5 Ways to Market Your Notary Business

When you become a notary, much of your focus is on getting certified in your state. That typically means getting a criminal background check, taking an approved course, and passing the exam. Then, it’s mostly just filing paperwork. Once you get certified, though, you need clients. Here are five ways to market your notary business if that’s where you are in your notary journey.

1. Build a Website

One of the first things on your marketing to-do list should be building a website. We live in an online world. Many people regard having a website as a sign that your business is legitimate. The good news, you don’t need anything too complex either, or that demands a web developer. You can set up a basic website using WordPress, Wix, Squarespace or a similar content management system. Do make a point of creating a page with your contact information and availability on it.

2. Social Media

Once you get your website polished to the point that you’re happy, it’s time for the next online step: social media. Don’t sign up for every single social media platform. Start with one of the big sites. That lets you keep the demand for new content at a reasonable level. It also lets you answer questions. For example, let’s say that someone needs a Bank of America power of attorney. You can let them know in advance if you can notarize it.

3. Create a Referral Program

Referral programs really are the unsung hero of marketing. They are word-of-mouth marketing that you help generate for yourself. For something like notary services, you can offer discounts for the people making the referrals and those who get referred. In essence, you incentivize both groups to use your services.

4. Advertise in Local Papers/Newsletters/Online

Notary businesses are, by nature, local businesses. In most cases, you must interact directly with the people. That limits your business area to where you can comfortably drive relatively quickly. Signing with the Bartender-Notary: Reverse Mortgage on the Rocks

The bartender notary knocks on the door. “Hi, I’m the bartender notary. I’m here to do your signing.”
“Sure, come right in,” says Joe the borrower.

They go to the dining room table to do the signing. The bartender notary looks around and says, “Hey, isn’t that a wet bar in the back of your living room?”
“Yes.”
“Would you mind if we sat over there?; I would feel much more comfortable sitting over there,” the bartender notary says.
Joe goes behind the bar and asks, “Where am I supposed to sit?”
“No, I’m the bartender so I go behind the bar. you sit on the stool on the other side,” the notary insists.

“Aren’t we gonna do the signing?” asks Joe.
The notary opens his briefcase and takes out a few flasks of non-alcoholic drinks, a tall glass, and a little umbrella. “I’m frustrated, because , when I go to signings, no one ever offers me a drink…maybe after half an hour they might offer me some tap water if I’m lucky…So I decided to turn the tables around…or the counters, as the case may be…and offer the signers a drink. I make my own orange-cranberry spritzer…would you like one of those…or would you like a virgin lemonade? I’ve got everything except ice.”

“Make me a strawberry lime spritzer…and can you muddle the fruits a little? Wait—” says Joe. “Aren’t we supposed to be doing a signing?”
“I’m the bartender notary; I talk bar talk. It’s my trademark to serve drinks and make smalltalk before we do the signing.”
“Ok, I’ll play along,” says Joe.

“How about those Dodgers, Joe? Who are they gonna trade?”
“Well, right now, I’m ready to trade notaries—if we don’t get started with the signing right away.”
“Ok, let’s do the signing,” the notary shrugs.
“Actually,” Joe says, “my reverse mortgage was on the rocks since the beginning of the application process, so I decided to go for a refinance– straight up.”

“Ok,” the notary says.“Your first document is a Deed of Trust. May I see some ID, sir?”
The borrower says, “What, I don’t look over 21?”
“Just a precaution, sir.”

The bartender notary opens his journal and begins to record the types of documents, the patron-borrower’s ID, and the types of drinks served at the signing.

The notary says, “This is your Deed of Trust. Your loan amount is right here; please initial all pages of the document and sign on the last page.”

They get to the Note; the notary says, “This is your Note. Your interest rate is 4.5%. The last loan I signed was an adjustable rate mortgage. I asked the borrower if he would like his interest rate shaken or stirred when the adjustment date comes in two years. He didn’t laugh. He didn’t think it was very funny. I’m lucky he didn’t trade me. Maybe it was how I said it…”

Then the notary asks, “So how’s the wife treating you?”
“Oh, I canned her years ago… I have a girlfriend,” says Joe.
“Do you think she will be in need of a bartender-notary anytime soon?”
“No she lives in an apartment. She won’t need to refinance anything in this lifetime.”

