, knowing Farsi might make you popular with them (if you speak it correctly enough), but it won’t be so necessary as they will most likely speak English or have someone present who speaks English.

When do you really need one?
It’s when the signers really don’t know English that you need a bilingual notary. Bilingual notaries get a bit more business than they would if they didn’t have bilingual capabilities. However, if you are in an area where lots of borrowers speak only Spanish and there are no other bilingual signers around, you might get endless business due to your linguistic attributes which become a valuable commodity. How much extra business a bilingual signer gets is hard to say, but they really come in handy when you really need them.

Chinese anyone?
Chinese is a language that throws everyone. There are so many dialects and sub-dialects that a notary needs to specify which dialects they speak. I recommend putting this type of language in the language field: Chinese, Mandarin, Mandarin Chinese. This way, whatever language search term the browser types into the box, they will be sure to find your dialect and also have a correct idea of what you speak. Merely saying “Chinese” doesn’t cut it because there are so many Cantonese speakers in the United States, that many of them regard Cantonese dialect as being just “Chinese”. The governments of both Taiwan (ROC), and China (PRC) both use Mandarin as their standard and official language. The accent is quite different in both countries, but the language is fundamentally the same. Both China and Taiwan have regional dialects too. Taiwan has about eight different variations on their Min-nan-yu that varies from county to county, not to mention a large minority of Hakka speakers who speak a fairly different Southern Chinese dialect. Mainland China has 13 dialect groups with many subdialects that are often not mutually intelligible. Additionally, there are many ways to say Mandarin in Chinese:

(1) Guo-yu (country language – Taiwanese usage),
(2) Hua-yu (Chinese language)
(3) Zhong-guo-hua (Chinese language)
(4) Han-yu ( The language of the Han ethnic group. The name Han is from the Han dynasty and Chinese people refer to themselves as Han people.)
(5) Pu-tong-hua (the common people’s language – used in Communist China)