“So waddaya think–those interest rates—are they gonna go up or down?” asks the bartender notary.
“Oh, the Fed’s gotta keep it about the same—or you notaries will all be out of a job!”

“Next, we are going to look at the TIL. This is your Truth in Lending disclosure. Your APR is right here. So are we going into Iran? Whaddaya think the chances are that we invade Iran?”
Joe the signer looks at the TIL and says, “I’d give it about a 4.97%… Hey, I thought we’re not supposed to talk about politics at the signing?”
“That’s my trademark, I have to talk about politics because I’m the bartender notary… that’s what bartenders talk about. Would you like some bar snacks? We have peanuts, wasabi chips … Did you hear about LAX Vineyards new wine blend? It’s a cross between a cab, a merlot, and a shuttle. It’s very popular with bartenders. Did you hear about the wine documentary from Ireland? It’s called Cork Uncorked… There’s a special kind of wine for a signing… Did you hear about the Reverse Mortgage Cabernet? It’s rich in tannins and has two subtle notes…black cherry, and a hint of cocoa…and a smooth finish…assuming that we don’t have to call the lender.”

Joe asks, “What’s next?”
“The next document is your HUD.”

They go to the HUD. Joe the borrower asks, “Oh, so is my strawberry lime spritzer documented in the HUD?”
“Yeah, I think it’s right there under the termite inspection…Let’s just sign the rest of these documents; I have to close up soon…Last call,” says the notary.

They finish signing the rest of the documents.

The notary takes the borrower’s copy of the Deed of Trust and places it next to the signed Deed of Trust. Joe looks at it and says, “There are two Deeds of Trust. I’m seeing double. I thought that strawberry lime spritzer was non-alcoholic…”

“No! These are your borrower’s copies. Are you gonna be ok—or should I call you a cab?”
Joe: “I’m already home…I live here.”

Quiz: You know you’re a good Notary when you…

What type of Notary are you? A good one or a bad one? I’m not sure who created the questions for, “You know you’re a redneck if you…”
So, I’ll create my own version of this satirical banter, and come up with my own version for Notaries that will have some technical merit.

You know you’re a bad Notary when you…

(1) Do you fail to call the borrower to confirm the appointment that signing company set, and just show up?
If you don’t call and make sure that all parties involved (watch out for spousal signatures) will be there and on time, with a current ID with matching names — you might be in for some wasted time. If you don’t get the documents signed, you might not get paid. You might waste two hours for nothing because you don’t think you “need” to call the borrowers, or because you were asked not to. It is your appointment and your responsibility!

(2) Do you send loose certificates in the mail?
Lenders and Title companies are notorious for asking notaries to break the law and send loose certiifcates. In some states it is a Misdemeanor if you ask a Notary to do something illegal. Report all illegal requests to your State Notary Division immediately. No second chances!

(3) Do you fail to get certified by all agencies that you purchase “effective” advertising from? Or do you say, I don’t “need” your certification because I’m already “certified” without even disclosing the name of the organization who certified you? There is no such thing as just being “certified” as notary certification is not regulated by any government.

(4) Do you say, “I have my Notary” when you really mean you have your Notary Commission?

(5) Do you fail to use a Notary Journal or Seal simply because your state doesn’t require it? What happens if an investigator asks about a potentially fraudulent transaction you were involved in and you have no evidence for the court? The court case might be really long and you might get in really big trouble.

(6) Do you fail to keep thumbprints of signers in your journal because your state doesn’t require it?
Guess what? You might end up in court if you don’t take thumbprints, especially on transactions affecting high dollar figures such as properties.

(7) Do you fail to administer Oaths to credible witnesses or for Jurats because you are not well enough trained to know how, or even to know that you are required? Or, perhaps you don’t even know what a credible witness even is. Better look this up in your state Notary handbook.

You know you’re a good Notary when…

(1) The hair on your neck stand up straight when you see someone try to sign with a middle initial that doesn’t exist on their identification.

(2) You use an inked seal and an embosser with a raised non-inked seal to make it detectable if pages are swapped or photocopied.

(3) You take copious notes in your journal about the signers, what went on in the signing, and the building / neighborhood where the signing took place to job your memory should you ever be summoned into court.

(4) You sell your car, and buy a few top spots on 123notary.com!

There are many other technical points and best practices that we could address, but for this hopefully entertaining blog entry — that’s all folks!

Which rules are laws, Lender practices, or best practices?

Notary Rules or Industry Rules?

It is confusing with all the standards in the Notary business. When 123notary teaches Notary practices, we are not teaching laws, but solid practices. Many Notaries argue with us about our practices because they are not required by law. That is the whole point — we are not teaching law because we are not authorized to, and because we don’t know it. We do know solid notary practices, and teach it as you can get into trouble for not knowing your basics. However, notaries have many misconceptions about the rules of the industry. So, let me clarify.

1. You can always over sign — industry practice (not a law)
Is this a Notary law, industry practice, or what? This statement means that you can sign a document with a name that is longer than the name typed in the signature line. However, that does not make it legal to notarize that longer name unless you can prove the name with an ID. Pleasing the Lender is one aspect of being a Notary. Obeying the law is a much more important one. If you displease the Lender you get fired. If you get in trouble with the law you can end up in jail. Pick your poison.

2. The name on the ID has to match
Please keep in mind that there are four names we have to keep track of:
(a) The name on the ID
(b) The name typed on the signature section of the document.
(c) The name signed on the document
(d) The name on the acknowledgment.

In theory these names could all be different variations, but it is cleaner if they are identical. The critical points are that:

(e) The name on the Acknowledgment must be identical or matching but shorter than the name on the signature line of the document. If the signature on the document says John W Smith, you can put John Smith or John W Smith in the Acknowledgment to please the law, but the shorter name might not please the client.
(f) The name on the Acknowledgment must be provable based on the name on the ID, but does not have to be an exact match. The ID could say John W Smith and you can put John Smith in the Acknowledgment if you like.
(g) The name signed on the document can be identical or matching but longer than the name typed on the document to please most Lenders, but legally notarizing the longer signature or shorter signature is dependent on proving all of the components of their name with an ID.

3. The Lender is the boss of the Notary Public (true for signings, but not for the actual notary work)
The Lender is your boss as to the general assignment, and what happens with loan documents. They are NOT your boss about Notary issues and you should not ask them for Notary advice ever as they might have you do something illegal out of ignorance or greed. You ask your state’s notary division if you have a Notary question and perhaps the NNA hotline and that’s it. The Notary can ask the Lender their preference in how something is notarized if there is more than one legal way to do it, but you can not ask a Lender how to do your job. You are the appointed Notary, not them. If they want to do it their way, they should come over with their stamp and do it their way which hopefully is legal — but, it is their commission at stake if it is not legal. Don’t risk your commission depending on the Lender or Title for Notary advice.

4. The Notary is the boss of the Lender?
The Notary is a state appointed official who represents their state, although the state is not the entity that pays them. If there is a discussion between the Lender and the Notary as to how a Notary act is done, the Notary dictates how it should be done. If there are multiple legal ways to do something such as fixing a mistake by crossing out and initialing vs. attaching a loose certificate — then, the Notary can ask for the Lender’s preference, but not for advice. However, there are liability issues with doing cross outs and initialing. It looks like tampering and you don’t want to end up in court. So, once again, it is the Notary’s discretion as to how problems are solved when there are multiple methods to solve. You can ask the Lender what they like or you can dictate to the Lender what you are going to do. But, the Notary is the boss of Notary work. If they don’t like it, they can find another Notary. It is best if you explain the reasons why you want to do something a particular way. If your reason sounds prudent, there is a chance you might get some respect for your decision. Most Notaries don’t think issues out carefully and do not have well thought out reasons for anything they do. Read our course more and become reasonable! Your commission might depend on it.

5. Send me a loose certificate or jurat in the mail (illegal)
Acknowledgment or Jurat certificates must be stapled to the documents they are associated with. If there is one floating around, you cannot create another one until you destroy the original yourself. Some states do not allow creating new certificates for botched notarizations and require you to do the notarization all over again. Consult your notary handbook on this issue, especially in California where there are many new rules created in the last few years that I have heard about but not actually read to my satisfaction.

Welcome to the Notary Hotel

Welcome to the Notary Hotel.

Borrower: “Hello, I’d like to file a formal complaint. The notary didn’t come with a complimentary continental breakfast!”
Clerk: “Sorry about that, but breakfast is only from 6am to 9am weekdays and from 7am to 10am on weekends.”
Borrower: “Also, the notary didn’t sanitize my thumb after thumb printing me!”
Clerk: “Oh, really, I’ll have to write that notary up!”
Borrower: “Aren’t I supposed to get a mint on the top of my loan document stack?”
Clerk: “Hmm, that is part of the Notary Hotel’s branding. I’m really sorry about that.”
Borrower: “Also, the Notary didn’t observe the don’t disturb sign while I was reading the Settlement Statement!”
Clerk: “Oh brother, it’s time we fire that Notary!”
Borrower: “I asked the Notary to give my wife a wake up call when the signing was finished. She fell asleep halfway through the Affidavit of Occupancy.”
Clerk: “It is safe to assume that the Notary failed to give you your complimentary wake up call. Tell me, was there anything good about your signing?”
Borrower: “Well, the Notary gave me some lemongrass moisturizer and a shower cap! I enjoyed those.”
Clerk: “So, there is a silver lining on the cloud next to every shower-head!”
Borrower: “The Notary wanted to kick us out three minutes before check out time while I was reading the automatic payment transfer authorization.”
Clerk: “I’ll add that comment to your file.”
Borrower: “At least I was given two hours of free wi-fi during my stay!”

Clerk: “Did you try out our unique cable T.V. system? You can get 328 complimentary channels including — the signing channel!”
Borrower: “You make me feel like I really missed out!”
Clerk: “Next week we’re having a special. Sign a line of credit while you’re in line for Belgian waffles.”
Borrower: “Oh, you’re going to make waffles for us?”
Clerk: “Not exactly, you stand in line so you can make them yourself. When you think about it, we should be paying you to stay here and stand in line so many times. You stand in line to check in, check out, use the shower for the “equity pool,” and also to make waffles! We’re going to have to do something about those lines!”
Borrower: “You’ve got a point there!”
Clerk: “I’m sorry you had a negative experience. To make it up to you, next time you stay with us, we’ll let you upgrade at no cost to one of our signature rooms, if one is available at the time of your stay!”
Borrower: “If a signature room is not available, I’ll assume that you’ll give me an upgrade to an ‘initial’ room, a condensed version of the same thing?”
Clerk: “Actually, I never thought of that, but we do have digital signature rooms that are also often available. Instead of having a key to the room, you get a password. The welcome mat is a huge signature scanning pad — you’ll love it. Digital Signature rooms come with virtual windows with views of anyplace in the world. The cable T.V. is also very different. Instead of paper-view, it comes with paperless-view because it’s digital.

Borrower: “The other thing that I didn’t understand is that my room key was in the shape of a stamp. Instead of swiping it in a reader like other hotels, I had to affix a digital stamp of my seal on what looked like a scanner. Very perplexing. My notary seal digital key also had commission room number 314 an expiration date of 11am the next morning. I guess that is check out time.”
Clerk: “Well, we like to maintain a notary theme at all times. After all, this is the Notary Hotel. Just thank god we don’t have eight digit commission room numbers on the digital seal!”

Who is the authority at a Notary Loan Signing?

We often ask questions about authority to signing agents, and the results are horrifying. Most Notaries do not know who is in charge of what. So, this article will sum it up clearly.

Notary Public
A Notary Public is a state appointed state official who is paid by customers, but whose “boss” or authority is the state Notary division. Many Notaries Public seem to be confused as to who their boss is, the one paying them or the one commissioning them. The problem is further complicated by the fact that the ones paying them often pay them for more than just Notary services as travel, pick up, drop off, and supervision of non-notarized signatures and packages seem to be part of the deal if you are a Signing Agent.

The Notary is the sole authority regarding what goes in a Notary certificate such as an Acknowledgment, Jurat, etc., what goes in the journal, what is allowed or not allowed, and how a notarization should be done.

It is common that Notaries have questions during a loan signing and direct those questions to the Lender or Title representative. This is okay for Title or Lending questions, but not for Notary questions where the Notary may only turn for help to their state Notary division, official Notary handbook, or perhaps the NNA hotline.

Notaries should NOT ask the Lender for Notary advice because:
1. The Lender is probably not a Notary
2. If the Lender is a Notary they might be in a different state
3. If the Lender is a Notary and in the same state they might not be knowledgeable.
4. If the Lender is a Notary, in the same state, and knowledgeable, they might (are likely to) give you advice that would make the job go more smoothly for them, yet have tremendous liability for you.
5. You are the one appointed to the job, so even if the person you are asking for advice is a Notary, they are not the one whose commission number gets put on the certificate, and you are the one going to jail if something goes wrong. Therefor, you have to know your laws and what you can and cannot do, etc.

Who can initial and where?
Any initials on a Notary certificate are done exclusively by the Notary Public. It looks like tampering if the borrower or anyone else makes marks on a Notary certificate. The borrower may initial documents, but not the Notary certificate or Notary section in or attached to a notarized document

The Lender
The Lender is the “boss” of what happens with loan documents. If the Lender authorizes a change, initialing, cross outs, etc., on an actual loan document that is NOT in the notary section, that is up to them and they are the authority on that matter, not the Notary. The minute the issue becomes with a Notary certificate, then the authority swings over to the Notary (even if the Notary doesn’t have a clue what to do.)

The Title Officer
The appointed Title company might be a good source of information about how to handle any issues that might come up with Title documents or recorded documents. You can ask them if you have questions, but don’t let them answer Notary questions.

Issues of Preference can be asked to the Lender
Sometimes there is more than one legal way to handle a situation. If there is an error on a preprinted Acknowledgment, and your state allows a choice of crossing out & initialing vs. using a fresh Acknowledgment form, you have a choice. The Notary has the right to make that choice on his/her own and choose the option that he/she feels is more prudent or ask the Lender. However, this is a situation where the Notary can ask the Lender not for advice, but for preference. If the Lender would prefer a loose Acknowledgment stapled on to the document rather than crossing out & initialing the original form, the Notary can proceed accordingly.

The Borrower
The borrower has the right to sign, not sign, tell you where to park and more. Their preferences matter as well.

Your State
Your state Notary division decides what the laws are in your state, how they are explained or document in your official Notary handbook, etc. They are your boss, so you do whatever they say. Additionally, if you are weak on your Notary knowledge, that can lead to ending up in court as a witness, having your commission revoked, suspended or terminated. Additionally, it is possible to be convicted of a crime if you are thought to be involved in property related fraud, or if you filled out a form stating that an Oath was taken when in fact it was never taken which is a daily fraud that most Notaries engage in that is unacceptable.

Memorial of Carmen Towles, former salesperson for 123notary

CARMEN’S DEATH
Carmen Towles passed away in July of 2020. I found out on July 25th from a client. I believe she passed away on the 24th, but I see other conflicting reports on Notary Rotary saying it happened two weeks before that. The last time I talked to Carmen was on June 29th when she was released from the hospital. She was able to talk but wasn’t making logical sense. She couldn’t remember if she had a gall stone or a kidney stone. I think you would remember that.

Carmen died of Pancreatic cancer, but had a gall bladder infection too. She never told me about the cancer, perhaps because she didn’t want me to worry. I think it would have been better if she had told me so I could plan ahead.

OUR HISTORY TOGETHER
In any case, Carmen and I worked together for 17 years since 2003. I remember the first time I met her at the entrance to our complex. I was selling her a course book. She was very talkative, inquisitive, and sharp. She kept calling me to ask questions and became very knowledgeable as a signing agent. Carmen claimed she took the NNA course, but that it did not make her feel confident enough to go out and do real signing work. After she mastered our 123notary course, she felt she got a practical road map of what to do and how to handle situations. As time went on, I begged her to work for me. She initially didn’t want to. It took a few years to get her to work full time. After she got used to it, signings slowed down, and she became hooked on 123. She did the new sales and renewals and was very possessive about the work.

CARMEN AS A MENTOR
Carmen was an excellent mentor to many of our Notaries. She taught them the twists and turns of what can happen at signings and with the various companies who hire Notaries. She kept many out of trouble and inspired all. She had real charisma, pizzazz, combined with a deep and pragmatic knowledge of Notary law and signing competency. Nobody else combined her flamboyance and knowledge. None of the other Notary companies have anyone even half as good as she was.

CARMEN’S INPUT
Carmen helped me put together a new over the phone test content as well as a new course which is on the blog and free — Notary Public 101. We wanted to emphasize what gets Notaries in trouble, so they can stay out of trouble. The other courses taught information which was about loan documents which is fine, but you don’t normally get in trouble for not understanding the documents, you get in trouble for notary mistakes or mishandling situations.

OUR LOSS
The Notaries are very sad that Carmen is gone. There will never be another Carmen. I am sad that I never got to say goodbye. I didn’t think she would pass away so fast. I thought she had another year where she would function at half speed. But, I can communicate easily with spirits, so I have had a few simple dialogues with Carmen.

JEREMY: How are things in the brighter world?
CARMEN: I’m getting a lot of rest.

JEREMY: What will I do without you?
CARMEN: Oh, don’t worry about it.

JEREMY: Do you have to wear face masks up there?
CARMEN: Ha ha…. no!!!

LIFE WITHOUT CARMEN
So, now I have to do all of Carmen’s work. I call all of the renewal people. It wouldn’t take that long except that the higher level people like to chat. Many of our higher level people have been with us for years, in some cases up to 20 years, and they have stories from long back. The bigger issue is not having to do her work. I am missing the new calls because I am not prepared to answer the phone all the time. I am not sure how I will hire someone new who will be acceptable and who will last.

And third, I miss Carmen because she is like a family member to me. She understood me well, and had very sensible advice for me about all of my issues. I didn’t necessarily agree with all of her advice, but most of it was good. I am very sad, lonely and don’t know what to expect of the future. The future doesn’t look very bright now, but you never know. I am going to try out several new ladies who seem promising.

With all of the bad vibes in the atmosphere due to the Covid19 issue, riots, and political upheaval, it seemed like the devil made his rounds to disrupt many cities, many lives, many political issues, etc. First there were Covid19 shutdowns which took away our rights. 80% of what I could do outside of the house was shut down or disappeared. Then the devil came to my neighborhood with the riots. A month later my site went down for a week. Actually that was done by angels for my protection, but felt like the devil was somehow involved. And then my site went back up, Carmen became incapacitated and then died shortly after. So much grief in just five months. No wonder I feel more depressed than I have felt in years.

Carmen was always there, usually answered the phone, only went on one quick vacation that I knew about which was a cruise in Mexico. But, she kept her phone with her so she was accessible. She even did phone duty while she was on Jury Duty. She was always there, and now she will never be there again.

I will have my psychic contact Carmen in the brighter world to see if she has anything she wants to tell the Notaries. My ability for spirit communication is okay for very quick questions and answers but not good enough for conversations. So, we will leave this up to Walter who is an expert.

Incoming phone communication to 123notary is basically almost impossible now. I answer some of my incoming calls. but, I really can’t get more than 10%. How to find a Notary mentor

Many Notaries ask me how to find a Notary mentor. I used to know people who did teaching and mentoring. But, they are all getting so old. I don’t know who to recommend. There are several issues here.

ISSUES WITH MENTORS

1. If you get a mentor who is near where you live, you represent competition for them. Even if they are the best in the world and you are brand new, you will eventually get better and take some market share from them.

2. If you get a mentor who is far, then how will you ever be able to meet with them?

3. Ideally, you want a mentor who is about an hour away so you are not in direct competition with them.

4. When I call people who are being mentored, whenever I ask about their skill set, they immediately tell me all about what their mentor knows and how great their mentor is. That is all very wonderful if I am going to hire their mentor, but not if I am going to hire the new Notary. Answer questions about you based on you. If you know nothing, be up front about that otherwise you would be a very slippery person who knows nothing vs. an honest straight forward person who knows nothing. People who hire notaries can see through all of this type of BS and none of us have patience for it or like it. Real answers to real questions please.

HOW TO FIND A MENTOR

NNA used to publish a list of mentors. I don’t know if they still know people who do this.

You can call the most experienced notaries on 123notary and see if any of them will help you. You could call local ones, or people far away with high placed listings.

The NNA claims that social media is a good place to find a Notary mentor. Facebook groups, forums, etc. I tend to agree with that idea. However, people who are busy and successful don’t always show their face on social media because they are too busy working so that they can keep being successful. Meanwhile, people who are not at all successful often spend all of their time on social media, sometimes bashing other people who spend their lives being productive (especially in the notary world.) Carmen and I are very familiar with that type of social media user.

Carol Ray knows many people in the business and might be able to help. She runs Notary2Pro which is an agency that trains Notaries.

Asking leaders of notary organizations (other than myself) might be a great idea. I know people who teach or used to teach, but I don’t know if they are mentors. I just emailed a few to ask if they do it or know anyone who does it. But, the various leaders of Notary organizations might know all sorts of people doing all sorts of things and there are many organizations out there.

HOW TO SCRUTINIZE A MENTOR

Not all people are experts at all things and not all experts are available or helpful. So, how do you find a good mentor? You could find someone 1000 miles away who is good at answering questions. But, that doesn’t help when you want to shadow someone. On a brighter note, if someone doesn’t want you shadowing them, they have to tell you to your face as you can’t “shadow ban” someone who is with you in person. You should ideally either have a company who can micromanage you and walk you through your first several signings, or find a local mentor you can tag along with for three to ten signings.

The mentor should know:
1. Local notary laws
2. Signing agent procedure
3. How to handle situations
4. How to explain the documents, initialing, the right to rescind, document recording, and basics about title, escrow, and lending.

Since you presumably don’t know anything about signing work or situations, you can see if that person knows how to be a good notary at a minimum. But, you won’t know if they are a good signing agent since you don’t know what to ask them to verify that information. You can ask questions about various notary signing topics and see how thorough or intelligent the answers are. However if you are at the stage where you are ready for a mentor, YOU need to be an expert at your state notary law yourself. If you are going to use your stamp even once, you could end up in big trouble if you do something wrong — so know your stuff!

It would be a little like me hiring someone to be a rocket scientist — I wouldn’t know what to ask them since I know nothing about rocket science.

How valuable are the various types of notary knowledge?

Notaries these days who invest in Notary education study all types of topics. Some study Notary basics, others study TRID, Reverse Mortgages, Helocs, situational knowledge, elite knowledge, or just plain signing agent knowledge. Marketing skills are also taught by many agencies. So, which skills are the most valuable?

As a signing agent, companies typically babysit you unless you are very advanced and work purely for title companies. If you make mistakes, that is very unprofessional, but they generally catch you before it is too late due to the scan backs and fax backs. Notaries do not get complaints about errors on our site these days. When they do get complaints it is because they are rude or don’t show up, don’t return phone calls, or don’t get documents back on time.

So, let me make a pecking order of Notary skills in an order that makes logical sense to me.

Notary knowledge
If you don’t know how to be a solid Notary, you are endangering the public as well as yourself and leaving yourself open to legal liability. A mistake identifying someone, or filling out your journal can lead to a lawsuit, or lack of evidence in a legal proceeding. That is very serious and can ruin not only you, but all who are involved in a transaction with you. Failing to properly administer an Oath (when required) can lead to the termination of your commission if you ever get caught and is considered Perjury which is a Federal crime! If you don’t fill out forms properly or follow Notary law and procedure, you can ruin your life. So, Notary knowledge is the highest priority as a Notary Signing Agent and THAT is why we teach the finer points at no cost in Notary Public 101 on the blog.

Signing Agent knowledge
Knowing how to initial, date a right to cancel, and understanding the basic documents in a home-owner Refinances are skills that you will need to use a lot. You can ruin a signing if you miss signatures or initials, or put wrong dates on documents. Signing Agent skills seems to be a definite #2 in the pecking order of what you should study.

Marketing
If you know your basics, but don’t know how to attract work, you might get a few jobs here and there, but won’t have a side career of any scope. Learning Notary marketing is easy because there are good teachers everywhere. 123notary and LSS do a nice job teaching notary marketing. Some of the knowledge is available in our loan signing course and a lot more is on the blog in the marketing category on the right.

Specialty Skills
It is always good to learn more. Being TRID trained, or trained in reverse signings is great. But, that is the last step in my opinion. It impresses clients when you go above and beyond in your training. It shows motivation and effort and makes them more likely to hire you. But, learn the other stuff first as that is a lot more critical for basic survival.

How many certifications should I get?
The more the merrier. If you advertise with us, you should consider ours. If you are a paid member, we sometimes offer to test you by phone at no cost if you study from Notary Public 101, but we get very few takers. Our test is the hardest in the industry and our teaching materials are the most practical — and NOT the most expensive. We have the least expensive certification compared to the big players!
